Promising features makes it special

Pros

There are a lot of promising features that make tasks easier but I found it takes quite a long time to learn everything.

Cons

I found the support options to be pretty weak and it was difficult to get everything set up at first.

User-friendly and pay for what we use

Pros

I find the software very user friendly and I like all the features available that I only pay for if I actually use them. As a small business, we are constantly trying to boost efficiency and cut costs so this helps us do both.

Cons

My biggest frustration is with eRA posting. It feels like that part hasn't changed since we started over ten years ago and if it has, nobody told me. Right now I am forced to handle each date of service one by one instead of being able to review and auto-post them. I'd even be open to configuring default choices to speed up posting. I also wish there were a help tool for rejection error messages that would suggest likely causes and fixes because the current error wording is often really cryptic.

excellent for patient connection

Pros

For me, it's an excellent method to connect with patients, tidy up outdated sites and improve reviews.

Cons

I find the price a bit tough to justify, although the outcomes really do prove their value. My experience rep's calls feel more like upsell attempts to push extra features which seems misleading to me. That rep should focus solely on how the software is working for my practice and having a separate sales rep would actually be useful.

Listens to our suggestions and refines

Pros

We have noticed that whenever we offer suggestions and corrections, the team listens, thoughtfully evaluates them and uses that feedback to expand and refine the platform. They're really open and receptive to ideas about what works for our practice.

Cons

It's a bit slower than our former desktop program since it's cloud-based but that's the trade-off we expected and wanted in order to manage all three of our practices.

Overpromised and underdelivered website

Pros

honestly there isn't much I can praise here. I do appreciate the call tracking feature, though that's pretty standard. I have had similar tracking in other services I have used and what bothers me is that when a lead comes through a phone call, I cannot add notes to it.

Cons

I don't even know where to begin. I was told one thing and they OVeRPROMISeD and then UNDeRDeLIVeReD. The website development felt like a basic DIY builder like more plug-and-play than professional. The people I spoke with often seemed unfamiliar with even the simplest website concepts and just passed messages along which made the whole process awful. In the end I ended up building more than 90% of my site myself because PatientPop couldn't get it right. I paid in August and my site still isn't finished. Worse, within two weeks of PatientPop going live I lost my top organic search rankings. I have been in business six years and used to dominate SeO in my market before PatientPop so this was a huge setback.

Fantastic and user-friendly interface

Pros

The interface is fantastic and really user friendly. They included video tutorials that helped me learn the system and I was assigned a success coach who supported me throughout the onboarding.

Cons

I thought the fees for transferring data were way too high they wanted us to pay at least $1,200 just to move our demographic records.

Smooth integration and excellent turnaround

Pros

What I appreciate most is how smoothly Kareo integrates with my EHR system. typically I get a response within 24 to 48 hours after claims are submitted to the insurer. When there's an issue with an ICD-10 code I have entered, Kareo alerts me before I finalize and send the claim. On the rare occasions a claim is rejected or denied, Kareo provides a clear, specific explanation for the reason so that I can correct the issue quickly. The turnaround times are excellent and Kareo also gives me clear insight into how I am doing with patient collections which has helped my practice greatly.

Cons

It took a couple of weeks for Kareo to fully integrate with our business processes and run smoothly but I could always reach the support I needed.

Bait and switch with terrible support

Pros

The pricing is the only aspect I genuinely liked about it. their pitch was excellent and it really fooled my team.

Cons

I found it to be a bait and switch as overall it's hard to use, doesn't save any of my templates, the billing system drove my staff up the wall and the customer support was terrible.

Lacking support and no flexibility

Pros

Overall, my initial experience getting started felt positive. the platform appeared fairly comprehensive with a lot of features and while the staff were friendly, it was obvious they were stretched thin.

Cons

I found the customer support to be very lacking and the system offers almost no flexibility when it comes to the calendar or website layout.

Well thought-out and impresses

Pros

At my clinic we have recently switched over to Kareo and I am genuinely impressed. It's a well thought-out program that elevates the overall user experience. It doesn't feel overly difficult to navigate as long as you take advantage of the free training that comes with it. It usually takes a few sessions for everything to make sense but once you work through those lessons the different pieces start to fall into place.

Cons

I am frustrated by the strict time limit imposed on the training. For example, the moment you activate your account the clock starts and you generally only have about sixty days maybe even fewer to finish the training. That might seem like plenty but when you're working full time in a clinic it can easily feel insufficient. I'd much prefer the training to be available indefinitely so I can complete it on my own schedule, or at the very least allow the system administrator to set a deadline when necessary instead of enforcing a forced expiration.

