“Exceptional collaborative workspace”
Pros
It feels like the original block-based collaborative workspace and it's been fantastic for handling work with my clients. The ability to create SOPs, set up workflows, link related objects together, use guest accounts and rely on version control with a complete activity history are all standout strengths.
Cons
The pricing can escalate quickly once you invite more people into a shared workspace. It's not too bad per user at first but the totals can add up fast especially for very small businesses, making it hard to justify unless you can offset the cost somewhere else (like reducing spend on O365).

Pros
The workflow is really well organized and the way it's laid out makes it simple to manage tasks across the team. The interface design looks good too and task management runs smoothly in a way that actually helps your organization stay on top of things.
Cons
Getting the hang of it can take a little time especially for certain features. There's definitely a learning curve before everything feels second nature so it can be a bit time-consuming at first.

“Versatile workplace solution”
Pros
It has been and still is, the most versatile workspace solution we've used so far and it's also really simple. We've been on it for around three years now and fully plan to keep using it. What sold us most is how it brings databases into the same workflow and the whole setup feels as simple as saying ABC. It's been a real gem for our team.
Cons
There are a few missing pieces but nothing too serious. Sometimes we end up documenting things ourselves a bit more, just so we can figure out, "oh, it can do that too."

Pros
The tool's level of hyper-personalization really stands out. There are tons of options for configuring it, automation organizing, personalization and more so it ends up being practical day to day and matches our specific needs.
Cons
having so many options can make it feel more complex than necessary. It's worth remembering the end goal you want with Notion and avoiding anything that doesn't directly serve that purpose.

“Quick to get the hang of”
Pros
Really flexible and highly customizable tool for organizing projects, keeping notes and managing a database. It's quick to get the hang of and there are lots of templates available right from the start. You can access it from the web, on mobile and also on desktop which makes it convenient for day-to-day use. It also comes with a ton of integrations.
Cons
Some pages get a bit sluggish when there's a lot of data loaded. Also, for more advanced features, you often need to add external tools.

Pros
I've been using it since 2022 and over time it's turned into my go-to tool for managing tasks organizing data and running personal projects. I've built a habit tracker, a weekly planner and even a game guide archive, all in one workspace. The biggest win for me is the flexibility, the blocks system and databases let me customize layouts in a bunch of different ways so everything matches how I work. Collaboration is also a nice bonus since sharing templates with friends or teaming up on group projects is simple. Lately I've also started using Notion AI. It's still evolving but it's already handy for creating a solid page structure from the start which cuts down the time it takes to get new pages set up.
Cons
The trade-off is that Notion can feel a bit overwhelming for beginners. Even when you add just one block, you're met with a long scroll of choices, text, media, databases and more which can be confusing at first. There's definitely a learning curve and it takes patience to get comfortable. The AI side is promising but it isn't advanced enough yet to fully replace the need to structure everything manually.

Pros
It feels like a task manager where I can keep track of every project I'm working on, plus store and manage all the relevant data. Everything stays updated in real time and the information is synced through their servers.
Cons
It seems originally built for small teams. Once you have a lot of people active on the same page, things start to get painful and it can turn into a real mess pretty quickly.

Pros
Using it has been genuinely painless and adding Notion AI made writing my one-page summaries a lot faster too. It also helps me pull up the exact information I'm looking for without wasting time digging through notes.
Cons
Since I keep both work content in Notion (and even maintain a personal page at home), I really wish it had something similar to Google Sheets especially for formulas so I wouldn't have to bounce between two platforms just for that part.

Documenting my project updates for my team and even folks across the company has been really helpful. I also like that the pages are fully customizable and I can format them the way I want while adding links to external sources.
Cons
There's definitely a steep learning curve since there's a lot you can customize. Still, once you get the hang of it, it turns into one of those tools you don't want to replace.

Pages, databases and templates really help turn SOPs, shift notes and project plans into something actionable and the boards with timelines plus rollups keep maintenance, QA and production aligned. On top of that, comments capture approvals in an audit-friendly way so you don't have to hunt through scattered files or random chats.
Cons
Handling permissions and more complex databases is pretty painful and when workspaces get large performance slows down. New editors also need guidance, otherwise they might accidentally break views or duplicate fields when rolling out department-level templates.

It is hands down the most user-friendly resource platform I've used. Getting it set up was simple even for new team members. On top of that, the wide range of features-paired with its flexibility and user-friendly design-really distinguishes it from other tools.
Cons

Pros
It pulls all our documents together across different teams and it's simple to search for specific keywords and quickly grab what we need. It also keeps recently searched items near the top which makes repeat searches much faster. The AI search feature is a big win for finding relevant info without digging through everything manually.
Cons
Formatting can occasionally feel a bit complex. When I'm coming over to Notion from another app, I still have to remind myself of the workflow and how things are supposed to be set up.

Notion feels flexible and powerful as an all-in-one workspace both for solo users like me and for teams trying to break down information silos. Way more flexible for whatever I need, documents, tasks or any other type of content. I've been using it for a few years now and I genuinely think I've ended up creating hundreds of pages.
Cons
There's a limit where you can only invite up to 2 people to our workspace and removing access is pretty tricky. A couple of users ended up stuck after I tried to change permissions and they told me it looked like I'd hit the allowed page limit.

It has grown into a real management system that works for all kinds of teams and business sizes. Building user-friendly databases with multiple views feels especially smart since it keeps everything structured without getting messy. The integration with Google accounts is also a big win-syncing Gmail and Calendar means your events stay in Google Calendar while your email management can happen in Notion's workflow.
Cons
The billing setup is confusing. After three unsuccessful payments, access to the entire Notion workspace gets cut off which is pretty harsh. I also tried Notion AI and ended up losing access to all my Notion afterward which was frustrating.

I appreciate how clean it looks and how capable it is across a ton of scenarios. It can work as a database, a planner, a budget tracker and a lot more, depending on how you organize things.
Cons
The part that gets tricky is the setup-building the exact page structure you want can turn complicated pretty quickly. It'd be really helpful if AI integration could generate those Notion page layouts from GPTs or similar tools so you're not starting from scratch every time.

Pros
It bundles a pretty comprehensive set of features in one place, covering team collaboration, project collaboration, plus PM and TM workflows-so there's no real need to keep jumping to external apps or doing extra integrations.
Cons
Customizing and using Notion has never been a real challenge for me even though it's missing a few features (like VC). When something isn't built in, I can still work around it by connecting via external APIs and other apps.
