“easy to use and handles transfers
Pros
I find the system really easy to use so there isn't much I personally need to do and it handles information transfers from WebPT.
Cons
Generally, my main concerns are tied to Medicare showing up as the second payer and how COB information gets forwarded and I find that causes me problems.

“Fond of handy eligibility tool
Pros
I am really fond of the eligibility tool and the help documentation is handy too. I can usually track down what I need there which is a lot faster than having to call customer service.
Cons
The turnaround for new feature requests feels really slow. On top of that because of time zone differences, if I have a problem at 8 and it's only 7 in California, my wait to reach customer service ends up being much longer.

“User-friendly claim status tracking
Pros
I have found the billing software very user-friendly, its claim status tracking and reporting features meet our needs.
Cons
At the moment I cannot think of any negatives. though ideally I'd prefer a single system that handled everything but our EMR is kept separate so we use two different platforms.

“easy menus but glaring omissions

It is really easy to use, the menus are simple to navigate and the features are easy for me to understand.
Cons
But I do notice glaring omissions, such as not being able to duplicate a macro which would really speed up my workflow.

“has so many glitches

I find it has a smooth feel and wasn't terribly hard for me to learn how to navigate the software. There is also a nice and easy to use self help page to look up 'how to do's'. Support is always friendly.
Cons
I have run into several glitches. I was advised to buy the P400 card processor and at first it worked for a handful of swipes but then stopped sending the card captures through to Kareo, oddly enough Stripe was still recording the transactions. I have spent many calls back and forth with Kareo and Stripe support, none of which fixed the problem and months have gone by while I keep reaching out. There's also a major issue with appointment times. even though I set the system to eastern time, it repeatedly sends patients with a 3PM slot reminders that say their appointment is at 12PM. I contacted the help desk about this and they still have not resolved it. Another bug shows up in the medication notes area. When I try to add a note explaining why a medication was discontinued, the entry sometimes fails to save because of a system glitch. entering diagnostic codes or adding items to problem lists is clunky and slow. I don't understand why ICD-9 is still present. I literally have to open a separate CDC ICD-10 lookup window to find the correct code number and then paste it into Kareo. There are other minor annoyances I cannot remember right now.

To be honest I got nothing out of this as it wasn't helpful, it was difficult to deploy and their customer service was truly abysmal.
Cons
As I mentioned above, it was overpriced and delivered zero ROI. It required far too much time to implement and they wanted to shift control of our domain to them and dismantle our expensively designed website. What they proposed to replace it with looked like trash something a high school student might have thrown together, probably while high.

“User-friendly and easy to fix mistakes
Pros
I am really impressed with how user friendly the interface is. I can easily fix mistakes and reschedule or change appointments without any hassle.
Cons
There are a few things I wish were different I need a dedicated field to record the last menstrual period, plus a specific section where I can log the appointment date and time and add notes when I send a referral. Also, I would really appreciate a way for children to use the patient portal without requiring each child to have their own email address.

Pros
Filing claims is simple for me and I have found their customer support to be consistently helpful and responsive whenever I reach out.
Cons
I have noticed it can be difficult to track down the exact report I want and the Parallels software can feel clunky and a bit awkward to use at times.

Pros
Well I am impressed by its ease of use and how user friendly it feels. Beyond the software being an excellent product, the customer service and the team supporting us are the cherry on top.
Cons
We expected to receive more hands-on help during the product's initial customization but we managed to get past that early obstacle by leaning on the available training and other resources which quickly brought us to the point where we needed to be.

“Integrates billing but weekly problems
Pros
I like the fact that billing integrates with Stripe, I can send group messages to patients and the system reminds me at six-month and one-year intervals.
Cons
We have been experiencing software problems nearly every week which creates a frustrating environment and has caused financial losses for our practice. The customer service sometimes hangs up during calls and there isn't an option to schedule follow-up appointments.

“Adheres to classic rcm principles
Pros
One thing I love is how the software adheres to classic RCM principles and I can easily pinpoint where our bottlenecks and delays originate inside the system.
Cons
To be honest, the software's visual design seems a bit old-fashioned to me, though I love how smooth and efficient the workflow operates.

