Flexible projects from anywhere

Pros

Using this software is very easy and I can access it from anywhere, no matter where I am. Creating each setup or project only takes a few seconds and assigning permissions for every project and even individual tasks, is simple to manage.

Cons

A few features were missing which was frustrating and it didn't seem like the company was very concerned about addressing that.

Flexible teamwork

Pros

The interface looks really professional and it's simple to use whether you're working on your own or collaborating with teammates. It has a decent structure out of the box but there's also plenty of room to customize it to fit different workflows.

Cons

One thing that would make it even better is having more video walkthrough instructions.

Top organized projects

Pros

Each day Asana acts as the central to-do list for me and my team, with all of our tasks neatly organized into projects that are simple to access. If something isn't in Asana, it basically didn't happen. It also makes it very clear who is responsible for each part of a project at any given moment which helps everyone stay aligned.

Cons

The interface can come across as a bit plain and lacking inspiration for some users. We also thought the way multiple workspaces are handled was somewhat confusing. On top of that setting up a truly well-structured workspace takes quite a bit of planning, otherwise you can end up with too many scattered projects and tasks.

Easy workflow

Pros

Right away the interface is modern and pleasant to look at and navigating through it was very easy. Also it was really helpful to see who else was assigned to a task along with timelines, priorities and other key details.

Cons

To be honest I didn't use it long enough to come across anything I disliked about it.

Flexible project management boost

Pros

It is very simple to use. Overall it's a really useful tool for people managing projects outside the IT sector and it makes organizing work pretty simple and practical.

Cons

The tool is highly flexible but in my usual workflows I actually need more restrictions. Being able to change everything whenever you want is not always a good thing and sometimes that level of freedom can work against consistency.

Relaxing UI for teamwork

Pros

As a team collaboration platform, it does an excellent job of keeping tasks organized and moving forward. The calm, playful interface actually encourages people to complete work and stay on top of follow-ups. It comes with plenty of useful features including Kanban boards, due dates, task alerts and the ability to assign priorities to specific individuals. Views can also be customized so each person only sees the tasks that matter to them. One of its biggest strengths is definitely the UI which feels informal, friendly and relaxing.

Cons

Getting started with the platform can be difficult and a bit confusing. It takes some time before users become comfortable with all of the different functions and sections. On top of that the default notifications and marketing emails can feel excessive At times which might push some users to mute alerts from the tool altogether.

Versatile project tracking powerhouse

Pros

Asana has been really strong for managing projects, keeping an eye on progress and assigning tasks. The different views such as list, board and calendar make a big difference when you need to see your workload clearly and map out projects or campaigns that run over days, weeks or even months. Once the whole team is actively using it, a lot fewer action items get missed, deadlines slip less often and everyone has better visibility into what they need to handle and what's coming next. From a project management standpoint, it's useful to break work into subtasks, assign each piece, add due dates and follow progress as things move along. The custom fields are also a big plus since they let you adapt tasks for all kinds of workflows, whether it's a marketing campaign or video production.

Cons

The biggest downside is that the paid plans are priced per user so the cost can climb quickly as your team gets larger. Another thing that would help is being able to quickly see how many other tasks an assignee already has due around the same deadline which would make scheduling and workload balancing much easier. And while I get the reason behind allowing only one assignee per task even with multiple collaborators added some tasks are genuinely shared efforts so having just one owner can sometimes create confusion around responsibility and who gets credit for the work.

Clear team deadlines visibility

Pros

Keeping track of the team's workload is very easy now since we can see what each person is working on along with the deadline for every task.

Organized timelines

Pros

If you're into project management, timelines and keeping every part of your work extremely organized, this is a really enjoyable tool to use. The subtasks, custom fields and timeline views are all especially useful. I also rely on the My Tasks section because it gives me a clear overview of what I need to handle the next day, week or even month.

Cons

That said it's probably not the best fit for field staff or employees who aren't familiar with project management since it can feel a bit overwhelming for them.

Flexible calendar views shine

Pros

One of the biggest strengths here is the variety of calendar views. Everyone on our team seems to prefer a different layout and Asana supports that really well. We used to rely on a static calendar image made in Visio so this is a huge improvement. Now end users can look at their tasks in whatever format works best for them. Whether it's day-by-day, a standard calendar or more focused or high-level project views, there are plenty of options to choose from.

Cons

Bringing new team members into the system has been a bit slow although it's not really an IT issue. At times we have tasks that need to be assigned to people who haven't been added to the platform yet. It would be really helpful if there were placeholder users available for situations like that.

Powerful project tracking platform

Pros

Asana works as an all-in-one place to plan projects organize workflows, monitor progress, assign tasks and carry everything through to completion and complete with that satisfying rainbow unicorn animation at the end. It also gives you several ways to view and manage tasks which is especially helpful when you're dealing with complex dependencies and lots of subtasks.

Cons

To be honest there are so many features packed into it that it can be a little overwhelming at times. I sometimes get annoyed trying to find the screen I normally use because there are just too many different views and navigation paths.

Handy project tracking anywhere

Pros

Using it for my projects has meant I don't need to be in the office to stay on top of things. I can quickly see my tasks and keep up with how each project is progressing.

Cons

Maybe the pricing because aside from that, I really haven't had any other issues with this software.

Clean interface keeps me focused

Pros

A few years back I was immediately drawn to it because of the white background and how clean the interface felt. The name really fits as it helps you stay focused on your tasks and gives the whole work experience a calm, peaceful feel.

Cons

Time tracking is a big part of my work and the built-in option wasn't something I enjoyed using. Back then, Harvest was the only integration available and it didn't work well for me. Now there's Toggl which is a much better alternative.

Daily tasks keep me focused

Pros

One feature that's been especially helpful is the daily personal task list. It helps me stay on top of the many projects I am involved in without having to open and check each one separately. I can complete a task, move right into the next one and keep everything progressing without losing track.

Cons

It definitely comes with a bit of a learning curve. Bringing new hires onboard and helping them get comfortable with the platform can take training of its own although the basic features like personal tasks are still usable right away.

Flexible features

Pros

It is really flexible, comes with a fairly simple interface and supports a huge number of integrations. It covers the full range of project management tools you'd expect too including Gantt charts, calendar sync, document handling, task tracking and more.

Cons

At the same time it can become pretty messy especially when it comes to the UI. Everything is technically there but at every company where I have used it and each time I have tried to roll it out, the interface complexity and the amount of admin work needed to keep it running properly end up causing things to slip through the cracks. Once the information inside it stops matching reality perfectly, whether that's documents, tasks or progress, the team usually starts to lose confidence in it and wants to move away. That's been my experience every time. We've either switched to something simpler and cheaper like Trello or gone with something cleaner in design but more expensive, like Monday.

Clear layout

Pros

Generous free plan

Pros

Getting started took almost no time at all and I was creating projects and adding tasks right away without running into any issues. I also joined a free one hour introductory webinar and it was very well run and genuinely useful. After that I felt completely ready to start working with my team on setting up and managing multiple projects. The overall layout is very simple and the amount included in the free version is honestly fantastic.

Cons

Of course the free plan leaves out some features that are only available on the Pro tier but upgrading is simply too expensive for our business right now. I'd also find it helpful if there were a few more integration options available.
