Locked into a contract out of nowhere

Pros

I found the customer service at the beginning to be reasonable.

Cons

I did get decent customer support at the start from Kareo. Still, you have to watch the contract be absolutely sure this is the solution you want before signing. They presented me with a 'deal' that locked me into a one-year commitment. As I explored the platform more, it became clear it wouldn't meet my needs. I never actually used the EMR. When I tried to negotiate asking for a discount, to pause service, or to change anything they refused outright. That left me stuck paying for a product I never used for the entire contract term in my case it stretched to 14 months. On top of that, I have to remember to call and cancel at the end of the year because they won't send any reminder or prompt about renewal. It really feels like they're banking on automatic renewals going unnoticed. Overall, the experience made me feel the product itself is poor and that the contract is designed to be punitive so the company profits from binding agreements rather than from delivering value or satisfied customers.

System down for weeks, patient safety risk

Pros

I find e-prescribing to be an excellent feature but I have noticed that occasionally when I prescribe one medication in Kareo, it will remove another medication from the patient's chart.

Cons

My experience with the EMR has been terrible. Back in May the system went down for three full weeks and all we got from the company was the vague message we are working on it but no meaningful updates or support. We were essentially stranded we couldn't send prescriptions and in many cases we couldn't even provide basic patient care. That outage put patient safety at risk and when they finally responded they said it was fixed sorry we switched vendors. When we attempted to terminate our contract because of that failure, the company refused and threatened legal action if we left which left our psychiatric practice stuck with Kareo. Now, fast forward, the system has been down again for the last six days. Our practice which cares for about 5,000 patients, currently has no EMR access, no records and no way to prescribe or deliver care. We're powerless during a pandemic with many urgent patients which forces unsafe care, yet they still insist we honor the contract. I would never use Kareo even if it were free. Their customer support is awful and nonresponsive so look elsewhere and be cautious about the glowing reviews you might see on other sites.

Text messages fail to deliver patients

Pros

If it worked, I find it easy to use and simple overall so I like its simplicity

Cons

Over the past year and especially during the last few months, we have been dealing with recurring issues where text messages simply don't get delivered to patients. error messages appear intermittently throughout the day sometimes on a Monday sometimes on a Tuesday and other times completely at random. I can be in the middle of a chart, trying to save it or send medications and then an error pops up so nothing is saved. I am not sure what's going on but it's creating dissatisfied patients who show up at the pharmacy without their prescriptions or miss our messages about visits, lab results and other important information. If everything functioned as it should, I wouldn't have any complaints but these problems happen unpredictably and seem to be increasing in frequency. I am holding on for now but I don't know how much longer I can wait for them to sort this out. When we're seeing multiple patients a day and failing to meet their needs, there's a real risk we could lose patients.

Perfect interface for clinicians

Pros

I find the interface really perfect and ideal for clinicians and it's particularly simple when taking client notes.

Cons

For me, there aren't many accessible accounting reports available in the system which is limiting.

Reports analyze and separate data easily

Pros

I appreciate the reports it produces because they let me analyze and separate data by location which makes tracking so much easier.

Cons

We're aware this isn't strictly a Kareo problem but we have experienced difficulties when Jopari interacts with Kareo and it's been a recurring headache for our team.

awkward system with constant downtime

Pros

Nothing positive to point to. The interface has a polished, modern look but that appearance masks a shocking lack of real functionality. From my perspective the EHR feels poorly designed and is missing basic capabilities you would expect. The whole system is awkward to use and ends up forcing me and my staff to waste countless hours trying to get routine tasks completed.

