Helpful timeline but information overload

Pros

Asana is built as a project management and collaboration tool with a lot of features that can support projects of different sizes and complexity. Even the free version gives enough functionality to run a small business or smaller project effectively. One feature worth calling out is the timeline view which turned out to be incredibly useful on several occasions. The task assignment and organization tools also do a lot of heavy lifting and once the platform starts to make sense, it becomes a very flexible and versatile system with plenty of options for improving productivity and keeping workflows on track.

Cons

Rolling it out for a large international event was probably what made it feel so overwhelming for us. The to-do lists seemed endless no matter how much was completed and even with constant inbox checking, important updates and changes still slipped by. Comments turned into a tangled stream of information, with details branching off in too many directions which sometimes led to useful information getting lost or outdated information being added back in by accident. Assigning tasks was also fairly confusing when trying to make sure everything showed up at every relevant level for everyone involved. Overall, it ended up feeling confusing and added to the workload instead of reducing it, almost becoming a separate daily job of its own. I do think part of that came from the scale of the event and the number of people involved, along with the fact that the tool was newly introduced. My advice would be to begin with smaller projects, learn the system properly and only then move into more complex work. Also, while I understand It offers more depth when it comes to workflow optimization, I'm personally more comfortable with something like Trello because its visual style suits me better even if it is a bit less flexible and complex.

Easy task collaboration

Pros

Creating projects is easy and the collaboration features for working on tasks are really useful. Assigning tasks or ideas and keeping track of them is also not a hassle.

Cons

The overall design still isn't perfect and the interface can feel a bit complex at times.

Clean task organization

Pros

Keeping tasks and to-dos organized inside each project is very easy. It also looks modern and visually appealing which makes dealing with something that could otherwise feel tedious a lot more pleasant.

Cons

There are just so many tasks to manage. If you're moving over from another platform, switching to it isn't very convenient. We came from Basecamp and had to transfer every single task one by one which was tedious and took a lot of time.

Project tracking done right

Pros

I must say keeping tabs on project progress is the strongest part of it for me. My team usually has several projects running At the same time and tracking each one can become a real headache without the right system in place. We also use it to collaborate with clients which is really helpful since they can monitor the project directly through the software as well.

Cons

A few features are missing here and there but nothing major enough to really call out. Overall, this software performs much better for us than some of the bigger-name options on the market.

Powerful features even free

Pros

Even with the free plan it still offers a very good set of features.

Cons

Since it lets you create sub-tasks within other sub-tasks some of my clients occasionally lose track when tasks start branching out from the main one. I usually work around that by limiting how often I use sub-tasks with certain clients but it can still be a downside. Other than that, I don't have any issues with the functionality.

Better than trello for team tracking

Pros

Compared with tools like Trello, this one works better for me. Managing projects with our team of 8 people is pretty easy and being able to see the progress of each project and its current status helps everyone stay aligned on what they need to do at any given time.

Cons

The visual side of the platform is the part I don't enjoy. Working with Gantt blocks and editing them feels not very visual and that's actually the area where I prefer Trello. I'm also not a fan of the timeline because intermediate tasks don't show up which makes it harder to manage intermediate KPIs properly.

Task tracking that delivers

Pros

Asana has made it much easier to organize my tasks by priority and assign deadlines clearly. The daily and weekly reminders are especially useful because they show exactly what's still pending, what's overdue and even how many days late each task is.

Cons

I'm happy with almost everything in this software. The only area where I'd like to see some improvement is adding support for a few more integrations with other tools.

Versatile task tracking

Pros

Getting through each stage of a project felt very easy. The task details you can add are thorough and useful and the setup works well for any team member who needs to be involved.

Cons

One downside is that it sends out too many notifications automatically and linking it with Slack was more complicated than I expected. I also ended up getting an excessive number of emails from the platform itself.

feature packed free plan

Pros

It is a big win because the free version includes a surprising number of features. It's very capable as it is and even though there are some paid tools I'd love to have, they're not necessary for using it effectively. That's been a huge help while launching my business with Asana.

