Transformed how we operate

Pros

Charity Tracker is changing how we support people across our communities. It helps remove barriers and gives organizations with similar goals a fast, efficient way to connect and communicate. The bulletin board has become the feature we use most, with multiple organizations logging in and making use of it every week.

Cons

software name can feel off-putting to some of our community members and I wish it were a bit less offensive. It would also be really helpful if individuals could create group chats within the database and share documents with selected groups of people.

Unmatched support

Pros

The level of support and personal attention that comes with this program is unmatched. The Simon Solutions team has been absolutely fantastic.

Cons

I really do not have any complaints about the program itself. The toughest part has been getting some of our agencies to actually use it but the simple management tools and helpful training videos make that much easier.

comprehensive system

Pros

It covers everything we need to keep reliable records for the people we assist. It has given each church in our community a way to stay coordinated, track misuse more effectively and set goals for clients while also holding them accountable for the steps we've asked them to complete.

Cons

The per-user pricing feels expensive. I really wish the cost was based on the organization instead of each individual user because it can become costly fast when adding multiple people especially when some would only log in occasionally while others use it every day.

Pros

Found it simple to understand. It has cut the time we spend on paperwork and pulling reports by at least half, if not more.

Cons

The geographic network limit is helpful in some ways but it also creates a drawback. It makes collaboration with agencies in our area easier yet it does not show any assistance people may have received outside our region.

gentle learning curve

Pros

Getting started with it was incredibly simple. It's very user friendly and pretty much plug-and-play so there was hardly any learning curve when it came to figuring out how to use it. The pricing is also a big plus since it's affordable and offers a month-to-month payment option. I also really appreciated being able to test it out before committing to a purchase which gave me a chance to see whether it was the right fit for Jordan's Run Ministries and how useful it would be for the people I work with too. Another feature I've really enjoyed is being able to scan documents directly into each file and clients can digitally sign each ROI which is very convenient.

Cons

Honestly I don't have any real complaints about it. It has met my expectations and even gone beyond them.

gives me a quick snapshot of a client's stability scale

Pros

Appreciate the assessment tab since it gives me a quick snapshot of a client's stability scale along with the other built-in assessments. The dashboard is simple to move around in and pages load fast without keeping me waiting. I also really appreciate the personal info tab because it puts all of the client's details together on one page. Overall for $25 a month, this is the best database I've used.

Cons

I have a hard time pointing out any real issues with the system. The only limitation on my side is that my organization requires me to keep case notes in a separate database even though CharityTracker does include a case note tab.

Pros

Being able to monitor clients and see which services they've already received across the community is the part I value most. Sending alerts to all agencies is also really helpful. Another thing I appreciate is having control over what information I choose to share with other agencies which gives me a good level of discretion.

Cons

Honestly there's not much to complain about with this product because it works really well. The only minor annoyance is that it asks me to change my password more often than I'd prefer but at the same time, that extra security is understandable these days.

Incredible bulletins

Pros

Having a clear, ongoing record of the assistance each person has received has been the biggest benefit. The bulletins and alert features have also been really useful.

Cons

Pricing is the biggest downside. At $20 per month per user, it feels too expensive for many smaller churches and charities and it has ended up being a barrier for important community partners who might otherwise join the platform.

Being able to track the help each client needs or receives across the community has been really useful. It also gives our office a clear way to monitor the assistance people have needed or already received.

Adjustable categories

Pros

Using CharityTracker has been very simple and being able to adjust the categories adds a lot of flexibility.

Cons

What would make it even better is adding three selectable options on the left side of the screen, Option A to keep it the way it is now, Option B to show 20 lines of the last client served and Option C to display 20 lines of the most recent searches.

Improves effectiveness and cuts frauds

Pros

It does a solid job of helping coordinate work aimed at cutting down fraud and inefficiencies while improving overall effectiveness and service delivery.

Cons

Disaster response and recovery still need stronger integration. Even though CharityTracker is built around case management, there are processes and integrations that could make disaster case management far less complex and much more efficient.

Our favorite tool

Pros

It has been a favorite for us because it's very user-friendly. It doesn't require a three-day training seminar to figure out how to use it and it certainly doesn't take half an hour just to enter one person. The system is simple to learn, simple to navigate and pulling reports is just as manageable.

Cons

The separation between time and assistance is confusing since we track both. When we meet with a client, we have to enter the case management under time and then create a separate transaction for the assistance which feels disconnected.

Volunteer-friendly and reliable

Pros

Our team uses it with quite a few volunteers, all with different levels of technical know-how and it's been very simple for everyone to learn and work with. We really haven't run into any problems getting people up to speed on the system.

Cons

This platform can feel a bit rigid at times but we've still been able to make it work for what we need. That said since we don't currently share data with other agencies, it hasn't been a problem for us. If we did need that kind of coordination, we'd probably need a more standardized way of using it.

convenient web-based platform

Pros

Having a web-based platform makes it really convenient to check when our organization has provided assistance and also confirm that the system isn't being misused.

Cons

There's been a bug in Microsoft Edge that logs me out often for no clear reason but I received an email recently saying CharityTracker knows about the issue and is working on a fix. In the meantime, using Internet Explorer has mostly taken care of it for me.

Awesome duplicate alerts

Pros

Whenever I enter a person whose information matches an existing record, it flags it right away which is really helpful. The message board is also a useful feature since it gives people a way to connect and offer support when needed.

Cons

The messaging layout could use some work because it feels clunky and doesn't look very appealing right now. It would also be better if it were more accessible to more people instead of feeling so exclusive.

Charity Tracker has been really useful for linking our clients with other services and support available in the area. It also gives us a way to spot potential fraudulent activity when it comes up which adds a lot of value.

Cons

It helps community-based nonprofits work together and stay connected. When we're trying to identify whether someone is dealing with ongoing hunger such as visiting 2-3 pantries each month, the program gives us the details we need to look into the root causes and connect participants with resources that can reduce their reliance on pantry services.

Cons

One thing that would improve it is being able to tell from the first screen whether someone has already registered under their full SS# without needing to open the edit screen.

Plenty of customization options

Pros

Quite easy to use and there are plenty of options to customize it to fit our needs. Whenever I had a question or needed help, the response was always quick. It has made a real difference in helping us monitor where our funds are going and the impact we are making.

Cons

A few parts still feel limited in terms of customization. For example, I would love the ability to add fields like "vendor" on the assistance record so we can track who a bill was paid to, along with a "confirmation number." Some added reporting tools would also be very useful. It would help a lot to have a quick visual showing total assistance provided per individual or household year-to-date so we could instantly see how much support they have received. It would also be useful to search all assistance records by dollar amount, by text entered in the notes or by gift date and specific time range.

easier to use compared with other systems

Pros

Compared with other systems, CharityTracker has been easier to work with. It's been a really good fit for a young nonprofit and I've especially appreciated the newer option to create our own Goals and Outcomes.

Cons

I do wish there were more flexibility in changing the personal information fields so we could customize tracking to better match our needs. We had originally hoped to roll it out countywide across multiple agencies but that doesn't seem realistic and the system ends up tracking more information than we actually need. I'd also love better report filtering by identification code. Right now, if I choose an identification code, the report pulls everyone from all identification categories so I have to export everything to Excel and manually separate participants for a specific workshop.
