Pros

It has turned out to be a genuinely powerful tool for us. It lets our team bring together different platforms and scattered knowledge across the business into one central view. Right now, we're using it as a wiki/knowledge base, a project tracker and the place where all team updates live.

Cons

The only real downside is cost, getting the entire team onboard can be a bit expensive. There's also a learning curve when multiple teams are involved especially around managing access to data. Once you get your head around the setup though, it starts to feel pretty simple.

Pros

I can shape it to match how I actually think and work, from strategy docs to day-to-day execution tracking. Everything stays searchable too so it's easy to find what we need and team alignment doesn't get lost.

Cons

Since it is so open-ended, getting everything set up and standardizing workflows can take a bit of time. That initial effort is noticeable but once the system is established, it pays off.

Pros

I really like that it is an all-in-one tool where I can combine notes, databases, tasks and even wikis in a single custom workspace. The real-time collaboration is genuinely a game changer when working with others. On top of that, the AI features that help summarize content are a nice bonus and save me time.

Cons

Performance drops when the workspaces get large which can be really frustrating during long, heavy editing sessions. Also, the mobile app doesn't feel as polished or fluid as the desktop version.

Pros

Project management feels simple in this tool. It's pretty easy to set up a database called "Projects," then add useful properties like date, assignment, status (Etat) and plenty of other fields.

Cons

It's often not possible to see the most recent update in the version manager so it mostly only helps you trace versions that are at least a day old.

Pros

It does have some solid document features for example, converting lines into tables or turning content into checklists. The formatting conversion on copy/paste is also genuinely impressive, when I paste from a Google Doc, the formatting often comes through almost 1:1, including headings, bold text, lists and tables. On top of that, Notion AI makes it convenient to search for answers using your company knowledge base. There's also a decent project tracking setup that supports collaboration so it's not completely lacking in practical tools.

Cons

Overall though, the downsides outweigh all the good parts. It honestly ranks as the most frustrating document tool I've used. Even with lots of helpful features, the interface gets in the way constantly. A good example, I was editing a document and tried to make a change involving an @name but instead of letting me edit the text tied to that @name, Notion repeatedly pulled up that person's profile. That kind of misfire happens enough that it interrupts my workflow regularly, I'll go to adjust something and Notion brings up the wrong thing. I much prefer working in Google Docs for day-to-day writing and editing. Notion can be okay for collaboration but it still feels like Google Docs can cover project tracking and collaboration just as well without adding another tool you have to learn.

Pros

A coworker suggested it back in 2019 for team collaboration dashboards and project management and turning that recommendation into a regular workflow ended up being one of my best decisions. Even with the free plan, I'm using it daily for work tasks and for personal stuff too, planning trips, tracking personal finances and keeping everything organized in one place.

Cons

Lately, they've been a bit too eager about getting people to subscribe to the paid plan but I get why they do it. Nothing else really stands out as a problem.

Pros

It feels incredibly simple for writing, taking notes and organizing pages using databases.

Cons

Page loading can sometimes be a bit slow, both within Notion itself and when sharing a page-especially if it includes databases that contain other pages.

It is a really flexible, all-in-one workspace platform. It includes a ton of helpful building blocks and it can be adapted for different workflows. At the same time, there's a lot to figure out so it takes some time to learn everything you can do with it.

Cons

It feels much less useful when you're offline and it can get a bit awkward when dealing with large amounts of data.

Pros

The latest AI feature inside it makes it easier to improve and review text right where you're working. It's been really handy for building a clean, well-structured knowledge base that supports collaborative creation and sharing.

Cons

The free tier for AI is capped and the number of available uses changed/ran out the last time I tried it. Also, handling formatting like editing text and adding images or videos within the page can feel a bit awkward for a newcomer and may take some getting used to.

Pros

This feels like an all-in-one workspace for managing tasks, collaborating with a team, working on projects, taking notes and keeping up with scheduling. The dashboard looks clean and is genuinely helpful, navigation and day-to-day use are simple. The free version offers decent value too since I haven't had any reason to upgrade to premium yet. Customer support and the premium tier weren't part of my workflow so I can't speak much to those.

Dealing with the premium setup can feel a bit polarizing, a lot of features appear like they should be available but end up being blocked behind the upgrade. On top of that, the AI features were pretty disruptive. I'd rather ignore them but they still ended up being annoying to work around since I didn't need the AI tools at all.

Pros

It feels really flexible and easy to customize to how I work. I can keep my notes, tasks and ongoing projects all in one place and it fits both personal organization and teamwork without much hassle. The dashboards and templates are a big help too, they save time and keep everything structured.

There's a noticeable learning curve when you're getting started and after that it can still feel like a lot to take in. Occasionally it's also slower than expected, particularly when I'm dealing with big pages or lots of databases.

The flexibility and customization tools really stood out to me. Being able to build my own task lists and connect/link databases made the whole workflow feel much more tailored to what I actually need.

Unsubscribing after the trial isn't simple. Workspaces stay locked until payment goes through and there's no option to downgrade back to the free plan either.

That said, Notion's AI doesn't feel like the easiest or most functional one out there. I don't really use it because it ends up shifting how I think about my creations instead of genuinely helping me improve them.

Templates for note taking are a nice touch and syncing across multiple devices works reliably. It's also convenient that you can use one software for different types of notes without juggling multiple apps. Managing tasks is simple and the dashboard plus the contents page are genuinely helpful for staying organized. Since it's open source, it's a solid option for basic users who want something functional.

At times, the app feels a bit heavy if you only want to do simple things. The mobile experience isn't great and it's missing more advanced features compared to full-featured note apps.

My favorite thing about it is that it's available for free. I also really enjoy the community around it-there are active Facebook groups where people share useful tips and templates and they've honestly helped me get more out of the app.

Cons
