perfect for organization

Pros

Back in 2017, our company began using this software and it has been a huge help for keeping our Magazine content event planning and member newsletters organized. Setting up a team for work is easy and email notifications come through whenever someone comments on a card where a team member is tagged. Those reminders have helped us stay organized and keep up with due dates and deadlines. The layout is clean, simple to follow and works well as a central place for everything happening in our marketing department.

Cons

Using the free version over the past few years has been really nice especially knowing there were additional features available with an upgrade. We were recently notified though, that the number of boards allowed under the free plan will change in May. In our case, it should be manageable since existing boards are staying in place but for new users at a larger company, it could be harder to rely on this software without moving up to the Business plan.

Pros

Back when I was leading a software team, I started using this platform about seven years ago and I've never really felt the need to switch to another project management platform. The interface is thoughtfully designed and very accessible and the sync speed across devices is seriously impressive. It's quick enough that I've updated cards in this platform from my phone while the same board was being projected on a screen by someone else and the changes showed up almost instantly.

Cons

It can feel a little limited when you need to handle very detailed tasks that involve lots of action items and nested sub-items.

Pros

This tool has been fantastic for me. With the Power-Ups, it can be adapted to almost anything especially if you're on a premium plan. I mainly rely on it for task management and the reminder Power-Up lets me assign due dates so important tasks move to the top of my to-do list right when I need them. I also use this tool to organize our content calendar and honestly, I haven't come across a better option for that.

Cons

Because of the type of tool it is and depending on how you use it, the cost can get pretty high if you're managing a large team.

versatile software

Pros

Using multiple boards makes it really convenient to sort work by project or priority. The multicolor cards help keep everything categorized at a glance and being able to turn tasks into labeled checklist items instead of just plain text makes tracking progress much more useful. It's also a big plus that the free plan is available per user each month with no time limit.

Cons

The interface can feel a bit confusing when you're using it for the first time so there's a small learning curve at the beginning.

I'm impressed

Pros

More than anything else, this solution's Power-Ups are its strongest feature. The platform is flexible, simple to work with and even has a fun, charming feel but on its own it can seem a bit too basic. That said, almost any limitation that comes to mind can usually be solved with the right Power-Up. For instance, I wasn't happy at first with how weak the task timeline visualization was but after connecting it with the BigPicture Power-Up, that issue was gone and I was happy with the result after just a couple of clicks.

Cons

People often say this tool is difficult to manage for very large projects. I can see why that comes up but in projects of that scale there are usually experienced project managers involved who should be able to take full advantage of how flexible the app is. The limitation that actually affects me most is the file upload cap for attachments. On the free plan it's only 10 MB and even for Gold members it goes up to just 250 MB. Because of that, I usually prefer adding links to where the files are stored instead of uploading them directly.

mobile convenience

Pros

This software has been a fantastic tool for keeping a lot of information organized without feeling overwhelming. The interface is quick to navigate and works really well on both desktop and mobile. The app is free, user friendly and gives plenty of room to customize things to match your style or creative preferences. It lets you build lists, set priorities, assign tasks, save images and rearrange everything with drag-and-drop which makes staying organized very convenient.

Cons

The software does support integrations with other services but those extra connections come with an added cost.

quick setup

Pros

Getting started with this tool takes just a few minutes which is fantastic. Features like checklists, deadlines and comments are all really useful and add a lot of value. I even use the tool for simple things like putting together a shopping list :)

Cons

I've noticed a bit of desynchronization between the web app and the mobile version. The checklists don't always match right away and sometimes it takes a little while for everything to sync.

Powerful automation

Pros

The platform is incredibly versatile. Its integrations with other tools especially through Zapier, really extend what it can do. It has worked really well for me both personally and professionally. I use it to manage personal to-dos as well as business-related tasks. Being able to reuse boards and cards is a huge plus and I also appreciate how I can automate entire lists to make my workflow more efficient. The platform keeps me organized, helps me stay focused and makes it easier to actually get things done. Whether I'm at my laptop or out and about, I can still keep up with everything on my task list.

Cons

The free plan feels too restrictive. You can only use a limited number of Power-Ups and honestly, it takes at least a few of them before you really start seeing how useful this software can be for managing projects and workloads. Another issue is that if you're handling a large set of projects and multiple boards, it becomes hard to maintain a clear high-level view of everything happening. It works really well at the individual or team level but once the number of projects grows and things get more complex, managing my workload across all of them becomes more difficult. I'd also really like to see better calendar integration.

copy workflow that clicks

Pros

This platform may not have been built specifically for copy teams but it has worked well for ours. We set up a card for every writing assignment and each writer adds their own due date. It makes it really simple to follow a project from drafting to editing to uploading. Writers can also attach Google Docs or Word files directly to the card and leave comments which keeps everything in one place.

Cons

A limitation I've run into with the tool is how inflexible the due dates can be. We tried using the Fibonacci sequence add-on to estimate project effort but that approach didn't translate especially well for a copy team. We were able to manage with it though the estimates ended up being somewhat inaccurate.

visual boards that keep teams aligned

Pros

Across our team, the software has been a favorite for a few reasons. First, it makes project progress and updates very simple to follow. Each project can be set up as a board, then divided into cards or sticky-note style items that represent stages of work or different categories. That visual layout gives project managers a quick view of how the entire project is moving and who is responsible for each area. Second, it is budget-friendly. The software's freemium plan is a solid entry point for startups and a lot of its core features are available without paying right away. As a company grows, upgrading becomes necessary but the per-user pricing still feels reasonable especially with the added attachment storage and customer support. Third, it improves accountability. Because the platform is so visual, it is very clear who is handling what and whether progress is actually being made. In our company, that has helped cut down a lot on people coasting without contributing.

