Key Takeaways

Generated from the text of customer reviews

Okta is an identity and access management platform. IT administrators, security engineers, and developers across technology, financial services, and healthcare use it. Reviewers praise single sign-on experience and automated lifecycle management, while complex admin configurations are a recurring concern. Okta recently launched Okta for AI Agents to manage non-human identities.

Our Verdict

Okta works best for mid-to-large organizations that need identity, access, and security managed from one place. Consolidating into one platform also cuts down on integration gaps, since teams aren't managing access across several disconnected systems. Pricing is enterprise-level and can feel high for smaller teams. We recommend it for IT and security teams managing complex, multi-application environments.

What Is Okta?

Okta is a cloud-based Identity And Access Management (IAM) platform. It sits between users and the applications they need, helping organizations control who can log in, what they can access, and how they are verified. Security and IT teams use it to manage workforce, customer, and Artificial Intelligence (AI) agent identities from one place. Capabilities cover Single Sign-On (SSO), Multi-Factor Authentication (MFA), lifecycle management, identity governance, privileged access, and threat detection.

What Is Okta Best For?

Okta is best known for its Identity Threat Protection. It monitors user behavior, device health, and session context using AI throughout every session. Most security tools only check identity at login time. A stolen session token can give an attacker hours of access without anyone noticing. When something suspicious is detected, Okta responds automatically. It can force re-authentication, restrict access to read-only, or terminate sessions across all connected apps.

How Much Does Okta Cost?

Okta pricing starts at $6/user/month for the Starter plan in ‘Workforce Identity Module’, offering a foundational setup for identity management. It also offers a free trial for the Starter plan. Other plans in this module include:

  • Essentials: $17/user/month
  • Professional: Custom pricing
  • Enterprise: Custom pricing

The platform also offers ‘Customer Identity Module’ for Enterprises. It includes the following plans:

  • Enterprise Base Platform: $3,000/month
  • B2C Suite: Custom pricing
  • B2B Suite: Custom pricing

In addition to the base subscription costs, organizations should account for the following potential expenses:

  • Implementation: $2,000–$15,000 for SMB and mid-market deployments; $15,000–$50,000+ for complex enterprise implementations
  • Migration And Deployment: $2,000–$15,000, depending on the number of users, applications, directories, and existing identity systems
  • Admin And Security Training: $1,000–$10,000, depending on the number of administrators and training requirements
  • Ongoing Administration And Support: $2,000–$20,000+ annually in internal or third-party resources, depending on deployment complexity
  • Customer Identity / Auth0: Starts at approximately $36,000 annually for the base Customer Identity platform, with additional usage-based costs depending on monthly active users and selected capabilities

Enterprise buyers generally find the cost justified since the platform's security depth and integration ecosystem reduce the need to license and manage separate solutions. Smaller teams and startups occasionally flag pricing as high, particularly when only a subset of Okta's capabilities are needed.

Okta Use Cases

Based on our analysis of user reviews and Okta features, we have identified key scenarios where the platform is a strong fit for security and IT teams:

Enterprise IT Teams Managing Credentials Across Multiple Applications For Employees

Large enterprises usually do not have a scalable way to manage separate credentials for every application across tens of thousands of employees. Hitachi uses Okta to authenticate 1,500 applications for around 480,000 global users from one identity layer. Single sign-on gives every employee one login across all connected apps. Resulting in IT teams spending less time on credential requests and more time on high-priority work.

Security Teams Building A Zero Trust Model Without A Unified Identity Platform

Building a Zero Trust security model requires knowing exactly who is accessing which systems and how. FedEx built its Zero Trust foundation on Okta, integrating more than 250 applications and, according to Okta, retired five legacy systems. Okta centralizes authentication, MFA, and login activity monitoring across all connected apps from one admin view. Security teams get the visibility they need without juggling separate tools for each system.

IT Teams Manually Provisioning Access After A Merger Or Large-Scale Employee Change

After a merger, IT teams have to set up access for hundreds of new employees across multiple applications. Mars noted that it onboarded 100% of post-acquisition users through Okta rather than working through each system separately, noting a reduction in onboarding time by 50%. Okta's Lifecycle Management provisions and deprovisions access automatically as user status changes. Large-scale onboarding events stop creating a manual backlog for IT teams.

