Customizable database

Pros

Having the ability to customize the database base views is a huge plus. Being able to tailor what you see makes the whole workflow feel much more aligned with how you actually work.

Cons

Extracting certain data directly, without going through an API, can be pretty complicated which is a real shame.

a real gamechanger

Pros

The best part is how multipurpose it feels as a tool. We were able to pull together data from different parts of our business and consolidate it into one shared source of truth which has been a real game-changer for us.

Cons

It would be great to have deeper integration with Microsoft 365.

Several editing options

Pros

It feels really flexible and offers a huge range of editing options.

Cons

That said, the sheer number of options makes the tool overly complex and I ended up feeling confused when trying to navigate around.

Amazing for planning

Pros

It's been amazing for planning, there's a lot of flexibility and it works well across a bunch of different setup styles.

Cons

Solid database setup

Pros

The database setup feels solid and reliable and the filtering tools make it really simple for me to find what I need. I can also organize the information in whatever structure works best for my workflow, without much hassle.

Cons

The only catch I've noticed is that getting everything fully set up and customized the way you want can take a bit of time.

Notion AI saves hours

Pros

The Notion AI assistant has helped me save a ton of time by generating things like quick summaries and follow-up emails. Instead of rewriting everything from scratch, I can turn rough notes into something polished in just a few minutes.

Cons

There's not much to complain about with Notion overall. The only thing I'd want is some kind of newsletter or regularly updated best-practices so users can learn how to get the most out of all the different features.

Strong task notes & calendar

Pros

It offers a lot of useful features especially note-taking and a to-do list for keeping track of what needs to be done today. Having it also work as a calendar makes planning and organizing my schedule much more efficient.

Cons

Free usage is limited and since it combines everything in a single app, the loading screen can be a bit slow at times.

Lets me customize my pages

Pros

I can fully customize my pages with different types of content. It supports note-taking, task management, wikis and databases all in one place so I don't have to juggle multiple apps. The database builder is especially useful too-I can set up powerful databases with multiple tables, galleries, boards and calendars. It also helps keep the company in sync by staying on top of the latest updates.

Cons

The offline mode isn't very reliable. It also doesn't offer end-to-end encryption. The mobile version leaves a bit to be desired as well.

Helpful online templates

Pros

I use it every day and I genuinely love it. The online templates are a huge help and I can customize them until they match exactly what I need. I mainly use it for task management and it fits my workflow really well.

Cons

There's definitely a learning curve. It took some time messing around with everything before I felt comfortable and could really get the hang of it.

Super easy to use

Pros

It's super easy to use and it's been a great way to jot down notes for creative projects. The workflow feels simple so I can capture ideas quickly without getting in the way of actually creating.

Cons

Sharing access with someone else and then fully removing that third-party access takes a bit of effort. The controls aren't as clear as I'd expect so managing permissions can feel slightly awkward.

Minimal learning curve

Pros

Creating and sharing documentation for internal procedures and firm rules is really simple. The interface looks great and the learning curve isn't too steep either so getting started didn't feel painful.

Cons

The editor relies more on pinpoint-style positioning than using a formula and I'd love text document creation to feel more like Word or Google Docs-especially for quick centering/alignment. Also, the more advanced formulas are offered as an add-on rather than being available right out of the box.

Solid all-around tool

Pros

We primarily use its task management and we also plug it in for notes. Beyond that, it's worked well for project planning across teams which makes it feel like a strong all-around tool for us.

Cons

Getting the whole team up to speed took a bit of time especially for newer members who seemed to get lost when learning the full set of capabilities.

Impressive toolset

Pros

What really worked for me is how simple everything feels, plus how effectively it's built-in tools are put to use. The overall setup is simple yet the toolset is impressively capable.

Cons

Can shape it however I want

Pros

It brings collaboration, note-taking and project management together in one workspace which really organizes how I organize work. Building custom templates and setting up new workspaces is also simple so I can shape it around whatever workflow I'm using at the time.

Cons

Useful AI writing tool

Pros

Their AI writing tool is super helpful, there are options to improve your writing and it also does grammar checking. It's basically like having a writing assistant that nudges you toward clearer, more correct text.

Affordable pricing

Pros

Really solid software, there's a lot of flexibility in how you can set things up and the pricing is genuinely affordable. It also works well for teams that want to store their documentation and tutorials in a single shared place without the setup getting messy.

Cons

The free business plan comes with limitations and that wasn't obvious at the start. We only realized it once we hit the limits. I'm fine with paying but it would be better if those boundaries were clearly pointed out upfront.

Fun app

Pros

I really love this app, I'll download it, spend some time using it, then delete it for a while and come back later to do the whole thing again. The cycle is honestly part of the fun for me.

Cons

Perfect for learning

Pros

Perfect for studying and learning, I'm running my online courses through it and it's been a really positive experience. The tools make it feel geared toward actually understanding the material, not just getting through it.

Cons

No real downsides so far. The only thing is that you get the most value when you use it a bit actively to make everything smoother for yourself.
