My favourite tool

Pros

The platform is easily my favorite tool. It feels polished and visually it's hard to top. When it comes to usability, it's at the top of the list and the built-in collaboration makes it even better. The part I love most is how well it handles project management. You can set up a board, build lists inside it and then let your thoughts flow by creating cards first and organizing them later. We usually begin with four lists: To-do, Doing, Done and Brainstorm. If you need something for mind mapping, the app can pretty much fill that role too. Just create a board as the central hub, add a Brainstorm list and dump every idea into separate cards. After that, you can sort those cards into lists, add due dates, create to-dos and customize things however you want. It feels much more accessible than the other options I've tried. I also use the platform with the Getting Things Done method and they even offer a setup guide on their site with best practices.

Cons

Something that didn't really win me over was the native Windows app. I can't fully explain why but it just never felt quite right to me. It does a decent job with notifications though. On the other hand, the phone and tablet apps work really well. For me, the website is still the best way to use the app so that's the platform I'd recommend sticking with.

task tracking companion

Pros

One thing that really helps is the "Filter Cards" feature since it makes sorting and finding the exact card I need much quicker. The overall interface is simple which makes updating tasks a lot more convenient instead of wasting time trying to figure out how to use the system. It works well for managing day-to-day tasks, follow-ups and keeping track of what each person is working on within a project. Being able to upload attachments is also very useful because it keeps related documents in one place for reference. It's especially helpful for monitoring current ongoing work across the team. On top of that, the support team is responsive and adds confidence when using the software. Another big plus is that most of the essential features are already included in the free version while the Business and Enterprise plans offer plenty of extra functionality.

Cons

Once a board becomes larger and includes more people and more tasks, it starts to get a bit harder to manage properly. Reviewing long lists of ongoing and completed items can also be frustrating because the interface does not offer a column resizing option. It also tends to give the impression that it is better suited to smaller teams so when the team grows, many users begin considering other alternatives.

power ups that boost workflow

Pros

Being able to add several power ups and turn on features that actually support the way I work is a big plus. That includes integrations with Slack and Google Drive, along with Scrum tools which are central to how my team organizes and manages the workload that needs to get done.

Cons

The downside is that I still need Zapier to make it work properly with my time-tracking and main to-do app. If this software offered its own built-in integration system that could export data along with an API, it would fit much more naturally into my day-to-day process management.

Part of my daily routine

Pros

A few things make it stand out for me: first, getting started is fairly simple and setting up that first board doesn't take much effort. Second, the free version offers a lot which is a huge plus. Third, it's incredibly useful for building project templates I can come back to again and again. I keep book launch templates there and continue improving them over time so whenever I bring on a new client, I'm not beginning from zero, I'm working from an updated system I already trust. On top of that, it's the best to-do list tool I've used because I can store links, add notes and keep my whole digital life organized in one place.

Cons

There really isn't much for me to criticize about the platform though I do have a couple of minor complaints. Boards can become overwhelming pretty fast and start losing their usefulness if too many cards pile up. If you don't regularly clear things out, the clutter builds quickly. Also while it's not a major issue, I always prefer when everything stays completely free.

fantastic task tracking

Pros

A reliable way for our teams to manage tasks and projects over the years! More recently, we've also started using it to keep project roadmaps on track. It's done a really good job of helping clients stay focused on the work in front of them while cutting down on back-and-forth emails. The platform's Slack integration is another big plus since it improves visibility and keeps notifications and tracking in one flow.

Cons

At times, the software can feel a bit overwhelming for clients when a board has too many tasks on it. It also needs thoughtful setup and ongoing management to keep everything organized properly.

quick task tracking

Pros

The layout is simple, quick to pick up and genuinely enjoyable to work with. Its drag and drop setup lets you move tasks and columns around instantly which keeps the whole experience stress-free because it's hard to mess anything up. The free version also includes a lot of useful features, including checklists, attachments, customizable themes and all the standard tools you'd expect like due dates, alerts, subtasks, user assignments and color coding. The biggest advantage is how fast everything is, you can open the site, drop a task into a "to-do" list and carry on right away. It makes organizing and tracking smaller ideas or tasks alongside larger projects much more manageable. There's also a free app which is really handy for staying organized while you're away from your desk.

