Cons

After a short learning period, I find the application fairly straightforward to use. It has greatly improved communication with our owners, which is crucial for our self-managing association. We definitely made the right choice!

Our search for a system like PayHOA was driven by the need to track units, owners, and renters, as well as offer online payment options. As a small self-managed building, we wanted a solution that was user-friendly, provided accounting capabilities, and offered excellent support. PayHOA fulfilled all our requirements, making it easy to locate information, and their quick responses to our questions were incredibly helpful.

Cons

While there are many features we don't utilize, the only downside is the limited accounting capabilities. We would like to set up vendors for invoicing and receiving payments without having to create fake units. Additionally, tenant requests for Google/Apple Pay are currently unavailable.

I absolutely loved how effortlessly I could use PayHOA. Within minutes, I imported my HOA's Excel spreadsheet directly into the software, making the transition seamless.

Cons

When I was importing my "units," it wasn't particularly easy to import payment history, which was a bit frustrating. However, I found it effortless to submit an enhancement request, and in the long term, not having that feature didn't significantly diminish its value.

So far, I have only used the Invoicing and Payment module, which is easy to use and offers a wide range of functionality. When the developer hands over the building to us in November 2023, I look forward to utilizing all the other modules. The main challenge will be integrating a Mexican bank into the system. However, PayHOA handles Pesos just like they are dollars, using the "$" symbol.

Cons

How can we adapt it to handle a Mexican Bank? Although PayHOA wasn't originally designed for foreign countries, there is a simple workaround to trick the system into accepting a Mexican Bank, even if we don't utilize any functions like online payments or vendor payments.

Navigating around the website is effortless, and its intuitive design allows me to grant admin access to others. Within a few hours, they can grasp the site's functionality, making specific training tasks easier to manage and complete.

Cons

The invoice system still needs some refinement. I would like a way to filter out late fees separately from normal invoices. It would also be helpful to have a quick overview on the main dashboard of houses that are late in paying dues. Additionally, I believe the site permissions could be more comprehensive. While I would like to assign mass permissions to most users, I prefer to filter out specific individuals. It would be beneficial to have the ability to group specific homeowners and then assign or remove permissions for those groups.

The software is user-friendly once you start working with it. The ability for our community owners to make requests to our committees and the Board is invaluable. As a small POA, we used to spend $10,000 annually on external management. Now, the significant savings allow us to allocate our modest dues to the unique amenities that define our community.

Cons

Changing Board members every two years poses some difficulties in the accounting department. When I first started, I made some mistakes in the transactions section due to the learning curve. The previous Treasurer had only six months to work with the PayHOA staff to import everything from external accounts and ensure a smooth setup before I took over.