Cons

I don't even have enough space to fully catalog how bad my experience with Kareo has been. At its core the EHR feels like it was not well thought out and it lacks many basic, essential features. The platform is clumsy and my team and I end up spending an enormous amount of time inventing workarounds just to keep things moving. The system will go down unexpectedly in the middle of a clinic day and you have essentially no backup plan when that happens. On a particularly bad stretch of days with either no service or painfully slow performance we were forced to shut the office because we literally could not function. Kareo will tell you they are fixing problems or rolling out updates but in our experience those so-called fixes were mostly meaningless and the updates did little to solve the underlying issues. Customer support is awful and unhelpful. The calendar feature is especially poor and doesn't integrate well with the rest of the EHR. To give you one concrete example we kept getting ghost appointments created by the system and, worse, patient appointments were being deleted at random. That situation threw our practice into chaos because no one could figure out why patients were being emailed about visits they didn't actually have, why some people were showing up on random days, or why other scheduled patients never appeared even though they were listed on the calendar. Kareo was aware of the glitch, could see what was happening and still couldn't fix it. This was just one of many bugs and poorly executed elements in their software and it's emblematic of dozens of ways Kareo makes running a practice far more expensive and frustrating than it should be.

Simple billing and direct staff access

Pros

I primarily used the billing tools. Plus it allows me to speak directly with staff and I found it simple to move around the interface without any unnecessary clutter.

Cons

What I like is how simple it is I can skip the sections I do need which keeps things focused and avoids extra steps.

Incredibly simple for daily routine

Pros

For my everyday routine, I find this software incredibly simple to use each day.

Cons

We have run into a few problems with the help feature after some of the recent updates, yet most of those issues are usually resolved fairly quickly and efficiently.

extremely powerful for large volumes

Pros

I have found this platform to be extremely powerful as it is perfect for managing large volumes of claims and it was really easy to set up and use.

Cons

From my experience, credit card payments end up getting locked and I cannot make any adjustments afterward.

Affordable and easy to train employees

Pros

I have been using this program since the 1990s. For me, Kareo proved to be an affordable solution that made it easier to train new employees, consolidate practice workflows and lower upfront launch expenses. I also appreciate that Kareo keeps rolling out updates and adding features that align with evolving industry standards and regulatory changes.

Cons

I wish some of the screens offered better multitasking options. For example, it would be helpful to be able to print a statement directly from the track claim status page. I'd also like Kareo to include dedicated, experienced billing specialists within the support team to manage help tickets. Right now, several requests have been handled by sales representatives. In my view, having true advanced billing staff would make ticket resolution much faster.

Automatic reviews and effortless communication

Pros

I have found that PatientPop's automatic integration for reviews and reminders with Practice Fusion makes patient communication and feedback fast and effortless and because it's so easy to use and boosts our online presence, my practice was able to keep growing even throughout the COVID period.

Cons

My only complaint is that PatientPop doesn't automatically transfer booked appointments to Practice Fusion and vice versa so appointment times aren't blocked on both systems and I end up having to manually sync or worry about double bookings.

Positive experience with responsive support

Pros

Working with this company has been a really positive experience. I received excellent, very responsive support, they delivered exactly what we requested and the final solution felt thoughtfully designed.

Cons

I found the integration process pretty smooth overall and whenever we hit a snag they handled it quickly and effectively.

Only the notes felt organized

Pros

For me, their notes section was the only part that felt organized, nothing else.

Cons

I experienced very poor customer service they failed to deliver many of the features shown in their demo. When we began to step back during the trial month, they still tried to bill us which felt unfair.

Impressed by simple and easy navigation

Integrated eligibility check saves time

Pros

I really like that Kareo has an integrated eligibility check. Not having to jump into multiple external portals just to confirm coverage seriously makes my workload at least ten times easier and saves me so much time during the day.

Cons

One frustrating issue I keep running into is that with the latest update Kareo forces you to leave the patient's insurance information screen just to check eligibility which interrupts my workflow and feels really inefficient. The same clumsy behavior happens when I am adding a new Medicare policy as I have to exit the insurance area and then re-enter it to select hospice because the dropdown won't respond unless I do that sequence and that wastes time. It would be much smoother if these checks and selections could be done inline without bouncing me out of the section. Also, I'd appreciate if Kareo would automatically capitalize patient demographic fields as I am typing them every other system I have used does this automatically and it prevents inconsistent entries and extra cleanup later.
