shared knowledge base

Pros

We rely on it as a shared knowledge base to document our processes. The customizable workspace, along with the newer tabbed layout, has made it much easier to sort and manage projects without getting messy.

Cons

The free plan feels a bit restrictive-things like capped file sizes and limited collaboration options regularly make me weigh the cost of upgrading.

Suitable for creating detailed QA checklists

Pros

I really enjoy its all-in-one workspace. It's perfect for creating detailed QA checklists and building databases I can customize for each project.

Cons

During the first setup it feels a bit overwhelming and the offline mode can be surprisingly unreliable when I'm away from stable internet.

Broad range of features

Pros

It has a huge range of features which makes it really practical for tailoring pages and workspaces. It helps with staying organized and brings everything together in one place so nothing gets scattered.

Cons

It takes a bit of time to get the hang of at first and even now it still feels slightly complex but it's definitely something you can learn with practice!

Easy to set up a page

Pros

Positive experience

Pros

Monitors everything for me

Pros

I use it to track everything I need to complete-daily tasks, weekly goals, monthly items and even my year-end review. It works like a solid checklist and it's been genuinely helpful for keeping me organized.

Cons

Nothing major comes to mind right now. I'm currently on the free plan and it hasn't caused any problems, everything's been working out well.

Great ease of use

Pros

It feels really simple to use and the template library is packed with options. I can set things up quickly and still have plenty of styles to choose from instead of starting from scratch.

Cons

AI still feels a bit underpowered and I'd like Notion to add more action-oriented features with AI to make it more helpful day to day.

Highly customizable blank slate

Pros

Pros

Feels pretty close to Asana and Monday in terms of how you can run projects and that's made it a strong option for project management overall.

Complicated interface

Pros

Using the AI assistants made it genuinely fun to explore and move around the app.

Cons

The interface feels pretty convoluted and the amount of optimization choices you have to make slows everything down-it quickly becomes paralyzing instead of helpful.

Sleek software

Pros

Really sleek and user-friendly overall. It's keyboard-native and that makes it feel fast and natural to use. The best part is how flexible it is, you can keep things simple or go as complex as you need. The latest update feels dependable and quick and it's obvious the team actually uses it themselves so the annoying bugs don't tend to stick around for long.

Cons

Notifications and inline discussions could be handled better though I also haven't seen those done noticeably better elsewhere either. Version history is another area that could use work, naming versions and making fixes clearer would help. A few automations behave unpredictably too, for example, recurring page creation doesn't trigger automations consistently for some reason.

Super simple page & database setup

Pros

The app feels ridiculously easy to use and I can create multiple pages and even set up different databases to store my work. That flexibility makes it a lot faster to organize everything without getting lost.

Cons

It includes so many features that, at first, it can be hard to learn and get comfortable with all of them at once.

rigid customization

Pros

The best part of it for me is how user-friendly and simple it feels. Getting started isn't too hard at all, the layout is clear and there's even an automatic tutorial that appears when you first enter the interface. It guides you through a quick questionnaire to understand what you plan to use it for and then Notion creates a pre-built workspace that matches your needs. Once that's done, everything is laid out in a way that makes it comfortable to use right away, including if you're a beginner.

Cons

What bothered me most is the lack of customization. That limitation is exactly why I ended up migrating to Obsidian. Notion tends to look like everyone has the same interface and while that might not matter much for some people, I personally feel that having custom ways to take and structure notes is essential.

Customizable design

Pros

Customizing everything is honestly the best part, being able to tweak details to match my own aesthetic makes it feel personal and flexible. Editing sections and adjusting the look is quick and I've had a good time tailoring it to how I want things to look.

Cons

The only missing feature I'm wishing for is notification support, similar to what project management tools offer so I'd get alerts about updates and activity.

Keeps you engaged

Pros

It's flexible enough to shape and curate your own requirements however you want. The whole workflow feels a bit like an art project you genuinely look forward to working on every day, it keeps you engaged and motivated to use it in real life.

Fantastic auto-population options

Pros

I like how much this app helps me keep every part of my life organized. Using it as a content planner, the auto-population options are fantastic and the categorization and calendar tools genuinely make a big difference day to day, they save me a ton of time and effort.

Cons

Honestly, there's nothing to complain about. The only upgrade I'd ask for is adding more integrations with other tools or platforms (like scheduling apps and content schedule sources) to make the whole workflow even more convenient.

Efficient note-taking

Pros
