Pros

For just $40 a month plus $6 per employee, OnPay offers an unbeatable deal with unlimited payroll runs, management of all employee pay types and fantastic HR resources which also includes a vast library. The intuitive self service portal is essential and easy to use. Self-generating reports and checklists simplify tax compliance. Plus customer service is readily available and accessible in numerous ways and the employee portal is a great addition.

Cons

Extra costs for mailing documents - No discount for higher volumes - No mobile app for Android users - Tax alerts are difficult to resolve - Time off does not always sync properly throughout the system. In short too many problems

OnPay made multiple tax errors and took months and months to respond
Pros

OnPay works well if you do not require much support. However, their support team is slow and sometimes make errors which cause challenges mainly if you are managing payroll for a small business and need some level of assistance.

Cons

The issue with OnPay is that they often misfile wage withholding with state governments, sometimes make calculation errors and occasionally file a day or two late. This results in fees, interest and time spent resolving the problems. The biggest issue was how long it took OnPay to respond. For example, I submitted a ticket OnPay responded after weeks. For another incident, they never responded at all. Additionally, OnPay did not honor the first month free offer they advertise.

Pros

Running payroll biweekly with OnPay is pretty easy for me. It takes just a short amount of time and my employees accounts are credited quickly. I also like the fact how simple it was to set up workers compensation and I am currently preparing to integrate retirement options.

Cons

Working with a piece rate system has been a bit tricky to set up through OnPay since its not a typical hourly or salary position. I have managed to find a workaround.

I use OnPay for payroll twice a month. Once I input the employee information into their system, processing payroll become a hassle free task! Their customer service is outstanding as everyone I hae spoken to has been genuinely concerned, patient, helpful and friendly. Well i must say I have never called without having my issue resolved on the spot.

Cons

I was initially confused about setting up new employees, especially since I had never worked with payroll before. It was a challenge at first but now its easy.

Pros

OnPay software is very easy to use. When issues or concerns arise, their team responds quickly and sometimes even takes over my desktop to walk me through processes or locate specific information.

Cons

I live in an area where local taxes only apply once a certain income threshold is reached. Although my household eventually hits this high income threshold when combined with my spouses earnings, OnPay has not been able to withhold this tax voluntarily yet, even though I did like them to.

Onpay versus Paychex
Pros

In the beginning, I used Paychex for my small business payroll and tax needs for five years when I first started my PLC. It worked well enough, especially since my business is small and I didn't need much from the service. However, they increased their costs by 20% each year. After five years, I realized it was not worth continuing with them. I looked around and found OnPay. I have been using it for over eight years now without any issues. Its easy to use, important documents are always available online and adjustments are simple. I can handle 99% of what I need through their online portal. Whenever I have a question or need assistance, there is always a tech person available to chat with in real time. I have had no problems in eight years and both tax paperwork and direct deposits have been perfect.

Cons

If you need a lot of hand-holding for payroll and monthly deposits, you might want to use another service like Paychex, which assigns a person to help you. However, this comes at nearly ten times the cost for basic tasks that you can handle online with OnPay with minimal effort. An improvement would be for OnPay to send an email reminder to run payroll towards the end of the month.

A System That Really Works for Small Business

OnPay is user friendly and offers easily accessible help articles when needed. Also it allows me to process our biweekly payroll in minutes and sends helpful reminders to complete payroll early when holidays are approaching.

Cons

It generally works well but if you lose your authentication device, it is a major hassle.

Cons

I had a terrible experience with their service. After resetting my phone, I could not use the 2 factor authentication app. OnPay refused to reset the security settings to let me pay my employees on time, even though I had all the account information and the same phone number they could have used to contact me.

Pros

Thanks to OnPay, I can now run all my commissions weekly, which is much more suitable for both my clients and my team. After thorough research, I chose OnPay and I am thrilled with my decision. The transition they facilitated for me last year went smoothly.

Cons

I did like new hires to use the app to provide more information, like their emergency contact details. Instead of having to log in and check, it would be great to get an alert when a candidate accepts a proposal.

Onboarding contract workers was pretty simple and easy.

Cons

I had to adjust to the 2 day direct deposit, as I was previously used to a 1 business day direct deposit with Intuit. Also, it was not very intuitive when setting the "check date" for payroll runs with my 1099 contractors. I think there should be a feature specifically for paying contract workers that is not labeled as a "payroll run."

OnPay is great for my non-profit
Pros

OnPay sends invitations for employees and contractors to onboard themselves. Its easy to adjust pay rates or benefits and the standard reports are well-organized and useful. I love that OnPay manages all my tax payments across four different states and year-end reporting is so easy. Employees can log in to view their forms without needing admin assistance. I only pay monthly for those employees or contractors who are paid that month.

Cons

Better help documentation would be useful, perhaps with info blurbs on how to make changes to a pay run at different stages, how to delete and restart or how to include employees who were missed in the payroll run.

The software is very easy to use and the reporting features meet all our needs. The monthly cost is only a fraction about 1/5th of what we were paying for a similar service. Whenever I need help, the support team is amazing and provides solutions promptly. I'm really happy I made the switch!

Cons

There are a couple of minor areas that could use more development. The PTO tracking could be more customizable and the "benefits" section could benefit from better subtotaling.

Pros

OnPay offers all the payroll, tax compliance and vacation tracking services we need through an easy to use interface. Our previous payroll provider could not handle QSEHRA and had poor customer service. In contrast, OnPay is responsive, helpful and innovative, especially with the many changes and services related to COVID.