Cons

Even though the simple design works in its favor, the overall look does feel a little dated. It could use a more modern visual style, maybe something cleaner with flatter tiles although this doesn't affect how well it functions. The way checklist completion is shown could also be better since right now it's just a basic 3/5-style indicator. It's also missing some deeper statistics. It would be useful to have month-by-month productivity tracking and more detailed board data, like overall task progress or the option to assign values to tasks.

Perfect for team visibility

Pros

Having multiple project boards is a huge plus. We use separate personal boards along with one shared team board to keep track of everyone's projects in one place. From a manager's perspective, that setup makes it really convenient to stay aware of overall team activity, as long as everyone keeps their board updated regularly.

Cons

This is less of a software issue and more of a workflow challenge but the biggest problem for us is needing to manually update every project all the time. Because of that process, we sometimes end up with gaps in information.

multiplatform and free collaboration

Pros

Coordinating with teammates, vendors, clients and other departments can turn into a real mess when things are not organized properly. A lot of the time, a project ends up scattered across long email threads which makes it hard to track down information or even figure out who is responsible for what. This tool was not the first task management tool to appear online with the goal of bringing order to this kind of chaos but it does have a few strong advantages that make it stand out especially being multiplatform and free.

Cons

The whole system revolves around boards and once the team gets bigger and the number of projects increases, that structure starts to work against you. Even something as simple as assigning a task means first deciding which board it belongs to, then searching for that board, opening it and only then assigning the work. There are no global labels either which brings the same board-related issue back again. Labels have to be created separately inside each individual board.

team visibility done right!

Pros

The software was a fantastic fit for our team when it came to improving visibility and collaboration. We can add and share a ton of information and it helps us stay organized and manage work without much effort. Another big plus is that there's very little backend upkeep or complicated setup so it's possible to jump in and start using it right away.

Cons

I'd still like to see more flexibility around workflows and card customization. It feels a bit restrictive to be stuck with a single view unless you use a browser extension especially since I'd prefer to tile multiple cards and scroll through them in the browser. The automation options for workflows are also somewhat limited at the moment.

powerful boards for organized teams

Pros

This platform has an excellent setup for planning and organizing work through boards that can be arranged based on your needs and priorities. Within each card, the labeling system helps define what needs attention first, whether it is related to work units, clients or services. It also includes tracking and verification options by time, date and hour which helps improve response times and internal follow-up while sending alerts directly to email. The mobile app is very lightweight, accessible and proactive which makes it much easier to stay on top of daily and weekly tasks without losing continuity. You can also build service indicators, data records and consultation systems, turning each card into a very capable individual work unit. On top of that, the comments system and overall organizational structure make it possible to define work levels, manage boards by department and preserve information confidentiality which strengthens each employee's role and accountability within the company.

Cons

I honestly do not have any negative points to mention because we use this tool constantly and it has become an essential part of our customer service company.

Pros

Getting started with this software is very easy. The interface looks polished and visually appealing, with thoughtful design details throughout. Their customer support has also been responsive and friendly whenever needed and the blog is genuinely useful. Labels make it really simple to keep everything organized.

Cons

An issue is that the notifications become overwhelming very quickly especially on mobile. Instead of prioritizing the most relevant updates, the app seems to surface everything at once which makes it confusing to sort through. The notification center in the mobile app also feels unaccessible and doesn't line up well with the experience on the web version.

visual project tracking win!

Pros

This software has been a really effective project-tracking tool for our marketing team. It helps us stay organized, hit deadlines and keep all communication in one central place so anyone on the team can quickly check the status of someone else's work. It's also been useful for collaboration and for keeping our processes centralized which helps maintain alignment across teams and individual contributors. The platform feels very accessible so new team members can get up to speed quickly and adapt to how our team works without much trouble. One of my favorite features is the label system for tracking progress, it's highly visual and makes it simple to see at a glance how your own work or a teammate's work is moving along.

Cons

Problem is that it can feel a bit limiting in terms of flexibility at times. As the team gets larger, the board can become overwhelming with so many columns and cards taking up space. I also wish there were a better way to separate different parts of a board for specific team members. While creating individual boards for each person is an option, that takes away from the benefit of having everything centralized in one shared place.

flexible boards for contractor tracking

Pros

The platform is highly customizable for both you and your team. We were managing more than 300 contractors and it made it simple to follow their progress through our pipeline without losing track of anything.

