“perfect balance between simplicity and functionality”
Pros
Right from the start this software struck a nice balance between being simple to use and offering more advanced features when I need them. The standard templates and clean interface make everyday tasks manageable, while the deeper metrics and added functions give me room to grow my practice. Insurance billing and the accounting side of running my business also turned out to be much more manageable than I expected, thank you, SimplePractice!
Cons
Would love to see an automatic reminder that prompts me to review or update a client's treatment plan six months after I first created it.

“Topnotch customer service”
Pros
Their customer service has been outstanding and the platform is very user-friendly once you get going. Having billing, scheduling and record management all built into one system makes day-to-day work much more convenient.
Cons
There is a bit of a learning curve at the beginning so it can take a little time to fully get comfortable with everything.

“One-stop shop for managing a private practice”
Pros
Having everything in one place makes this really functional and it truly works as a one-stop shop for managing a private practice. It was also very simple to learn so getting started didn't take much time at all.
Cons
I do wish there were a cheaper option below the Essential plan. Right now I only need the basics while I'm still building up my practice so the $40 monthly cost feels pretty significant.

“Fairly priced”
Pros
Using it has been really convenient because a lot of its features are simple, especially online booking, notes and document handling. Customer support has also responded quickly whenever needed. The pricing feels reasonable and my clients have been happy using it too.
Cons
There have been a few technical problems, unfortunately. Some clients have had trouble figuring out how to upload documents and I've also had video sessions disconnect. In one case, the video code disappeared right when the session time ended so I had to call the client back to finish the appointment.

“Reporting tools stand out”
Pros
Claims billing and processing are incredibly fast and very transparent which has been a huge win for us. It only takes a few moments to file claims and send information to insurance companies. With our previous EHR, we had to do so much manual back-and-forth across different accounts so this has been a major improvement. The reporting tools are another standout. We no longer have to manually track everything in Excel because it gives us access to the information whenever we need it. That makes it much easier to monitor claims, understand our financials and stay on top of client copays and insurance claims. The dropdown menus are also extremely helpful for managing a group practice since we can quickly pull up details for a specific clinician, their practice information, clients and more. And honestly, the simplicity of sending claims alone has my whole team thrilled.
Cons
The calendar is the part that really misses the mark for us. This is where things tend to fall apart for both me and our clinicians and it really needs a more user-friendly design with better control and more detail. Before switching to it, we used Acuity Scheduling in our office and while we expected differences between platforms, the calendar here still feels baffling and confusing, especially for a group practice. It comes across as disorganized, lacks detail and actually adds about 2 to 3 extra minutes when scheduling new clients because there is no dropdown option or mini calendar to quickly view available times. Another frustrating issue is that clicking an open slot in day view defaults to the exact minute clicked. Since 60-minute sessions need to start on the hour, we constantly have to change times like 5,15 pm back to 5,00 pm. Managing therapist schedules is frustrating as well. I would really like to see a full calendar overhaul that includes better availability settings, improved appointment selection and functionality that actually reflects the individual hours and scheduling preferences of each therapist. More calendar control is badly needed.

“Huge timesaver”
Pros
Keeping everything in one place, plus the convenience of onboarding clients online, taking credit card payments and handling scheduling, saves a huge amount of time.
Cons
It feels a bit complex for a group practice and I'm not really a fan of the way uploaded files are accessed. It would be much better if documents could be indexed and searched by date or name instead of having to scroll through everything manually. I'd also prefer having support available through chat and phone.

“Packed with helpful features”
Pros
It comes with a lot of different tools to keep your practice organized and the platform feels simple and user-friendly.
Cons
If I had to point out one downside, it would be that there's a slight learning curve when it comes to understanding everything it can help you organize though it still feels pretty user-friendly overall.

“Client details all in one place”
Pros
Right away, I was impressed by how much detail I can add into the software. I'm trying to move away from the old pen-and-paper way of doing things and switch to a newer, faster way to communicate with clients. The range of options is really useful, especially being able to keep client files in the system so I can store everything on my laptop instead of carrying around a box of records which never felt very secure.
Cons
The only part I'm not thrilled about is having to enter all of that information now but that's more about the setup work than the software itself. I'm thinking of hiring a friend or my daughter to help or just setting aside time once a day to get everything entered. At this point, I really don't have any actual complaints about the software. If I could add one thing, I'd love for it to generate reports based on keywords like "massage clients" or "coaching clients." I learned I can kind of work around this by assigning a number to the service but that gets tricky when a client uses more than one service.

