Smooth performance

Pros

Moving items around feels really fluid and the block shift stays clean. Jumping between linked sections works smoothly too. Notes stay right next to what you're working on and the way documents are shaped helps keep my thinking organized. Using templates makes getting started fast and sharing with the team is quick. Drag-and-reorder is responsive without any hassle.

Cons

Search can be a bit strange sometimes and it even skips results that are right there. When a page gets large, mobile performance can freeze. Setting up custom layouts gets complicated and exporting can break the layout. Backups also don't feel fully trustworthy so I'm a little cautious relying on them.

Simple to sort projects

Pros

Uploading your documents and converting them into a pre-filled table has been really helpful. It makes it fast to sort things like tasks and projects and then assign them without spending ages manually organizing everything.

Cons

There is definitely a learning curve and the help section feels pretty limited. I ended up relying more on YouTube videos or pre-made templates because they were quicker to pick up than the in-app guidance.

Comes with synced databases

Pros

It pretty much runs my day-to-day, everything from campaign calendars and creative briefing boards to SEO content checklists lives in one place. I also really appreciate how modular it feels, with flexible blocks, tables and synced databases all built into the workflow.

Cons

The mobile app doesn't feel quite as responsive as the desktop version and when I used it with very large files, real-time collaboration occasionally got a bit laggy.

Checks every box

Pros

It checks every box for me, its tools and features feel really solid and they help me get the most out of my content. There's a lot you can do and it keeps making it easier to organize, build and expand whatever I'm working on.

Cons

I genuinely don't have any complaints. With how packed the app is and how often it rolls out new features, it's more of a positive that it keeps evolving.

Templates save me a lot of time

Pros

Blocks let you stack pretty much anything, checklists, embeds even databases. Drag-and-drop feels natural and nesting helps keep everything organized. Templates also save a ton of time when you're setting up repeat workflows.

Cons

As the workspace gets bigger, search can take longer and permissions sometimes get messy in larger teams. Still, the overall experience holds up really well.

nested lists

Pros

Creating lists within lists is a big win for me and there's a ton of number customization options inside each plane. The level of control feels really flexible once you get going.

Cons

Jumping in at first can feel pretty overwhelming. I'd also love to see more color options or at least stronger controls for customizing the look and feel.

Wonderful flexibility

Pros

It's flexibility lets me bring storyboards, research notes and publishing schedules into one shared workspace and our whole team can customize it how we want.

Cons

Getting started can feel a bit overwhelming since there are so many things you can build from scratch.

Pages look nice

Pros

I use it for documentation and I genuinely enjoy reading it now, the pages look a lot nicer than most other tools.

Cons

Tables are useful but they're pretty limited. Once you try to do anything more advanced than basic layouts, everything starts to feel a bit complex.

Lets us store meeting notes

Pros

It let our whole team store meeting notes, project plans and content calendars in one spot instead of juggling multiple separate apps.

Cons

Valuable library of instructional videos

Pros

Using it has been simple and the library of instructional videos really helped me get up to speed quickly. It's also been a solid fit for team projects especially when we need shared task lists and clear dashboards for everyone.

Cons

Nothing negative so far. If anything, I'd only wish for a bit more customization-like additional options for colors and finer control over where lists and dashboards show up.

Freedom to structure information

Pros

Total freedom to organize and structure information, including the ability to build databases, create tables and set up hierarchical pages. Collaboration is also very simple which makes it easy to work together without extra friction.

Cons

That same flexibility can become a problem if the workspace isn't managed properly. Also, the features feel a bit limited when it comes to complex tasks and offline work isn't really supported the way you'd expect.

Adhd-friendly product

Pros

With a late diagnosis of ADHD, I've found this product genuinely incredibly helpful. It's become my go-to spot for keeping everything in one place, covering both work and personal details like household documentation and health-related papers. It also works well as a catch, all for the kinds of things I normally forget which makes day-to-day life a lot less chaotic.

Cons

More training videos would be really useful because the basic guidance gets buried under the sheer number of features. It took me around three weeks to fully get my head around it and even now I don't think I'm taking advantage of everything it can do.

appealing calendar design

Pros

Regular part of my workflow

Pros

At first it took a little time to figure out how to structure everything but once I got the hang of it, I didn't want to switch back. I've also built dashboards for my clients and that part works really well. It's become a regular part of my workflow every day.

Cons

Syncing with other tools especially Typeform, doesn't feel as smooth as I expected. I also wish some automation options came in better without needing to pay for extra tools though I still use it daily.

Customizable linked bases

Pros

It's pretty polyvalent, pages and linked bases are extremely customizable. The tagging system makes it quick to find a page or reference a specific mention. It also includes solid task management and everything still works well even when you're offline. On top of that, it stays lightweight.

Cons

There is a small learning curve since the block-building concept is simple and you'll need a bit of time to get used to the workflow. If you want to build a truly personal space, plan to spend some time setting it up properly.

Feels well designed

Pros

It feels really well designed, the whole setup for creating new pages, using databases and switching between multiple views works nicely. I also appreciate how smoothly different elements can be integrated into the same workspace.

Cons

It would've been even better if it offered deeper integration with other tools and supported data transfer more directly. Right now, the embed option feels more like a gateway than a full solution for connecting everything.

On top of that, search makes it easier to pull up saved content quickly and the collaboration tools help cut down on messy email threads.

Cons

That same flexibility can be a double-edged sword. Because Notion doesn't enforce one clear organizational model, it takes some time to learn the system and fine-tune it so it works the way you need. The freedom to design everything yourself can feel a bit overwhelming, particularly if you're used to simpler tools with clear, fixed rules. Also, while the interface looks polished, it may not feel the most user-friendly for people jumping in for the first time.

Keeps getting better

Pros

Really enjoying how much you can customize in it, there's a lot of flexibility to shape it exactly the way you need. The team keeps rolling out new features which makes it more powerful and more effective over time. I'm using it to manage three different businesses and it's been a solid hub for organizing everything.

Cons

The only catch with a tool this customizable is that getting everything set up can take longer than with more simple task or data management apps.

Custom templates for campaigns

Pros

It has basically become our hub for campaign calendars, brainstorming docs and content drafts. The customization is a big win. Our team built templates for ad campaigns social media planning and even client pitch materials and we didn't have to wrestle with a bunch of extra steps to get everything working the way we need.

Cons

When multiple people are editing at the same time, the workspace can get a bit messy. Also, older posts and drafts are sometimes harder to locate than they would be in tools that rely more heavily on tagging.

Tracks client work

Pros

I use it for tracking my client work, session notes and production schedules all in one spot. The flexibility is a big win-I can quickly adapt it for different needs like jotting down recording setups, managing to-dos for a mix or even keeping invoices in the same workspace.

Cons

It's also a little too open-ended at the beginning so setting up a workflow that really fits a studio may take some trial and error. Editing on mobile feels somewhat cramped compared to the desktop setup.
