User-friendly and easy to fix mistakes

Pros

I am really impressed with how user friendly the interface is. I can easily fix mistakes and reschedule or change appointments without any hassle.

Cons

There are a few things I wish were different I need a dedicated field to record the last menstrual period, plus a specific section where I can log the appointment date and time and add notes when I send a referral. Also, I would really appreciate a way for children to use the patient portal without requiring each child to have their own email address.

Simple claims with helpful support

Pros

Filing claims is simple for me and I have found their customer support to be consistently helpful and responsive whenever I reach out.

Cons

I have noticed it can be difficult to track down the exact report I want and the Parallels software can feel clunky and a bit awkward to use at times.

patient entry and coordination is easy now

Pros

I find it really simple to enter patient information, set up appointments and coordinate with office staff.

Cons

I have trouble quickly editing appointment dates and the reminder calls are unreliable.

Simple navigation and easy resolution

Pros

this platform is really simple to navigate and use and whenever I have questions they're simple to resolve either through the online resources or by talking with a representative

Cons

It would be great if mobile push notifications were added, since I'd appreciate getting timely alerts on my phone for updates.

ease of use with excellent support

Pros

Well I am impressed by its ease of use and how user friendly it feels. Beyond the software being an excellent product, the customer service and the team supporting us are the cherry on top.

Cons

We expected to receive more hands-on help during the product's initial customization but we managed to get past that early obstacle by leaning on the available training and other resources which quickly brought us to the point where we needed to be.

Integrates billing but weekly problems

Pros

I like the fact that billing integrates with Stripe, I can send group messages to patients and the system reminds me at six-month and one-year intervals.

Cons

We have been experiencing software problems nearly every week which creates a frustrating environment and has caused financial losses for our practice. The customer service sometimes hangs up during calls and there isn't an option to schedule follow-up appointments.

Adheres to classic rcm principles

Pros

One thing I love is how the software adheres to classic RCM principles and I can easily pinpoint where our bottlenecks and delays originate inside the system.

Cons

To be honest, the software's visual design seems a bit old-fashioned to me, though I love how smooth and efficient the workflow operates.

Simple to learn with outstanding support

Pros

I'd never handled billing before. When our PT clinic opted to keep billing in-house, we decided to give Kareo a shot. I didn't have another system to compare it to but I found it simple to learn and the support team was outstanding as they walked me through everything and made the whole process feel manageable.

Cons

With the fee charged per therapist increasing while insurance reimbursements have been dropping, I am under real pressure to reduce our expenses. Because reimbursements from payers are going down, the higher per-therapist cost means I need to find ways to lower our overall costs.

Never had a problem resolved

Pros

Unfortunately, there's nothing about this software that I genuinely like at all.

Cons

honestly I have never had a single problem I called them about get resolved. It may sound like I am exaggerating but it's exactly what happens they'll mark the issue as fixed even when it's not, or they offer a lousy workaround and then close the ticket. For instance, I reported that our notes come out all jumbled when printed and their 'solution' was to print the main print screen instead of printing the specific note. The main print screen includes everything from the entire chart which turns the print job into literally hundreds of pages. I have raised this with them several times and each time it feels like they have no real intention of fixing the underlying bug. I find the whole experience extremely, extremely, extremely frustrating.

Stuck in contract with poor scheduling

Pros

I couldn't find anything good to say about this product so seriously, be cautious. After I signed the contract I realized there was no way to exit it. So keep in mind that once it's signed you're stuck. Plus there wasn't any trial period offered and it felt like all they cared about was billing me and keeping me locked into the agreement. Their scheduling tool is poor too as after two hours I couldn't see my patients anymore. I ended up committed to a contract without ever getting to try the system first. Please be careful!!!

Cons

My experience with the scheduling system was really frustrating as it stops letting me access patients after two hours. In my view it's a terrible setup and feels designed more to protect the company's interests than to actually help clients.

e-prescribe crashes frequently

Pros

The printed note looks excellent. I can pull up past notes to compare with the current appt but only for a limited time and when there are lots of therapy entries I cannot find medical appointments in the dropdown menu too.