Cons

A drawback with this platform is that the interface is extremely clean which sounds good at first but can become limiting. The cards on a board only show a small amount of information upfront. Details like due dates, comments and project descriptions usually require an extra click to open the card which makes monitoring larger and more complex projects harder than it should be. Another issue is the lack of a built-in time-tracking feature. When deadlines matter, not having proper time-stamp or deadline-focused functionality feels like a real gap in a project management tool.

versatile boards

Pros

This platform gives me boards, lists and cards that make it really practical for organizing projects and daily work. It also helps with prioritizing tasks and the cards are useful for tracking due dates, attachments, checklists, comments and descriptions all in one place. I can adjust visibility depending on the type of work too, whether I want it private, for a team, for an organization or public. Another thing that helps is being able to quickly see all account activity from the sidebar. On top of that, the Power-Ups let me connect tools like Google Drive, calendars and OneDrive which makes it even more flexible.

Cons

I have not run into any downsides yet. I've been more impressed by the features than anything else and I haven't noticed anything missing or particularly bad so far.

helpful team task sharing

Pros

A really solid tool for sharing information across a team. It lets you tag coworkers, assign tasks to specific people, set deadlines and use checklists to keep everything organized.

Cons

The biggest frustration is how deadlines are handled. I wish due dates could be assigned to each individual task instead of only being available at the card level.

Keeps projects moving

Pros

Working with this software feels very easy as a project management tool. The board setup makes it simple to keep projects separate organized and clearly laid out and it's fast to add new items or make updates. It covers all the core project management features I need, including deadlines, task lists, multi-user access, quick loading, dynamic sorting and an interface that looks polished without feeling cluttered. It's especially useful when I just need to jump in, make a quick change and continue with the project. The wide range of integrations also adds a lot of flexibility and makes the platform even more useful.

Cons

There are a few minor things I'd still like to see improved such as card sorting, combining items and reducing the number of clicks for actions like adding deadlines but these are only small inconveniences and nothing serious.

clear sprint tracking

Pros

Keeping every task in a project organized is much more manageable with this tool. It makes it simple to follow the current status of the project and communicate needs between the different people involved. It's especially helpful for agile software development since tasks can be assigned to each sprint and tracked properly. It also improves workflow quality by making each step very clear, showing where every task stands and which other tasks are blocked because of it.

Cons

It lacks is a graphical way to view overall project status or team performance. Its simplicity is useful but that same simplicity can also be a limitation.

Boards for team hiring

Pros

Getting started with the solution took almost no time at all. The interface is very clear and the whole concept feels simple and easy. I used it to track our hiring pipeline with stages like resume review, phone screen, onsite and offer. Each candidate had their own card and I could move them through the pipeline as they progressed. The shared board also worked really well for the team since everyone could see the latest candidate status and stay aligned.

Cons

This tool still feels limited when it comes to managing a full software project. I still rely heavily on JIRA for actual project management. The platform works more as a Kanban board for the current sprint and not much beyond that. I'd really like Atlassian to connect the two products more closely, with backlog management, sprint planning and epics in JIRA, while this software handles the current sprint progress.

fantastic task boards and labels

Pros

Before switching to sprint-based project management, the platform was my go-to tool for handling tasks and its Kanban-style setup worked really well. It was very simple to get started with. The feature I appreciated most was the buckets because they made it much easier to create tasks and move them through each phase. Team members could also leave feedback directly on the card which helped communication a lot. Labels were another really useful feature for me since I used them to prioritize work. On larger project boards, we assigned colored badges to different teams and that gave everyone much better visibility of tasks across the board.

Cons

Once I moved into a fully agile development environment, this software started to feel limited when it came to supporting a complete agile workflow. I also noticed some ambiguity around tasks on shared team boards especially when the project scope became larger.

All in one!

Pros

Being able to build checklists and keep notes in one place is a huge plus. The tool feels accessible and I've used it to organize two businesses with it. I've tracked team progress, assigned tasks, set due dates and color-coded everything by client.

Cons

The interface could look a bit nicer or feel more on-brand. I'd love the option to use my brand's fonts and colors. It does connect with Unsplash photos though so at least you can add a more appealing background image.

Amazing campaign organization

Pros

Much more manageable to keep ad campaigns organized across our team and the 49+ people we support with this platform. The interface is very simple to navigate, whether we're creating new cards and lists, looking up older cards or getting new users onboarded. We've even moved several other teams over to the solution and that transition has gone really well. We store important advertiser and campaign details in the cards and it's become a really reliable place to go back and find information later.

Nothing stands out as a setback, the solution has been excellent software for us.

best option for staying organized!

Pros

Keeping projects and everyday tasks in order feels much more manageable with this tool. The card-based system gives a clear view of everything that needs to get done and it's simple to group tasks into categories so nothing gets lost. It's the app I usually suggest to anyone working on a project and looking for an online board to stay organized.

Cons

I can't point to any real downside with the platform. I'm very particular about staying in control so this app fits me perfectly. If I had to mention anything at all, it would just be wanting one additional free Power-Up but even without that, I'm still very happy with what this software offers.

brings my organization to life

Pros

Everything begins with an idea: if you imagine a better way to organize your life, this software gives you the tools to turn that setup into something real and practical. Once it's in place, it's simple to use every day and fits naturally into my routine.

Cons

The only thing missing is that it won't actually complete the tasks I put on my to-do list. I still have to handle everything myself so I'll be 100% satisfied the day it starts doing the work for me ;-)
