“Why I�m Loving IntakeQ
Pros
Everything is now centralized for our business. The portal, calendar, and all the forms are in one place, so we don't need to rely on multiple programs anymore. Plus, the ease of use and top-notch customer service are definite perks.
Cons
I needed some HELP from someone more technically inclined to help me set up our initial forms. Partly because I was short on time and knew they could get it done faster than I could.

“Invest in Your Practice with This
Pros
IntakeQ's team responds quickly to emails, usually within a few hours during business hours. The client portal is outstanding, allowing clients to schedule appointments, view and pay invoices, update credit card information, submit forms and journals, and communicate with the provider. Once you get the hang of it, the form creator, booking module, and billing system are quite straightforward.
Cons
The task manager can create automatic tasks, but the issue is that completed tasks don't automatically disappear from the list. There's a bit of a learning REQUIRED when setting up intakeQ to suit your specific needs, but that's to be expected from something so adaptable.

“Glad I Made the Switch to IntakeQ
Pros
I absolutely love how easy it is to create and edit forms. The calendar lets me color-code events, and I have three different options for accepting credit cards, conducting video sessions, and incorporating clearinghouses for claims. It's great to have the freedom to choose, unlike other programs that limit you to one option.
Cons
I would really appreciate a clear and easy-to-access accounting page that shows charges for services, what the client owes, what they've paid, what the insurance owes, what the insurance has paid, and any discounts applied. There is one, but it's not easily visible in the client's file.

“Automation Made Easy for Clinics
Pros
The form design is really simple to use, and it's great to be able to take our existing PDFs and just add a signature box where it's needed.
Cons
While it's on the pricier side for the features we use, we're still willing to pay for the paperless automation and overall ease of use.

“Streamlines scheduling and client interactions
Pros
While it was built for healthcare, it can be adapted to other professions without much commotion. Plus it streamlines scheduling and client interactions as booking is simple, sharing forms is simple and e-signatures and billing are built right in. I also like that questionnaires and intake forms are customizable so I can tailor them for different clients. The interface feels great overall too and I can adjust care plans, weight charts and billing settings to match how I work. Messaging is also smooth and I can quickly edit and return documents to clients. It even covers the core features I need, such as billing, intake, notes and includes a Business Associate Agreement (BAA). I have not tried the virtual visit option yet, but it looks promising too.
Cons
In my experience it has a few pain points to be aware of. Like there is a noticeable learning curve which is not unusual for healthcare platforms but it did take me some time to get comfortable. Navigation can be awkward at times. Though the help videos and tutorials were useful, yet I still wish the overall layout felt more�user-friendly. I also found the mobile experience less polished than the desktop version and that could be frustrating for clients who prefer managing things on their phones. Another annoyance is that clients must be invited into the portal instead of being automatically added when they book which adds extra admin work. Finally some plans restrict how many intake forms you can send and that limit bothered me and others I know on certain subscriptions.

Pros
What I like most is how easy it is to use. I can share forms, collect electronic signatures, handle invoicing and set up customizable questionnaires without any prior experience, so anyone on my team can start using it right away.
Cons
However I find it confusing for clients because they must sign up before accessing anything. Plus it can fail on certain phones and more often than not they need help figuring out how to complete the whole process.

The software is highly simple and very easy to set up, making the onboarding process much easier than I initially expected.
Cons

“Top Choice for Budget-Conscious Practices
Pros
IntakeQ excels at integrating with other platforms without reinventing the wheel. They're also very forward-thinking and help reduce duplicate work. For example, events from Google Calendar can sync with IntakeQ while still being HIPAA-compliant by marking them as 'busy'. This is just one example, but their integration with other expert tools makes IntakeQ stand out as an EMR.
Cons
Having the settings near the functions you want to change can be convenient, but I think a single settings page might be a better solution for quick access to changes. Kind of like how iPhones manage individual app settings and subscriptions.

“Solid Product That Delivers
Pros
IntakeQ offers high levels of customization, giving you full control over forms and processes. The automation features make workflows smooth, especially for group practices. Their scheduling and form/questionnaire tools are the best I've come across.
Cons
Setting everything up takes a lot of time because the system is so flexible. It can also be tricky to find things sometimes because of all the options and settings.

Pros
The customizable forms and task automation, along with pinned notes, are fantastic. They also engage with their community through an active Facebook support group and take customer feedback seriously.
Cons
There's a limited ability to transfer or upload patient records from another system when transitioning to intakeQ, and there's no document library. Plus, you can only fax one document from a patient record at a time, and there's no functionality for medication lists or allergies yet.

Pros
Scheduling appointments is very easy, and having 24/7 access to client records, reminders, and the ability to send forms before and after sessions makes everything so much easier.
Cons
You can't search for a series of available appointments, and there's no way to search for the number of missed sessions a client has had.

I have tried many of the options on the market and IntakeQ strikes me as the most advanced while still being�simple. So I think it would suit most small healthcare practices very well. however be prepared to be patient and spend some time customizing the setup so it matches your needs.
Cons
In my experience there is a learning curve to using it but I don't see that as a dealbreaker since most healthcare programs require some time to learn.

“Impressive customization and automation options

For me the platform's customization and automation are seriously impressive. When I am building new forms and templates there are several different question types to pick from which makes designing intake workflows�simple. Nearly every part of the system can be tailored to fit my practice's specific needs and processes. Plus the support section on the website has been genuinely helpful and the Facebook group is a useful resource for finding timely answers to questions that pop up.
Cons
From what I have seen in its Facebook group excluding any private messages, more than fifteen clinicians have requested a way to let two different people have separate, independent access to the same client's portal. A common scenario is a minor with separated or divorced parents in high conflict and that exact capability is what holds me back from fully committing. I do not want to revert to another simple EHR, yet that seems to be one of the few platforms that supports this multi-access setup. Honestly it feels like this is the only functionality missing from IntakeQ for my needs.

“Take Control with IntakeQ
Pros
IntakeQ had everything I needed for practice management and easily integrated with the online services I was already using, like Square, Office Ally, and Google Workspace. The pricing was fair, and I had more control over setting up things like documentation, the client portal, and automation processes.
Cons
Some features took a while to figure out, and there were a few bugs. I wish there was more control over how documentation is organized in a client's profile. Since I had experience working with documentation and integrating with Google Workspace Apps, the transition was likely easier for me than it might be for someone without that background.

“My Absolute Favorite EHR
Pros
This EHR is incredibly affordable for group practices compared to others I've tried. The level of customization is remarkable, and while the initial setup takes effort, it's absolutely worth it in the long run.
Cons
I'd love to have a bit more customization when it comes to insurance billing information.
