Flexible planning choice

Pros

One thing I really like is how flexible it is with project planning as you can map things out at a high level or break everything down into very specific details, depending on what you need. The progress and activity tracking is easily one of the most useful features because it helps keep everything on course and makes it easier to stay organized. The email reminders are also really helpful especially when something is overdue and needs attention.

Cons

There honestly isn't much for me to complain about. When I first started using it around six years ago, it felt pretty bulky and complex. Since then though, the interface has been improved a lot and it's much better now.

Task duplication saves tons of time

Pros

Getting started with Asana was incredibly simple. Being able to add my team, duplicate individual tasks and even copy entire projects has been a huge help. It cuts down the repetitive work that used to take up way too much of my time.

Cons

The one thing I'd really like to see is the Calendar connect with Google Calendar.

Highly clear project visibility

Pros

Watching cross-department projects come together is much more manageable with this software. It gives the team an at-a-glance view of what's happening while also serving as a detailed record once the project wraps up. The template creation feature is really useful and I'd like to take advantage of it more often. I also appreciate the chat function because it keeps quick questions and smaller conversations out of email which helps prevent inbox clutter.

Cons

One limitation comes up when the same task needs to be assigned to more than one person. The system only lets you assign a task to a single user and while collaborators can be added, that still leaves me duplicating tasks to cover multiple people. Beyond the platform itself, successful use across an organization really depends on broad buy-in and a willingness to change how teams communicate and work together. Adoption, training and ongoing education are a big part of making it successful.

Effective team communication

Pros

Keeping in touch and coordinating with the team through Asana has been very effective for us.

Cons

At this point it's been working really well for our needs and we haven't run into any disadvantages yet.

Team visibility keeps projects on track

Pros

One thing that really works well in Asana is being able to see what each team member has completed during the course of a project. It helps everyone stay aligned, keeps the whole team on the same page and makes it much easier to make sure deadlines are being met.

Cons

There honestly are not many downsides to this software. If I had to point out one issue, it would be that the number of features available can feel a bit overwhelming for some users.

provide helpful reminders

Pros

Being able to add tasks and set reminders has been really useful. I also rely on it every month to keep track of fees and I really like the color-coded folders that I can either keep private for myself or share with other staff members.

Cons

The only thing I'd still like is a wider selection of folder colors.

Versatile task sharing win

Pros

Using Asana has been a big help because it's very user friendly and flexible. We can assign tasks across multiple projects, notify the right people, automate updates and handle a lot more in one place. It has cut down our email volume quite a bit and now we depend on it to keep track of our daily, weekly and monthly work.

Cons

A few basic things are still missing which is frustrating. For instance, you cannot place a project tile under more than one team and that feels strange. Template setup is also confusing because the template tasks stay live and appear in my tasks even though they're supposed to be templates and not active projects. On top of that we use it with Salesforce workflows but it only supports one workflow when we really need five or six. The reference sheet for adding more doesn't work either. It would make much more sense if they simply allowed up to 10 the same way they allow one, instead of forcing us to rely on Process Builder when everything should be handled in one place.

simple setup

Pros

It is a user friendly tool and bringing in spreadsheets from other tools is simple too. For people who aren't very tech-savvy or usually avoid project management software, it's actually a pretty comfortable experience. After spending a little time with it and using it to organize a few personal projects, it becomes much easier to encourage the rest of the team to start using it as well.

Cons

To really take full advantage of the reporting features, you'll need to move up to a higher-tier plan. And if you're working with external clients across several different projects, another tool may be a better fit.

Centralized teamwork

Pros

Keeping projects and deadlines organized has been much more efficient with Asana. Our teams collaborate a lot across different departments and having everything in one place makes working together much simpler.

Cons

One limitation comes up when trying to add tasks back into a project that's already been created. It would be much better if moving tasks under different parent projects could be done with a simple drag-and-drop action.

Fantastic for project visibility

Pros

Keeping track of work has become much more manageable with this. I can see all of my projects visually in one place sort them by priority and the file upload feature is especially useful. It has made it much simpler for my team to monitor project status, milestones and completed tasks.

Cons

The project tile setup can be a little wonky sometimes.

Flexible views

Pros

Right away it seems clean and modern. The layout is fresh and I really like how flexible it is with the different view options like list, Kanban, calendar and others. Subtasks are handled nicely and assigning work to specific people also works really well.

Cons

I feel like the interface is a little too minimal. It sounds odd but with so much white space, I sometimes had trouble visually telling where one section ended and another began. Also features such as Gantt charts are locked behind the paid plan although that's pretty standard for apps like this.

Task deadlines keep teams aligned

Pros

Within a project the task setup works really well. You can assign each task to a specific person and set a deadline which makes it clear who is responsible for what and when it needs to be done.

Cons

One thing that seems missing is the ability to assign a single task to multiple people. That's disappointing and it doesn't seem like it would be a very complicated feature to add.

Team coordination done right

Pros

Having everything in one place has been a really positive experience for managing the whole team. I can review everyone's work, talk through issues and reach out directly whenever needed. It's been very useful because it offers plenty of features for handling the team and workplace digitally in a convenient way. We can communicate with everyone together or one-on-one and people usually reply on time with helpful feedback and suggestions.

Cons

The downside is that it's costly to keep using especially since the free trial comes with limited features.
