Complete tracking features

Pros

It covers pretty much every feature you'd expect from a tracker and the whole system is very simple to use.

Cons

Honestly there's not much to complain about here since everything is fairly simple to use.

allows us to show our work

Pros

Having a portal to monitor our support efforts has been a big improvement. It lets us clearly show the work we do, with solid data to back it up which makes reporting and demonstrating our impact much easier.

Cons

I can't always see the most current total assistance right away. I have to wait until the next day or run a report to get the updated numbers.

Pros

It stands out for how customizable it is and the customer service and training support have been consistently excellent.

Cons

Before setting up the barcode system, it's important to fully understand how it connects to categories, tracking and reporting.

Pros

CharityTracker has been very user friendly for us and the customer service has been awesome with quick responses whenever we need help. Having multiple users is essential for our department so that feature is a big plus. It's also nice not having to think about backups or system maintenance.

Cons

There are a few applications included that don't really fit our needs and we may never end up using some of those features.

Solid product

Pros

The quality feels solid and trustworthy and the platform has been reliable. Customer service is also handled discreetly and professionally which I really appreciate.

Cons

It can be a bit slow at times depending on the network strength but overall it's still a good software to use and offers an interesting experience.

client tracking that really helps

Pros

Keeping up with our clients' most recent assistance is very simple and I can also quickly see what help they've already received from nearby nonprofits.

Cons

Building reports is still difficult for me but customer support stepped in and helped set up the ones I needed and now I can reuse them whenever necessary.

Detailed notes for each person

Pros

Working at a non-profit, this has been a really helpful way to manage our participants. I can create a profile for each person one by one, add their photo and keep detailed notes in their record. It's also useful that we can log items we give out or even track items they "purchase" directly within the system.

Cons

Theres a lack of file upload options for cases. Right now, I'm only able to add notes within the program and I can't attach outside documents or extra files. It would be much better if we could upload our own forms or other paperwork to each individual case.

appreciate the referral feature

Pros

The referral feature is probably my favorite part because it lets me request services for a client directly from the office without needing to leave or turn in anything separately. Everything is right there in front of you which makes the process much more convenient.

Cons

There are still a lot of glitches though. The system goes down at least two or three times a day without any warning and it usually seems to happen in the middle of a really busy day. On top of that, customer support can sometimes be difficult to reach.

Ability to group family members

Pros

Being able to group family members together is really useful and it helps keep an ongoing record of the services they've received from different churches in the area.

Cons

needing the exact spelling of a person's name to check whether they've already accessed community services is a bit annoying. It also lacks a community posting board.

can choose privacy for notes

Pros

Ability to include the other agencies I work with in my agency network is really valuable and I appreciate that I can choose whether notes and assistance details stay private or are shared with others.

Cons

Once a user account is created with an email address, that same email can't be used to create another account.

Better than other programs I've tried

Pros

It has been much more useful than most programs I've tried. It clearly shows how much I've donated and explains where the money is going and what it's helping support.

Cons

It would be even better with stronger support behind it and better advertising so more people would know about it and be able to contribute.

amazing cross-agency visibility

Pros

Its great being able to see every place a person has received services, as long as those agencies are using CharityTracker.

Cons

Only one person can be signed in under the same username at any given time and only the site administrator has access to change the settings.

Relationship linking is fantastic

Pros

Being able to connect relationships in CharityTracker has been my favorite feature. It makes managing client and household connections much more useful and organized.

Cons

The biggest issue for me is that the "living with" checkbox on the alerts and notes screen is not checked by default. Even more frustrating, I can mark that box for a client on my system but someone else in my office can open the exact same client and not see it checked on their end so they miss the same information unless they remember to check it themselves. There are times when important household details are listed under a different client's screen and if the user forgets to select the living with option, that information gets overlooked. I'd really like the living with box to be checked by default across all screens, like it appears to be on the assistance screen and then let users uncheck it if needed.

Pros

The database has been a really valuable tool and makes managing clients much simpler.

The only real drawback is that too many people still are not following through. The issue is not with the product at all, most of our users just do not realize how powerful the tool available to them really is.

Amazing how simple it is to use and how quickly we can share messages and keep client records updated thoroughly across different departments.

Cons

There is a bit of repetitive data entry when setting up a new file which can feel tedious but I'd still take that over having blank fields or missing information.
