inconvenient exports

Pros

If a business doesn't already have a CRM in place, the free plan covers the basics reasonably well and does an okay job for getting started.

Cons

That said, it's missing a lot of key functionality that sales and marketing teams really need. On top of that, exporting contact communication and note data is a hassle, you can pull only the basic information, while notes, call history and similar details are left out which makes moving away from Zoho CRM pretty frustrating.

Great experience of 7 years

Pros

It offers a free version packed with plenty of tools and honestly, it's more than enough to run a successful small business. After using it for over 7 years, I haven't experienced any downtime at all.

Cons

There seems to be a cap on how many emails you can send at one time to a group which feels a bit restrictive.

Extensive filtering options

Pros

This tool has been really useful for keeping notes on accounts, following the progress of a sale, logging conversations and handling plenty of other day-to-day details. It also helps a lot that you can create multiple contacts under one account so all the decision-makers, their job titles and their contact information are kept together. We use a lot of the features already and there are still quite a few we haven't tapped into yet like the calendar, email tools and task management which seem like they could be even more valuable once explored further. The filtering options are also extensive, making it simple to sort and organize leads into batches.

Cons

Something that isn't ideal is how a record begins as a "lead," since at that stage you can only add one contact for that customer. You can't add multiple contacts until the lead is converted into an account. It's not a dealbreaker but it would definitely help in situations where you're still figuring out which person you actually need to talk to. Another frustration is that there are several different places to leave notes which means you sometimes have to dig around to find the information you need. It would be much better if all notes were stored in one central place so nothing gets overlooked.

Impressed with everything

Pros

Coming over from another platform that cost almost 10 times more, I've been really impressed with every part of Zoho. It delivers everything we need at a much better price and I genuinely love all aspects of it.

Cons

At this point, I honestly don't have any complaints. We're very happy with both the product itself and the pricing.

Pros

It felt like a practical CRM built for everyday work, while still offering a very powerful set of features. As the main salesperson, I needed a tool that could store my contacts, automate my emails and remind me when it was time to follow up and it handled those needs well.

Cons

The layout could get a little confusing if it wasn't set up properly. That felt more tied to how I structured my user experience than to the software itself.

Centralized dashboard

Pros

Having everything customizable and manageable from a single dashboard is a big plus. I don't need to jump between Gmail for emails, another app for contacts and Google Drive for files because it all stays centralized in one platform.

Cons

The interface can feel a bit cluttered and there are so many options that it may overwhelm beginners. If you've never worked with a CRM before, it can become complicated pretty quickly.

Free for a small number of users

Pros

It was simple and showing the rest of the team how to use it was just as easy. One of the biggest advantages is that it's free for a small number of users which makes it a really good option for small businesses working with a limited budget. On top of that, it offers a fairly complete CRM experience.

Cons

Only a couple of things really bothered me with Zoho CRM. First, it's fairly easy to end up with duplicate contacts in the funnel if you're not paying close attention. Second, once you're handling a larger volume of leads, there are other CRM options that are better suited for that scale.

Solid funnel visibility

Pros

Getting this up and running was simple and the opportunity feature is especially useful because it lets us track how prospects move through the funnel step by step.

Cons

It can be a little slow at times but not in a way that gets in the way of actually using the system.

Approachable for beginners

Pros

Right away, the platform felt approachable enough that even a complete beginner or someone just starting out could work with it. What really made it stand out for me though, is how well it connects with the other essential apps we rely on for daily business operations, both inside the company and with external workflows.

Cons

Even with all its strong features and overall usefulness, parts of the system still feel complex which can be intimidating for someone new. There's definitely a learning curve when it comes to understanding the terminology and how everything works. Zoho would really benefit from offering more tutorials that clearly explain each tool and how to use it so anyone could jump in with more confidence.

Comes with lots of modules

Pros

Using this software feels pretty simple and it comes with a lot of modules that really need to be explored to get the full value from the system. It works well for managing incoming leads, creating client records and keeping up with follow-ups.

Cons

Overall, it's user-friendly but because there are so many features some users can get a bit lost and end up not taking advantage of everything available.

perfect fit for our small firm

Pros

It has been an excellent CRM for our small firm and fits exactly what we need. We mainly rely on it to manage passwords for different clients and campaigns and it does that job really well. It doesn't take much training to get started and it helps keep everything organized and in one place.

Cons

Honestly, I don't have any real complaints about the software although we used it for a pretty specific purpose. For what we needed, mainly keeping confidential passwords secure organized and accessible, it worked extremely well.

Comprehensive reporting

Pros

Managing clients and databases with it feels very simple and creating reports is both practical and comprehensive. It's a tool that adapts well to all kinds of businesses which makes it very useful overall.

Cons

I'm very happy with the tool overall because it's useful and works well. The only thing I'd really like to see is an integration with WhatsApp.

Attractive dashboard

Pros

It has been one of the best CRM tools I've used for managing leads, accounts and overall workflow. The dashboard looks appealing and pipeline management is well designed and simple to access whenever needed.

Cons

Sometimes leads load a bit slowly when filters are applied on the dashboard.

Feels similar to Salesforce

Pros

It covers about 90% of what most businesses need and for many users it feels very similar to Salesforce while costing a lot less. The interface has gotten much better over the last few years so new users can usually get up and running with basic CRM tasks in about an hour. One of the biggest advantages is the generous free tier which includes roughly 90% of the core features for up to three users. That makes it especially valuable for small businesses and startups that want enough access to properly test whether it fits their needs.

Cons

At this stage, Salesforce still has the edge when it comes to its much larger extension ecosystem. Zoho CRM does offer third-party extensions too but the selection is noticeably smaller. That said, it balances some of that out with strong integration across other Zoho products.

A complete package

Pros

Cons

Easy to deploy

Pros

Ability to send invoices

Pros

It has been really helpful for keeping my emails organized and I can also send and receive invoices and payments without any trouble.

Cons

The only thing I'd want improved is the ability to color-code my emails since that would make managing them a lot easier for me.

Better suited for small businesses compared to Salesforce

Pros

After moving from Salesforce, this felt like a much better fit for a small business. Salesforce had started to feel too expensive and unnecessarily complex, while Zoho offered better pricing and was much simpler to work with day to day.

Cons

At the beginning, its simple setup and simple workflow were a big plus. Over time though, as more modules were added, it started to feel more complicated, almost heading in the same direction as Salesforce which made me lose some interest in using it.

Best option out there

Pros

Quite easy to use. The platform is user-friendly, very simple to work with and the pricing is affordable. Compared with other CRM tools, it feels like a better option overall.

Cons

An area that still needs improvement is Sheets which should be updated to feel more user-friendly. Also, Sheets and Docs seem to run on a different algorithm so they don't feel as consistent as the rest of the platform.

good fit for growing teams

Pros

Compared with Salesforce, this works much better for a mid-sized company. It's more user-friendly and the customer service has been excellent.

Cons

The scheduling side could be improved especially when it comes to full integration and syncing with Outlook tasks.