Cons

e-prescribe crashes frequently like two or three times a month. The pharmacy dropdown is often grayed out so I cannot change or select a pharmacy. That forces me to leave the workflow, go into demographics and add my preferred pharmacy to see it as an option. If I remove a scheduled medication from the med list, accidentally or otherwise, I cannot add it back. Non-scheduled meds can only be restored when I submit a refill. For more than one scheduled drug I am forced to sign out of the note each and every time. Customer support has been awful. While I understand they observed Black Lives Matter day last year, no one was available and our system crashed. I am relocating to another state and I won't be using this software ever again.

Fairly simple but tricky support

Pros

I thought the product was fairly simple to use. Its features worked reasonably well overall. I picked up the software quickly, although there were a few areas that felt a bit tricky.

Cons

For me, there are too many steps involved just to complete basic actions which gets frustrating and when I ran into technical problems, getting support was difficult and slow to reach.

unhelpful support and inconsistent billing

Pros

Once everything was configured, I find the product within the app reasonably usable and dependable for routine tasks most of the time.

Cons

I have dug through Kareo's enormous support library and while it exists, I constantly feel like I must type the exact right phrase to avoid getting results that are buried under dozens of unrelated pages. When I reach out to support for help, the reps try to be helpful but more often than not they just send me a link to submit feedback for future updates and those promised changes practically never materialize. We don't even have a simple way to generate an invoice for patient copays that were already collected which is maddening. My patients regularly complain about the lack of transparency and honestly they're absolutely right. Statements don't show patient payments alongside insurance payments so unapplied balances can linger in a patient's account for months even though I know the payment was received and processed. That mess caused all kinds of headaches it delayed paying our providers and made closing out the year far more difficult than it needed to be. The system forces me to use a browser interface for scheduling and provider SOAP notes and a separate desktop app for billing and those two sides aren't integrated or synced often enough. I end up jumping back and forth just to give patients accurate billing information. Tasks exist on the desktop but not in the browser which is inconsistent and frustrating. I also get every patient confirmation message regardless of my role, with no way to search, tag, or organize messages into folders to find them later. To top it off, there was no proper onboarding training for our staff so none of these problems were caught before we began using the system.

Simple setup and easy to use

Pros

I had a company handle the installation for me and the whole setup was simple. In short the software is simple to use

Cons

User-friendly with strong reporting

Pros

The software is very user-friendly, offers strong reporting features and the support team is reliable. It also integrates with WebPT.

Cons

We struggle with the Patient Portal's management. As per me it needs some refinement. Several of my patients are finding it confusing and I am unsure how we should be helping them from our side.

easy navigation and telehealth capable

Pros

I find the software really easy to navigate and it gives me the ability to schedule my patients while also handling telehealth appointments smoothly.

Cons

My experience with the patient intake forms has been disappointing because they feel too basic for collecting medical details as they need far more specific fields or a broader list of medical conditions for patients to choose from. When those options aren't provided, patients usually won't take the time to write out their conditions themselves and important info gets missed.

Really easy to use and learn

Pros

pretty simple and easy to navigate

Cons

As a small business, we resent having to pay per provider when we only bill through a single provider. charging us for each separate provider is prohibitively expensive and simply doesn't make sense for our company.

e-prescriptions vanish without confirmation

Pros

To be honest, I think it looks slick in a sales presentation and I have found it offers numerous features for collecting bills.

Cons

I cannot refill an e-prescription through the system and there's no way for me to confirm that an e-prescription actually made it to the pharmacy without calling them which always eats up a ton of time. On top of that, every so often prescriptions vanish in transit and never reach the pharmacy at all which leaves my patients frustrated and angry. For buprenorphine I have to type in my NDeAN manually on every single Rx that feels like an absurd, repetitive waste of my time. When I try to get help, the company acts like they don't care as calling customer support to report software problems does almost nothing. They'll tell me I can suggest a future improvement and then ignore me. Like I submitted that suggestion and never got any follow-up. Basically I am stuck using the system as-is. The visual design looks like it was tuned for an admin portfolio but the contrast choices are poor and make text hard to read. The fonts are oversized and there's so much empty space that I end up switching screens constantly just to find things.