Hospitality Brands Managing Digital Identity For Customers Across Multiple Properties

A hospitality company with many brands and properties has no clean way to manage customer identity across all of them separately. Okta notes that the Wyndham Hotels and Resorts brought 100 million users onto one platform and cut development labor costs by 85%. A unified customer identity layer handles authentication across all brands from one place. Centralized security management allows development teams to spend less time on login infrastructure and more time on the guest experience.

Is Okta Right For You?

Okta is an independent identity and access management platform, connecting employees, customers, and AI agents to the applications they need through single sign-on, multi-factor authentication, and centralized access governance. It's well suited for organizations managing a growing number of apps and access requests across a workforce, customer base, or a partner network.

For teams that need to prove their security status to regulators, enterprise customers, or auditors, Okta provides documented compliance across SOC 1/2/3, ISO/IEC 27001:2022, HIPAA, GDPR, PCI DSS v4.0.0. It also complies with government-specific frameworks like FedRAMP High and DoD IL5, alongside a dedicated incident response team and a responsible disclosure program. JetBlue, Box, and Slack use it across different industries and scales.

Okta Features

Identity Security Posture Management

Data from identity providers, cloud platforms, and SaaS apps feeds into one view to surface hidden vulnerabilities. Misconfigured settings, over-privileged accounts, and inactive users all get flagged automatically. Teams fix specific gaps before they become entry points for attackers. No manual audit is needed to keep the picture current.

Okta Customer Identity

External users can register and log in across multiple apps using social login, multi-factor authentication (MFA), and progressive profiling. Developers embed these flows using pre-built components rather than writing custom login code from scratch. The result is a consistent, secure experience for customers across every app the organization runs.

See How It Works
Lifecycle Management

When a new employee is added to an HR system, Okta automatically creates their accounts and assigns the right access across connected apps. When someone changes roles, permissions update to match. When they leave, access is removed across every connected system. Resulting in IT teams no longer having to do each step manually.

See How It Works
Identity Governance

Access reviews run automatically based on predefined rules rather than waiting for a manual trigger. Segregation of duties policies make sure no single user holds access to two roles that create a conflict. Every change to user access is logged in a full audit trail. Compliance reporting draws from that trail rather than requiring teams to gather data separately.

See How It Works
Device Access

The sign-in screen on Windows and macOS devices becomes the first identity checkpoint, not just a local password prompt. Users verify through password-less MFA before the desktop loads. Once verified, they carry that authentication into connected apps without logging in again. This removes repeated prompts throughout the workday.

See How It Works
Single Sign-On Workforce Identity

One set of credentials gives employees access to all internal and external apps their role requires. A central authentication token verifies identity across every connected platform without asking the user to log in again. Password reset requests to IT drop because there is only one credential to manage. Staff spend less time on logins and more time on strategic work.

See How It Works
Secure Partner Access

External partners get access to specific shared resources without touching the rest of the organization's infrastructure. Administrators set granular permissions for each partner or partner group without modifying existing systems. The organization keeps full control over what each external party can see and do.

Keep all apps secure

Pros

I love how easy and quick it is to log into all my work apps from one place. It saves time, keeps everything secure and the mobile app is very easy to use too.

Cons

Sometimes it logs me out too quickly without any warning and when there are issues with multi-factor authentication, it is not always easy to figure out how to fix it without getting help.

Would definitely recommend it

Pros

It is very easy to use, the integration was also pretty simple and it is very reliable once set up and maintained. Honestly I am very happy with it.

Cons

Occasionally we need to manually sync it when it is integrated with Windows AD since it does not always auto-update.

Trust it for complete security

Pros

This is probably the best 2FA authenticator app I have ever used. Also it is comprehensive and reliable. My company switched to it from Google Authenticator not long after I joined.

Cons

Depending on our network security settings, updating our contact information or other details can be a lengthy process to regain account access. And while it is a temporary hassle, the security and protection you get with this product make it worth it.