Cons

I wanted more control over notifications. It felt like the only choices were getting alerts for every single activity or none at all. I appreciated being able to tag someone in a task card comment but it would have been much better to receive notifications only when my name was mentioned or when something happened in a specific column.

quick setup

Pros

Takes almost no time to get started with and the value is immediate. Adding people to a board, creating new boards and adjusting settings is incredibly easy. The best part is that it simply works and delivers exactly what it promises. It helps keep everyone focused and moving tasks to completion. I also really enjoy connecting it with our Jira software so the whole team stays updated on what's happening.

Cons

A few of the settings feel fairly basic and don't provide a lot of customization options. That said, it honestly hasn't been something I really needed.

useful cards, limited security

Pros

At a glance, the cards make it possible to instantly see the status of each process and the interface is pleasant to use especially on touch screens where it feels very comfortable.

Cons

Kanban as a concept works really well but in the software the paid features don't seem worth the cost while the free version falls short for environments that need stronger access security for their data.

Increased productivity

Pros

This has been one of the simplest and most accessible tools we've ever worked with. It's helped our team become more productive and has made it much easier to keep everyone accountable for the work that needs to get done.

Cons

useful boards, messy organization

Pros

The app works well when you need visibility across different departments and have projects that are driven by deadlines and clear tasks. We've especially appreciated being able to set up boards for everything from small team efforts to larger department or company-wide initiatives. The note-taking and commenting on each task is helpful and the board structure with to do, doing and done keeps task tracking easy.

Cons

Once projects get bigger and more abstract, the board setup starts to feel limited. We've also run into frustration with how department-wide boards are organized since task logs are sorted by the most recently edited items instead of by date or by team member. There is a flagging and color-coding option that we've used but even with that, needing to manually keep the board organized ends up feeling inefficient.

Works exceptionally well as a digital agenda making it simple to keep track of everything I need to do. It offers a variety of features that I can customize based on my own preferences which makes organizing tasks feel much more personal and practical.

Cons

My thoughts

Pros

The platform is a really solid visual way to stay organized. There are plenty of project management tools with free options and I tested the platform while managing several websites to keep track of the work needed for each one. I also set up separate boards for client projects. It's worth spending a little time exploring the platform and getting familiar with what it can do. The core idea is very easy: think left to right, then learn how Boards, Lists and Cards work together. I created a board for one specific website and then built lists inside it. A simple setup like "To Do," "In Progress," "Done," and "On Hold" works well and I added another list for "Article Ideas." Inside those lists, you create cards so I could move an article idea from To Do to In Progress to Done. It's also fast to add labels to cards as categories, assign due dates and give tasks to other team members. One feature that has helped me a lot is being able to add subtasks within a card since it makes it much easier to track progress on work that has multiple parts. I'd definitely recommend watching a few videos and checking out their inspiration page. The Real Estate Listing example there really stood out to me.

Cons

My background in project management was heavily centered around MS Project and we handled document collaboration through SharePoint. Because of that, if you want details on how the platform performs in a larger team environment, it's probably worth searching around on Google, Quora, Reddit and similar places. One issue I noticed people raising was security so it makes sense to review how this tool handles logins, permissions and access to boards. Another limitation is that the built-in view is basically kanban only. If you need a Gantt chart, you'll have to add an extension although at least that extension is free. Coming from years of using MS Project and SharePoint for project tracking and collaboration, I'd probably consider switching to Airtable if I needed something more geared toward managing a larger team.

project tracking powerhouse!

Pros

Whenever I'm coordinating a big event with people in different locations, this tool is the project management tool I rely on most. It lets me build boards for different teams, use color coding and labels, assign tasks and add to-do lists, deadlines and notes to each item which makes it really simple to organize everything, add details and keep track of progress. Since I'm a visual learner, being able to see all the moving pieces at once is a huge advantage and the software has been perfect for both brainstorming ideas and managing the actual work. It's especially helpful for assigning responsibilities and checking the status of each part of the planning process. Another big plus is how well it connects with other apps my teams already use, like Google Drive, Zendesk, Slack and Dropbox, along with its power-ups that help sort tasks and extend what you can do with your projects.

Cons

My only real issue is that if I create too many lists on one board, the horizontal layout can make it harder to quickly locate the list or piece of information I need. Even though I really like the system overall, finding exactly what I'm looking for can sometimes be a bit frustrating.
