What Is FieldEx?

FieldEx is a configurable field service management (FSM) and computerized maintenance management (CMMS) platform for teams that install, repair, and maintain equipment across sites and customers.

It supports work orders that carry mandatory task sequences, checklists, and parts tracking from creation to completion. Similarly, preventive maintenance plans can be scheduled by time, equipment usage, or both.

The platform also maintains a full service history for every asset. This includes analytics on failure rates and repair time. A three-tier inventory system tracks spare parts from warehouse to technician to job, while contracts and sales orders manage equipment agreements and quotes. It comes with a customer portal that lets clients submit requests and check equipment status without calling in.

FieldEx Features

Work Order Management

This core feature enables teams to create, assign, and track jobs with real-time accuracy. Work orders are organized by configurable type (Installation, Repair, Maintenance, Inspection, and more), each controlling its own fields, statuses, templates, and completion documents. Templates pre-populate new jobs with the required parts, procedures, checklists, and technician group, keeping every job of the same type consistent.

See How It Works
Asset Lifecycle Tracking

FieldEx provides a permanent digital record for every asset, organised in a Customer → Site → Asset hierarchy with parent-child component tracking for complex equipment. Every completed work order is logged against the asset automatically, building a full service history for warranty, audit, and recurring-issue analysis. Each asset also has an analytics panel showing MTBF (mean time between failures) and MTTR (mean time to repair), calculated automatically from job history.

See How It Works
Preventive Maintenance

FieldEx schedules preventive maintenance by time, usage, or both, so service happens before equipment fails. Assets can carry multiple tiers, like a minor check every three months and a major service every six. Overdue jobs reschedule automatically instead of sitting open indefinitely. Recurring jobs also cover non-asset work like safety checks, and site sweep plans assess every asset at a location in one visit. Every completed job updates the asset's service history and MTBF automatically.

See How It Works
QR Code Asset Reporting

Every asset can carry a QR code that opens its full record — details, history, and open jobs — for any user with the app. Administrators can also enable a public reporting form on the code, letting anyone report a fault with no FieldEx account or login required. Submissions enter FieldEx as a new work order and are auto-assigned via round robin.

See How It Works
Inspection Checklists

This feature allows for the digitization of complex inspection processes through smart checklists completed by technicians in the field. Checklist triggers are a key capability: a flagged or negative response can automatically log the issue, create a new work order from a pre-set template, and assign it via round robin — with no manual step required.

Custom Forms

Beyond checklists, FieldEx supports forms with a wider range of input types, including picklists and free text, for capturing data specific to a job or industry.

Inventory & Spare Parts

Physical inventory is organized in a three-tier structure — Location, Zone, and Bin — tracking exactly where each part is stored. Technicians log parts used directly on the mobile app, which records the movement as a transfer from their bin to the job, creating an auditable trail from warehouse to technician to completed work.

See How It Works
Scheduling & Dispatch

FieldEx combines automatic and manual scheduling. Round robin assignment distributes jobs evenly across a technician group and is leave-aware, automatically skipping anyone on leave. A drag-and-drop scheduling board gives coordinators a visual view of workload across all teams and trades, for direct reassignment when priorities shift.

See How It Works
Reporting & Analytics

A built-in reporting module draws on data captured across every part of the platform — work orders, parts usage, technician activity, asset history, and preventive maintenance completion — for full operational visibility. A Power BI connector is available for teams that want to build dashboards and deeper business intelligence on top of FieldEx data.

See How It Works
Customization & Configuration

Module and field names can be relabeled to match how a business already talks — "Customer" to "Client," "Asset" to "Machine" or "Unit," and so on. Dropdown picklists, work order types, and statuses are all configurable, and a rule-based notification builder sends in-app or email alerts based on conditional logic (for example, an overdue repair job).

Flexible tool with helpful customer care

Pros

One thing that really stood out to me was the customer support which has been excellent. It also offers strong value for the money. The platform is user-friendly, simple and gives enough customization options to adapt it to different needs.

Cons

Getting started took a bit of effort and the learning curve at the beginning felt somewhat steep but it ends up being worth it. Once everything is configured around your specific use case the tool becomes much more simple and easier to work with.

Well-organized service tracking

Pros

Having everything in one place makes this platform really practical for managing field service and maintenance work. The job order management and preventive maintenance features are especially useful and the overall visibility into service activities is a big plus. The interface is clear and user-friendly so it's simple to keep maintenance tasks, technicians and service records organized without confusion.

Cons

This is already a great and user-friendly platform, with just a few areas that could be improved further. With ongoing updates and enhancements, it has the potential to become even more flexible and better suited to a broader range of business needs.

Frequently Asked Questions

Who is FieldEx best suited for?

FieldEx is built for service companies that dispatch technicians to do physical work on assets across more than one job type — maintenance, repairs, inspections, and installations — often across multiple customer sites. It suits businesses like construction, heavy machinery, facilities management, telecoms infrastructure, HVAC, fire and security, energy systems, biomedical equipment, and similar trades that are currently relying on paper, spreadsheets, or messaging apps and have outgrown them.

How does preventive maintenance work in FieldEx?

FieldEx generates maintenance jobs automatically on a set schedule, but it also reacts to what happens in the field. Checklist triggers can be configured on specific inspection questions, so a flagged or negative response — for example, an item marked "Fail" — automatically logs the issue, creates a new work order from a pre-set template, and assigns it to a technician via round robin. Follow-up work identified during an inspection is captured and dispatched with no manual step in between.

Does FieldEx have a mobile app?

Yes, FieldEx has a mobile app for Android and iOS. From the app, technicians can view jobs, complete checklists and forms, log parts used, capture a digital signature, and generate a PDF completion document without needing desktop access.

Does FieldEx integrate with accounting or other business software?

FieldEx connects to QuickBooks Online with bi-directional sync for customers, invoices, parts, and inventory, plus a Power BI connector for reporting and a REST API for integrating with other external systems. The software also supports integration with multiple other platforms, such as Salesforce, Zendesk, Microsoft 365 software, Google Calendar, NetSuite, Cin7 Core, Xero and Calendly.

Can FieldEx replace spreadsheets?

Yes, FieldEx replaces spreadsheets, messaging apps, and paper forms with structured digital work orders, checklists, and forms that are visible to the office in real time as they're submitted.

How does FieldEx support compliance and audits?

Every job is timestamped, and mandatory checklist and procedure steps must be completed before a job can close, so compliance is enforced rather than optional. Each completed job also links to the asset's record, building a continuous, searchable compliance trail by asset, site, date, or technician — with a compliance PDF generated automatically at close.

What types of pricing plans does FieldEx offer?

The FieldEx price is based on three plans: Growth ($10/user/month), Pro ($55/user/month), and Enterprise ($85/user/month).

Can we customize FieldEx to match our own terminology and workflow?

Yes. Module and field names can be relabelled to match how a business already operates — for example, "Customer" to "Client" or "Asset" to "Machine." Work order types, statuses, and dropdown picklists are also configurable per business, without needing custom development.

Can FieldEx manage multiple job types in one system?

Yes. Work orders are organized by configurable type, each controlling its own fields, statuses, templates and documents. A company running several trades or job categories (such as maintenance, repairs, inspections, etc) manages them together in one view, while each type keeps its own workflow.

Can FieldEx replace our existing CMMS?

Yes. FieldEx covers the full CMMS scope — asset management, preventive maintenance, and work orders — plus field service management such as technician dispatch and mobile execution. It's built for both office administration and field use, so it doesn't require a separate system for either side.