Provides no real advantages

Pros

From my experience, this EHR provides no real advantages when compared to other similar systems.

Cons

I have come to believe this company hasn't prioritized clinical practice. To me it looks like a long-established billing business that tacked on an EHR mainly to increase revenue from clinicians. I cannot reliably place medication orders as the platform fails repeatedly. There are frequent breakdowns, whether it's standard electronic prescribing, e-prescribing for controlled substances, or sometimes both at once. Meaningful customer support is essentially nonexistent. I have seen physicians, even the clinic owner, struggle to explain basic problems to the IT team. Instead, no matter who I am or what role I hold, I am forced to call customer support and spend an excessive amount of my time only to speak with a low-level phone agent who says they'll 'escalate' the problem to IT. That promise rarely leads to any follow-up or accountability. Issues go unresolved and nothing gets fixed or addressed in a timely way. I cannot get hold of anyone who actually has the ability to take action and solve the problem.

Looks good but templates are all same

Pros

I like how the website looks but now that I have seen other users who have gone with this company, it feels like all the templates are the same and lack any real individuality

Cons

I am frustrated that it doesn't integrate well support is terrible, taking 10-11 business days to do anything and then they bill you an arm and a leg to fix the features that don't work

excellent and personable customer support

Pros

I have found their customer support to be excellent whenever I have questions or need help sorting out specific problems. The team is personable and stays with me until the issue is resolved. The platform is fairly user-friendly overall. There are a few minor things I'd like to see changed but they're manageable and I already sent them my suggested improvements.

Cons

One thing I'd like to change is the ability to reopen schedule days that have been blocked by a template right now I can still put patients on those dates but it would be much nicer if the day itself showed as 'open'. I also wish there was a reminders tab or a simple FYI feature to flag tasks I need to complete and it would be helpful to get alerts when new faxes arrive in the documents area.

ease of use and friendly service

Pros

For me, the ease of use and the friendly customer service really make a difference and the price is very reasonable. I picked up Kareo quickly and found it simple to learn.

Cons

Switch was a difficult with no training

Pros

I liked the web-based scheduling and being able to switch over after just a few days but honestly that switch was a sham because there wasn't any real training.

Cons

There was no automatic fax capability, the support was extremely weak and I often got replies telling me to watch a video or read below it feels like they're squeezing every possible penny.

Pretty simple with outstanding support

Pros

I find Kareo pretty simple to use even if I am not tech-savvy. Their customer support is outstanding, consistently patient and incredibly helpful every single time too.

Cons

At first I felt misled by the so-called success coach. He seemed determined to rush through everything to meet his deadlines, breezing through the material at lightning pace and getting visibly irritated when I asked questions. Fortunately the customer service team could not have been more different. They actually helped me get headed in the right direction. The Kareo software itself is easy to use and the initial snags I experienced were handled by the support staff. early on I called often and each time I was met with a great deal of patience. Now that I have a better grasp, navigating Kareo is much simpler and customer service taught me useful troubleshooting tips so that most of the time I can fix problems myself without needing to call right away.

Really grateful for our success coach

Pros

I am really grateful that we have a success coach to help guide us through the system. This person checks in with me regularly to see whether I have questions and will arrange virtual time to walk through the platform and answer anything I am unsure about. Beyond that, there are several ways to get help if you ever need it, for example the Kareo help desk, Kareo University resources and live virtual tours are all available. I also appreciate that the team can push information out and even help with marketing for you which takes a lot off my plate.

Cons

I cannot really point to anything I dislike as overall the system is pretty easy to use. Plus my success coach has been fantastic, though at first it was somewhat hard to get appointments scheduled with him. We worked out a plan, however and that issue has been resolved.

easy charts but details don't flow

Pros

For me, the patient's chart is incredibly easy to use and that makes managing records much simpler and I really appreciate being able to access the EHR/webpage from anywhere. Overall it's wonderful!

Cons

I get frustrated because the details patients enter online don't flow into their charts smoothly and I have seen the system crash several times when they attempt to submit their intake paperwork which causes extra work.

Visually appealing and simple features

Pros

I have found Kareo visually appealing and it's simple to locate the most important features such as patient demographics, note-writing tools and ways to communicate with staff and patients.

Cons

The medical notes could use the same visual polish as the rest of the platform because right now they feel rather templated and impersonal. I want the notes to flow more like natural sentences instead of disjointed fragments or shorthand and I'd also appreciate a dedicated nursing notes section to capture more specific nursing observations.