“Must-have practice management tool”

Cons
Nothing to complain about at this point I haven't come across anything I dislike about it yet.

“attentive support”
Pros
The platform feels very user friendly, the customer service team is prompt and thorough and the documentation templates are genuinely useful.
Cons
it's not simple to undo a note or make changes after it has been signed. Adding a supervisor is also harder to navigate than it should be, especially when it comes to the workflow and communication around notes. I also didn't like that clients were automatically emailed about appointments before I had a chance to update that setting.

“Excellent calendar feature”
Pros
Each section I use comes with guidance which has been really helpful. The calendar has been my favorite feature by far and my clients appreciate it too.
Cons
I'm still getting familiar with the system and I haven't come across a clear step-by-step workflow yet.

“automated superbills save time”
Pros
Creating custom EMDR notes is really convenient and the automated superbills and intake document sending save a lot of time. It takes a lot of the repetitive, tedious work out of running a private practice.
Cons
The only thing that would make it better is being able to reply directly to customer support emails without having to log in first and click through several links to reach the internal response page.

“Quick responses”
Pros
the interface has been well-organized and simple to move through. The help button is always there when I need it and during the transition from my previous software, I got quick responses that made the data migration process much easier.
Cons
I'm still figuring out how much I can trust or really get comfortable with the online scheduling feature. It was one of the big reasons I picked it since I wanted to cut down the time I spend scheduling clients so I'm waiting to see how that works out over time.

“confidential portal is a plus”
Pros
Having client information kept in a confidential portal is a big plus. The platform also lets you create your own evaluation forms or start from existing templates which is really helpful. On top of that, the calendar feature allows clients to book appointments themselves and that makes scheduling much more convenient for the therapist.
Cons
Navigation can be confusing, especially when trying to share information with patients. The process for sending documents and evaluations feels like it should be much more organized. I still haven't figured out a way to send evaluation reports or session notes to parents without exporting them to my regular email which isn't encrypted. It would make much more sense if clients could access all of their documents directly through the portal for better confidentiality, efficiency and overall convenience.

“Variety of templates”
Pros
Its easy to use and the variety of templates makes it much easier to get started right away.
Cons
Trying to find a way to add a termination summary has been hard. I was hoping to pull it up the same way as a progress note but I couldn't find that option. I checked the help section and the closest workaround I found was adding it as an attachment although it's possible I may have overlooked something.

“Suitable for private practices”
Pros
Built with private practice in mind, this platform covers the things I need most like insurance billing, client invoicing and scheduling. It's also really helpful that clients can book appointments and pay their bills online and I'm excited to start using the automatic payment feature as well.
Cons
Scheduling can be a bit tricky to work through at times. For instance, I've been trying to add a free discovery call option in the client portal and it's been hard to tell whether clients would still need to enter a credit card in order to book it.

“customizable built-in forms”
Pros
It covers pretty much everything needed to create client paperwork. The built-in forms can be customized without much trouble and the system also sends notifications whenever something still hasn't been completed.
Cons
Reporting options are very limited and I can't tailor them to fit the needs of my business. A big part of our work involves courts, employers and attorneys who expect weekly or monthly client updates. This software can't produce the reports that matter most for the service I provide and that's a serious issue because clients can end up in jail if those reports aren't submitted. When I brought this up with my one-on-one service consultant, I was basically told this might not be the right program for me. It's disappointing to find a platform that comes so close to meeting my needs, only to hear there's nothing they can do about the one feature that matters most. Right now I'm using another database program that feels awful and childish but at least it can generate the reports I need. It's really frustrating that this software is missing the one function I need above everything else.

“No need for separate tools”
Pros
Having everything housed in it has been the best part for me. Before this, I was juggling separate platforms for video sessions, scheduling and notes, bookkeeping and more. Now it's all in one place which has made my practice much more organized, clearer to manage and more cost-effective.
Cons
I really don't have any major concerns at this point. Since the system is still new to me, I do get a little turned around with navigation now and then but the help tools, tutorials and customer support are there and have been useful whenever I can't figure something out on my own.