I'd never handled billing before. When our PT clinic opted to keep billing in-house, we decided to give Kareo a shot. I didn't have another system to compare it to but I found it simple to learn and the support team was outstanding as they walked me through everything and made the whole process feel manageable.
Cons
With the fee charged per therapist increasing while insurance reimbursements have been dropping, I am under real pressure to reduce our expenses. Because reimbursements from payers are going down, the higher per-therapist cost means I need to find ways to lower our overall costs.

Unfortunately, there's nothing about this software that I genuinely like at all.
Cons
honestly I have never had a single problem I called them about get resolved. It may sound like I am exaggerating but it's exactly what happens they'll mark the issue as fixed even when it's not, or they offer a lousy workaround and then close the ticket. For instance, I reported that our notes come out all jumbled when printed and their 'solution' was to print the main print screen instead of printing the specific note. The main print screen includes everything from the entire chart which turns the print job into literally hundreds of pages. I have raised this with them several times and each time it feels like they have no real intention of fixing the underlying bug. I find the whole experience extremely, extremely, extremely frustrating.

“Stuck in contract with poor scheduling

I couldn't find anything good to say about this product so seriously, be cautious. After I signed the contract I realized there was no way to exit it. So keep in mind that once it's signed you're stuck. Plus there wasn't any trial period offered and it felt like all they cared about was billing me and keeping me locked into the agreement. Their scheduling tool is poor too as after two hours I couldn't see my patients anymore. I ended up committed to a contract without ever getting to try the system first. Please be careful!!!
Cons
My experience with the scheduling system was really frustrating as it stops letting me access patients after two hours. In my view it's a terrible setup and feels designed more to protect the company's interests than to actually help clients.

“e-prescribe crashes frequently

The printed note looks excellent. I can pull up past notes to compare with the current appt but only for a limited time and when there are lots of therapy entries I cannot find medical appointments in the dropdown menu too.
Cons
e-prescribe crashes frequently like two or three times a month. The pharmacy dropdown is often grayed out so I cannot change or select a pharmacy. That forces me to leave the workflow, go into demographics and add my preferred pharmacy to see it as an option. If I remove a scheduled medication from the med list, accidentally or otherwise, I cannot add it back. Non-scheduled meds can only be restored when I submit a refill. For more than one scheduled drug I am forced to sign out of the note each and every time. Customer support has been awful. While I understand they observed Black Lives Matter day last year, no one was available and our system crashed. I am relocating to another state and I won't be using this software ever again.

Pros
I thought the product was fairly simple to use. Its features worked reasonably well overall. I picked up the software quickly, although there were a few areas that felt a bit tricky.
Cons
For me, there are too many steps involved just to complete basic actions which gets frustrating and when I ran into technical problems, getting support was difficult and slow to reach.

Once everything was configured, I find the product within the app reasonably usable and dependable for routine tasks most of the time.
Cons
I have dug through Kareo's enormous support library and while it exists, I constantly feel like I must type the exact right phrase to avoid getting results that are buried under dozens of unrelated pages. When I reach out to support for help, the reps try to be helpful but more often than not they just send me a link to submit feedback for future updates and those promised changes practically never materialize. We don't even have a simple way to generate an invoice for patient copays that were already collected which is maddening. My patients regularly complain about the lack of transparency and honestly they're absolutely right. Statements don't show patient payments alongside insurance payments so unapplied balances can linger in a patient's account for months even though I know the payment was received and processed. That mess caused all kinds of headaches it delayed paying our providers and made closing out the year far more difficult than it needed to be. The system forces me to use a browser interface for scheduling and provider SOAP notes and a separate desktop app for billing and those two sides aren't integrated or synced often enough. I end up jumping back and forth just to give patients accurate billing information. Tasks exist on the desktop but not in the browser which is inconsistent and frustrating. I also get every patient confirmation message regardless of my role, with no way to search, tag, or organize messages into folders to find them later. To top it off, there was no proper onboarding training for our staff so none of these problems were caught before we began using the system.
