Team coordination that delivers

Pros

Keeping projects organized in Asana works really well. It helps our team coordinate tasks and stay on top of progress without things slipping through the cracks.

Cons

It can feel overwhelming for new users because there is a noticeable learning curve. Also it is limiting that each task can only be assigned to one person and the number of notifications can sometimes feel excessive.

Creative task planning win

Pros

Free plan covers it all

Pros

Nice to have a free option that already does everything I need without pushing me into paying for extra add-ons.

Cons

One thing that used to bother me was not being able to duplicate sections along with all the tasks inside them but it seems they added that feature later.

Ahead of its time

Pros

Asana has felt ahead of the curve for a long time. The platform is very user friendly and managing projects with it feels effortless.

Cons

It's honestly hard to point to many downsides because I am happy with most of the features. If anything, they could offer more user allowances within their plans.

Pros

It's practical and user friendly. With just a few basic notions, you can already navigate the software without much trouble.

Cons

There's no direct access to the templates. If you want to edit them, you first have to create a project and only then modify the template.

Helpful team project tracking

Pros

Not only is it easy to use but it's also been really useful for managing the projects I assign to my team.

Helpful project tracking

Pros

As a project management tool, it worked really well for me. I could set due dates for projects and add reminders which helped me stay on top of everything.

Cons

Not being able to export to Excel was a bit disappointing.

Versatile templates and views

Pros

Having pre-built project templates available has been really valuable for our team since they help us handle different kinds of projects more efficiently. The option to switch between multiple views is also something I really like because it gives us a good overall picture of how each project is progressing.

Cons

There have been a few times with more complex projects where managing and keeping track of subtasks became a bit challenging.

powerful team planning hub

Pros

Once your team really understands how to use it and take advantage of all the features, Asana can be incredibly effective. It works especially well for managing shared team tasks, like planning a large annual event with lots of moving parts, deadlines and different departments involved such as marketing, sponsorships, logistics and registration. You can organize work into multiple projects, then break those down further with sub-categories for individual tasks. Tasks can be assigned to one person or several teammates and they can be set up as recurring or one-time items. It's also flexible because tasks can be moved between sub-categories and even across projects. Our team even uses Asana during weekly meetings, where we check off tasks as agenda items and sometimes turn discussion points into new to dos with deadlines, then place them into the appropriate project.

Cons

That said the way it functions behind the scenes can sometimes feel complicated for a team to fully understand. It usually takes some training and a shared understanding of best practices before a group can really use it well. Most of the drawbacks come down to user alignment since everyone has to agree on how the platform should be used and how the team wants to organize and manage tasks. Different teams naturally have different preferences. Another challenge comes up if you work across multiple organizations like I do with several non-profits and use more than one email or alias. If you've already created an account under one email, combining all of your Asana teams into a single login is possible but it can be pretty difficult once separate accounts have already been set up.

good for scheduling

Pros

versatile workflow boost

Pros

Asana has been a very versatile project management tool. It helps my team, my schedule and overall workflows by improving collaboration and productivity. The task and project management features are what I value most.

Cons

One area that still feels limited is the Rules functionality. The Gmail rule in particular doesn't offer much flexibility. I'd also love to see more keyboard shortcuts and it would be much better if notifications could be customized with more detail and control.
