Saves a lot of hassle

Pros

It's incredibly flexible and can basically replace a bunch of separate tools in one place which saves a lot of hassle.

Cons

Getting up to speed takes a while and because it tries to cover everything, it can end up feeling like it does a lot but doesn't nail every part equally well.

Perfectly balanced app

Pros

Love it's user interface. It feels simple and it's basically set the expectation for markdown-style text editing. What keeps me coming back is the flexibility, you can begin with something simple and then grow into a much bigger workflow using its blocks. Overall it strikes a nice balance between getting things done quickly and keeping everything looking good.

Cons

After you spend some time with it, a few limits start to show up, mostly because at first everything feels doable. For example, Notion does have databases but they don't match the power you get with tools like Airtable. It also offers an AI agent but using that by itself won't be enough to build a full, in-depth knowledge-base agent the way you might expect.

themed dashboards organization

Pros

Really liking the organization features, being able to set up lots of dashboards grouped by theme is super helpful. On top of that, it's genuinely fun to customize the look so the design feels aesthetic and tailored to your style.

Cons

No downsides at all, everything about it feels spot on.

Changed how I manage work

Pros

It has completely changed how I manage my work, whether I'm working solo or coordinating with a team. The workspace is super flexible and customizable which makes it great for everything from taking notes to handling projects and collaborating with others.

Cons

The offline features could use improvement and once you start storing lots of data it can feel a bit overwhelming.

Friendly search tool

Pros

The biggest win is that none of the core features feel locked behind a paywall. It also runs as a lightweight, versatile app, opening quickly on different devices and syncing at a great pace across them. The search tool is especially user-friendly and the keyboard shortcuts are a real bonus for staying fast while writing and organizing notes.

Cons

Getting started can feel a bit intimidating at first. Sharing notes with people who don't use the app is also limited and you can't do real co-editing with non-users.

Packed with choices

Pros

The customization options are really strong, there's a lot you can tweak and the initial setup is packed with choices. It's simple to configure things the way you want thanks to all the available settings.

Cons

The only thing that feels off is how user-friendly it is. It doesn't guide you as naturally as it should so figuring things out can take a bit more effort than expected.

Simple to get started with

Pros

It feels simple to get started with and doesn't really need a lot of onboarding. The workflow is pretty user-friendly and it's been genuinely useful for collaborating with teammates-especially since most of us are remote. It's also a nice way to keep everyone on the same page and stay connected.

Cons

As our team expanded quickly, our projects expanded right along with it. At that point, we started running into missing features that we really wanted. It seems like we may have simply outgrown Notion, it worked well when the team and project scope were smaller.

Nothing negative

Pros

I really love how it keeps everything structured and easy to manage. Setting up different templates for different situations plus pages for all kinds of docs has made a huge difference in how I work. I'm using it as much as I can and I genuinely enjoy it. The syncing across all my devices is a big deal for me since I need to stay up to date no matter where I am.

Cons

Regular new features

Pros

A really smooth interface makes all kinds of writing feel effortless. It also seems like new features are rolling out all the time, while the core of Notion stays consistent and just as polished. The database tools are genuinely outstanding, they've become the foundation of most of my organizing and filing systems.

Cons

A few of Notion's more advanced features can feel a bit tricky to get the hang of and the learning resources aren't obvious right from the start. That lack of clarity could push away newer users who don't yet feel confident using the platform.

Exceptional collaborative tool

Pros

The software feels genuinely user-friendly and is quick to get the hang of even without much setup. It's also a really strong collaborative tool which makes working with others much more simple.

Cons

Pros

Flexibility to build exactly what you need. The AI tool has been a real game changer for quickly recalling information stored in our database.

Cons

There is a fairly steep learning curve. Even with the training available and lots of resources online, it still takes a bit of time to wrap your head around it especially if you haven't used a similar system before.

Endless possibilities

Pros

It feels like it has endless possibilities thanks to how customizable it is. You can shape it around your exact workflow which makes it a solid choice if you enjoy building your own systems from scratch. A lot of newer apps borrow features from Notion these days but once you learn it properly, you can bring a lot of that functionality into a single place. It's especially enjoyable if you love templates or prefer tweaking your tools so they match your own style and way of working.

Cons

Complicated at the beginning and that's the main downside. Even though you don't need any advanced coding skills, the sheer number of features can be overwhelming when you first begin. It's almost like getting a blank canvas with very little direction which can frustrate people who want a more guided, structured setup. If you're not into experimenting and figuring things out as you go, Notion may not be the best fit.

I keep recommending it

Pros

I'm a big fan of Notion and I keep recommending it to all my clients. The workspace is really visually appealing and it stays current on the tech side. Everything I've used so far has been genuinely helpful-those built-in functions make it easier to organize and keep work moving.

Cons

Pricing is the only real downside for my micro-business budget. Still, my clients use it too and when I compare the productivity boost and overall value, it seems more than worth what I pay.

My go-to productivity app

Pros

It has become my go-to productivity app. I can capture and organize basically everything in one place and the best part is that it works across all my iOS devices-my MacBook, iPhone and Mac and everything syncs reliably. I use it for quick notes, task lists and even budget planning so it ends up covering almost all of my organization needs. The new AI tool has been a standout too and I'm using it constantly. I also really appreciate the sub-pages and the ability to embed links which are big reasons I stick with Notion over other apps.

Cons

On the iPhone, switching between notes can feel a little tricky after the latest update. That said, it doesn't seem to be an issue on the Mac or iPad, where it still feels simple to organize and browse everything.

Combines note-taking, task management, databases

Pros

One of the best parts of it for me is how flexible it is. It brings together note-taking, task management, databases and collaboration in a single workspace so I don't have to juggle multiple apps.

Cons

Where it falls short is performance once things get big-like large databases or really complex pages. As the amount of content increases, it can start feeling slow and that gets even more noticeable on mobile devices.

Ability to set up attractive pages

Pros

Getting started with it was quick for me and the whole workflow feels really user-friendly. Setting up attractive pages, along with database views, doesn't take much effort. I also like that you can blend different types of media and pull in multiple data sources all within a single document so everything stays in one place.

Cons

With all the customization options it offers, it can be tough to narrow down which setup or template will genuinely fit what you're trying to achieve.

Solid for taking notes

Pros

This tool works really well for taking notes and then breaking everything into separate task loads tied to smaller projects. It keeps my workflow organized and makes it easier to track what belongs where without everything getting mixed together.

Cons

Automation is pretty limited and a few features don't hold up as well once projects get bigger. When the scope expands, I start running into constraints that slow me down a bit.
