Feels like it is designed for us!!!!

Pros

The best aspect of WinTeam is that it was designed with facility services companies like mine in mind. We've been using the TeamTime component for over a decade and decided to implement the accounting, job costing and other related features in January 2019. It has made invoicing for recurring services a simple task! Our job costing and financial reporting are now both timely and accurate which is something we couldn't always claim before the switch. The software is free of user errors and customer support is easily accessible as it provides assistance until all my questions are resolved. I can't imagine any facility services company being more satisfied with any other software available.

Cons

My main complaint about WinTeam is that it doesn't allow modifications to the format of the accounts receivable invoices. All invoices include columns for Description, Quantity, Unit of Measure, Price and Amount. Since most of our invoices are simply for a monthly charge for janitorial services, it would be helpful to have a format that excludes the Quantity, Unit of Measure and Price columns. And it is not isn't quite user friendly which means you likely won't be able to log in and navigate it on your own. However, it is easy to learn, and the TEAM provides proper training to help you master it. I highly recommend sending at least one user to the TEAM conference as it's a great experience, and there's so much to learn while attending!

Support team is AMAZING

Pros

I like that payroll management is handled entirely within the same system, directly linking it to our jobs. Additionally, customer service is always available and ready to assist.

Cons

I'm losing printer's connection way too often which is really annoying. Plus, the inventory for the distribution side of our business doesn't track and update like it does with other systems, and that's a bit of a problem.

Great and not so great at the same time..

Pros

The flow of operations is smooth and the support we received from Omaha is admirable.

Cons

I keep getting a pop-up when I am entering invoices and I can't open multiple reports at the same time which is a bit frustrating.

WinTeam is an integral part of our company

Pros

At our Corporate Office, we use this program every day. Our administrators in all regions also rely on it daily. WinTeam plays a key role in almost every aspect of our operations.

Cons

Citrix printing takes up way more time than it should and I really wish this feature could be fixed. Also, the equipment tracker needs some improvements. I have sent in some recommendations on how it could be better.

Not the best start but progressing

Pros

Once we understood the payroll benefits, it was simple to use. Although we had a difficult start, we learned a lot along the way. And being able to finish the billing process and having the option to automatically send invoices by email as soon as they are created is really helpful. However, it's essential to follow the steps properly or things can become complicated. Well I just discovered a simple way to reprint invoices last week. Moreover auditing in WinTeam is quite easy, allowing me to trace everything through the system without any problem.

Cons

Our training over 6 years ago was just terrible. We had to figure things out on our own for the first year or so which was frustrating. Later, we got offered more training but by then, we had already understand most of it. But this led to a lot of double work for us. And I still don't like the Other Billing part because it needs way too much manual work. And the customization of invoices is very limited. I am still doing some invoices manually in Excel. Lastly I feel like invoice Entry could definitely use some tweaks too.

Pros

The amount of data I can extract from the system and its capacity to be customized to fit our business needs is impressive.

Cons

The canned reporting options are poor. Plus it feels like the AP module has not improved in many years. Many modules don't integrate well which leads to duplicated efforts.

Pros

WinTeam is quite user-friendly and numerous integration options are available with various applications. Also the software performs and operates really well for me.

Cons

It is pretty easy to use but the setup was a bit advanced for us. Some data is harder to figure out and takes a lot of steps or messing around with the features to get the info I need.

Limited and costly integrations

Pros

We can connect it with our Applicant Tracking System so bringing in new hires is easy. The HR team relies on many reporting features every week, things like tracking overtime, birthdays (we send cards), attendance and a bunch of other useful metrics that we use regularly.

Cons

There are a number of integrations this platform still can't support that would be really helpful for us. Some of the integrations that do exist are prohibitively expensive to set up which seems absurd considering the size of our account and what we already pay them. Also, when the W-4 rules changed in 2020 it took them about six to seven months to correctly implement that update.

Occasional freezes during payroll tasks

Pros

I rely on so many features in this product that it's nearly impossible to name everything I appreciate. It's the tool I use most days, every day. With it I can view hours worked, run payroll, log deposits, generate reports and even identify employees who qualify for health benefits. It truly is a single program that handles it all for me.

Cons

Occasionally this tool freezes on me which is frustrating when I'm in the middle of running a payroll batch or entering a deposit. Typically I have to wait about five minutes for it to recover and reset itself before I can continue.

Pros

There are so many features I use with this product that listing everything I like would be tough. It is the tool I rely on most every single day. It lets me view hours worked, run payroll, log deposits, generate reports and even identify employees who qualify for health benefits. Truly one application handles it all.

Cons

Occasionally it freeze on me which is really frustrating when I'm halfway through a payroll batch or trying to record a deposit. That interruption is especially unhelpful in those moments and in my experience it usually takes about five minutes before the program resets and I can continue.

Cons

For my use, there isn't a way for me to view an individual employee's schedule for the entire month, the interface only lets me look at week-by-week views rather than displaying the full monthly roster

All-in-one HR and operations management

Pros

Honestly, this platform is an exceptionally capable HR management solution, far more than just a simple scheduler. I rely on it to log time off, monitor absenteeism and keep records of experience and certifications. My team also uses it to track revenue and to produce invoices when billing clients.

Cons

Most features are easy to access but when I want to see something specific, such as how many hours a particular employee has worked or is scheduled to work, it can take me multiple steps and menus before the system finally shows that data.

Reversals are slow and tedious

Pros

What I really appreciate is the audit trail and how the different modules talk to each other. For instance, payroll data flows directly from scheduling and billing is automatically generated from payroll, so I don't have to enter anything manually.

Cons

Occasionally I run into situations where reversing actions takes many steps and can't be undone quickly. I do see the value for audit and tracking but the process can feel unnecessarily tedious at times.

Easy navigation with time-saving tools

Pros

Navigating parts of the system is refreshingly easy, something I really appreciate. Beyond that, I enjoy discovering new ways to complete tasks more efficiently and passing those tips along to my team. Overall, this software has helped save me and my colleagues hundreds of hours when it comes to analyzing and entering data.

Cons

There are a few features that feel like they were left unfinished when the software launched. For example, the PO and AP Invoice areas need tighter integration so I can quickly tell if a purchase order already has an invoice or if it's been fulfilled which would help prevent accidentally going over the PO amount. Similarly, like the AR Invoice Review tab, there should be a way to see which invoices are tied to a specific PO and to view the remaining amount, amounts already invoiced and any over/under balances once the PO reaches its expiration. Fixing these gaps would cut down on reconciliation headaches and reduce the risk of overspending.

Overall, the software runs smoothly for me and is easy to move around in and whenever I've needed help, I've had great experiences with the support team being responsive and supportive.

Not well tailored to business needs

What really stands out to me is being able to work directly with the developers so I can shape parts of the software to better fit how my team operates.

Cons

A lot of the software isn't really tailored to my business and I sometimes feel like the people who built it don't fully understand our industry. They should put a lot more effort into learning what we actually need and then implement those changes without charging extra for basic usability. I also don't like the idea portal and honestly don't have the time to use it or manage it.
