“Quick telemedicine setup during covid”
Pros
When Covid hit we had to go virtual literally overnight and our team freaked out thinking we'd have to scramble with Zoom. After digging into our EHR, Kareo, I contacted them and they set up telemedicine for us extremely quickly. The platform is simple to use and genuinely user-friendly which made the transition a lot smoother.
Cons
My only real complaint is that customer service wasn't as responsive as I'd hoped, although I understand they were flooded with requests probably a massive surge during Covid as everyone rushed to go virtual. Now that demand has eased, they have noticeably improved and become far more helpful and timely for sure.

everything about it impresses me as I find the overall system incredibly easy to work with and navigate across the whole platform.

I do wish there was a report showing the statement we sent to a patient but overall I am really fond of this software and the team behind it.

“Overly heavy and complex for solo practice”

I find it has a lot of features and appears to cover EMR, billing and prescriptions fairly comprehensively.
Cons
As a solo practitioner, I found Kareo geared toward larger clinics rather than a one-person setup. I was looking for a much simpler, easily customizable EMR tailored to my workflow. The visit flow, billing configuration and ongoing administrative maintenance felt overly heavy and unnecessarily complex for what I need.

“easy to customize website and booking”

From my experience, the website is very easy to tweak and keep current and we have a highly knowledgeable, efficient support team backing us up. The online booking feature, together with the patient pop-up confirmation flow, has been incredibly useful and saves time, running smoothly and reliably. Our site reviews and Google and other review platforms are consistently up to date, synchronized across channels and well monitored. We get immediate alerts about the rare client concerns and client data is shared periodically to inform our policy decisions and support steady growth and continuous improvements.
Cons
We're currently addressing a few telemedicine scheduling coordination issues that involve syncing with two of our other systems and those integrations are in progress.

“extra features all come with charges”

I really appreciate that I can type free-form notes instead of being forced into rigid templates. it makes documenting patient faces feel more natural and usually faster for me.
Cons
honestly I have found that almost every small extra feature comes with an additional charge. Things like educational tutorials, ePCS/e-prescribing and telehealth all cost extra which adds up quickly. The telemedicine side has been the worst experience for me as the support tends to be slow and at times arrogant and I keep faceing technical problems that have led to missed patient appointments and negatively impacted clinical care.

Pros
I really like that text reminders are included and work well. The app is packed with functionality. I mean there's a lot it can do, perhaps even more features than necessary.
Cons
It bothers me how frequently the system goes offline for repairs and maintenance I have had it happen several times right in the middle of the day which sets us back and disrupts our schedule. Also, despite being overloaded with features, I still cannot pull a basic itemized statement.

“Locked into a contract out of nowhere”

I found the customer service at the beginning to be reasonable.
Cons
I did get decent customer support at the start from Kareo. Still, you have to watch the contract be absolutely sure this is the solution you want before signing. They presented me with a 'deal' that locked me into a one-year commitment. As I explored the platform more, it became clear it wouldn't meet my needs. I never actually used the EMR. When I tried to negotiate asking for a discount, to pause service, or to change anything they refused outright. That left me stuck paying for a product I never used for the entire contract term in my case it stretched to 14 months. On top of that, I have to remember to call and cancel at the end of the year because they won't send any reminder or prompt about renewal. It really feels like they're banking on automatic renewals going unnoticed. Overall, the experience made me feel the product itself is poor and that the contract is designed to be punitive so the company profits from binding agreements rather than from delivering value or satisfied customers.

“System down for weeks, patient safety risk”

I find e-prescribing to be an excellent feature but I have noticed that occasionally when I prescribe one medication in Kareo, it will remove another medication from the patient's chart.
Cons
My experience with the EMR has been terrible. Back in May the system went down for three full weeks and all we got from the company was the vague message we are working on it but no meaningful updates or support. We were essentially stranded we couldn't send prescriptions and in many cases we couldn't even provide basic patient care. That outage put patient safety at risk and when they finally responded they said it was fixed sorry we switched vendors. When we attempted to terminate our contract because of that failure, the company refused and threatened legal action if we left which left our psychiatric practice stuck with Kareo. Now, fast forward, the system has been down again for the last six days. Our practice which cares for about 5,000 patients, currently has no EMR access, no records and no way to prescribe or deliver care. We're powerless during a pandemic with many urgent patients which forces unsafe care, yet they still insist we honor the contract. I would never use Kareo even if it were free. Their customer support is awful and nonresponsive so look elsewhere and be cautious about the glowing reviews you might see on other sites.

“Text messages fail to deliver patients”

If it worked, I find it easy to use and simple overall so I like its simplicity

Over the past year and especially during the last few months, we have been dealing with recurring issues where text messages simply don't get delivered to patients. error messages appear intermittently throughout the day sometimes on a Monday sometimes on a Tuesday and other times completely at random. I can be in the middle of a chart, trying to save it or send medications and then an error pops up so nothing is saved. I am not sure what's going on but it's creating dissatisfied patients who show up at the pharmacy without their prescriptions or miss our messages about visits, lab results and other important information. If everything functioned as it should, I wouldn't have any complaints but these problems happen unpredictably and seem to be increasing in frequency. I am holding on for now but I don't know how much longer I can wait for them to sort this out. When we're seeing multiple patients a day and failing to meet their needs, there's a real risk we could lose patients.

“awkward system with constant downtime”

Nothing positive to point to. The interface has a polished, modern look but that appearance masks a shocking lack of real functionality. From my perspective the EHR feels poorly designed and is missing basic capabilities you would expect. The whole system is awkward to use and ends up forcing me and my staff to waste countless hours trying to get routine tasks completed.
Cons
I don't even have enough space to fully catalog how bad my experience with Kareo has been. At its core the EHR feels like it was not well thought out and it lacks many basic, essential features. The platform is clumsy and my team and I end up spending an enormous amount of time inventing workarounds just to keep things moving. The system will go down unexpectedly in the middle of a clinic day and you have essentially no backup plan when that happens. On a particularly bad stretch of days with either no service or painfully slow performance we were forced to shut the office because we literally could not function. Kareo will tell you they are fixing problems or rolling out updates but in our experience those so-called fixes were mostly meaningless and the updates did little to solve the underlying issues. Customer support is awful and unhelpful. The calendar feature is especially poor and doesn't integrate well with the rest of the EHR. To give you one concrete example we kept getting ghost appointments created by the system and, worse, patient appointments were being deleted at random. That situation threw our practice into chaos because no one could figure out why patients were being emailed about visits they didn't actually have, why some people were showing up on random days, or why other scheduled patients never appeared even though they were listed on the calendar. Kareo was aware of the glitch, could see what was happening and still couldn't fix it. This was just one of many bugs and poorly executed elements in their software and it's emblematic of dozens of ways Kareo makes running a practice far more expensive and frustrating than it should be.