Cons

One thing that seems missing is a true CRM connection within it. I looked through the integrations section for CRM options and didn't come across anything that seemed worthwhile which felt a little strange.

Custom workflows that boost teamwork

Pros

Keeping our work organized has been much better with Asana. Everyone on the team can see their tasks at a glance and that has helped us accomplish a lot more. It's also highly customizable which makes it really simple to tailor the system around how our team works best.

Cons

I've only been using it for a few months and one thing I've noticed is that the high level of customization comes with a bit of a learning curve. It takes some time to figure out which setup makes the most sense for your organization.

Simple project tracking win

Pros

Using it with a team doesn't take much work at all. It's simple, focused and does exactly what you need for managing projects without a lot of unnecessary complexity.

Cons

One thing that bothers me is that users can hide boards from other teams or individuals. That may make sense for admins but overall it hurts transparency across teams. I also see it as pretty basic and no-frills which works in some cases but sometimes a few extra features would really help.

Reliable teamwork in real time

Pros

Working in it every day has been a really positive experience. It gives us the tools to communicate with clients and contract workers in real time which keeps everyone aligned and makes collaboration much better.

Cons

The only thing I'd like to see is stronger built-in time tracking so we could rely on it alone instead of needing to pay for another tool as well.

Fantastic task tracking for teams

Pros

Running the free version with my small team has been more than enough for what we need. It lets us keep tabs on projects, tasks and subtasks without any hassle.

Cons

There's honestly not much to complain about. The extra features I'd want are available, just locked behind the paid plan which is fair enough. The product works really well.

Powerful planning for big teams

Pros

Asana is designed really well for project planning and task management especially in larger organizations where those tools can be fully put to use.

Cons

For smaller organizations though, the cost can be harder to justify since many of the features feel excessive and more like bloat than something they actually need.

Handy task widgets

Pros

Using the to-dos is very easy and the newer features are a nice bonus. The iPhone widget makes it simple to keep up with tasks and check daily activities at a glance.

Cons

Since I mainly rely on the mobile app, navigation can be a bit confusing at times. There seem to be multiple ways to get to the same things which makes the mobile experience feel less user friendly.

Frustrating to work with

Pros

Clean layout, powerful teamwork

Pros

Right away the clean layout makes a strong impression and I've been able to see just how much you can accomplish with it. Our team uses Asana regularly and genuinely loves it and it has played a big part in helping us stay organized and work as well as we do.

Cons

It's still an excellent product but anyone who deals with anxiety may want to be cautious unless they have enough time to fully learn it. We've used it at our company and for whatever reason, I've personally had a hard time understanding how to use it and feeling comfortable with the platform.

Fantastic for new teams

Pros

Getting started with Asana was incredibly quick and the layout is simple to move around in. It also lets you build out as many layers of tasks and subtasks as you need which makes it a really strong fit for teams that are just getting introduced to project management tools.

Cons

One thing I'd still like to see is the option to assign a task to two people.

Helpful task tracking view

Pros

Keeping tasks organized in Asana works really well. You can create tasks, track them and view the whole project as a task list which makes it easier to follow progress and keep an eye on the percentage completed without wasting time.

Cons

One thing that could be better is adding extra time to certain tasks. It would also help to have a smartphone alarm set before the scheduled time and there are moments when it doesn't work properly with Gmail.

Flexible templates

Pros

One thing that works really well in Asana is how much you can customize it to fit different projects. Setting up templates inside each project is practical and helps every team member stay on top of their tasks. It also gives good visibility into information and the quick feedback and update flow helps keep work moving.

Cons

Task buildup can become an issue especially with a very large team since it can make navigation harder and frequent updates may end up slowing down activity progress. Even though this is more of an internal workflow challenge, it would help to split tasks between those already in progress and those that have not started yet. Private notifications and reminders would also make the experience much better.
