“Lets patients schedule appointments”

Pros

Patients can schedule appointments online and the phone system gives us a much better way to track new patients.

Cons

Online booking tool doesn't separate time slots for new patients versus existing patients so we end up having to call new patients often to move them into the correct appointment times.

“Staff-friendly”

Pros

It's fairly simple for my minimally trained staff to use. Once I remind them to log in and actually check the system, they're generally able to work through it without much trouble.

Cons

Patients still get confused when trying to book eye exams instead of aesthetics and coordinating everything with my staff can still be difficult.

“Accommodating staff”

Pros

The platform feels very user-friendly overall. The website looks professional, it's simple to move around in and customer service really tries to handle requests as quickly as possible while being accommodating.

Cons

At times, the image quality comes out lower than I'd like. There have also been occasions when a request took longer to get completed than expected.

“Helpful scheduling and web presence”

Pros

Booking and managing patient appointments is simple which has been really helpful. They also gave me a web presence that I can manage myself and keep under my control.

Cons

Phone appointments are not as simple to track as online bookings. Some of the reports and data they generate can also be hard to understand at times.

“Better traffic”

Pros

Using this software has helped bring more traffic to the site and day-to-day use is very simple. On top of that, the website itself has a very polished and attractive look.

Cons

Price feels a little high and it doesn't connect with my current EHR scheduling software which ends up creating extra work.

“getting more reviews”

Pros

Since switching, our SEO has gone up and we're getting more reviews as well. The website is dramatically better than it used to be, much more user-friendly and it finally shows the right information. On top of that, customer support is always fast to respond whenever we need updates or changes.

Cons

booking/requesting app feature doesn't connect to our live schedule which ended up confusing our patients.

“Site helps generate feedback automatically”

Pros

Patients can send in appointment requests without having to call which saves time and works much better for people who can't make phone calls during work. Another big plus is that the site helps generate feedback and reviews automatically so I don't have to personally ask for them.

Cons

Since different appointment types require different time lengths, the calendar doesn't always account for that correctly. Because of that, I sometimes still need to call or email patients directly to let them know their requested time has to be adjusted.

“Laid out clearly”

Pros

The platform is laid out really well and getting around it feels very user-friendly. The best parts for me are that patients can book appointments online and I can place calls directly with a tap on mobile which is very convenient.

Cons

The back-end calendar works well enough but it still has room for improvement, especially when it comes to EHR integration. I also wish it could manage registration forms and include a front-desk kiosk option.

“Frequent updates”

Pros

They're always rolling out updates and adding new features which shows they keep improving the platform. The team is also very engaged and works closely with you to gather feedback and the staff has been consistently friendly throughout the process.

Cons

Honestly, I've been happy with just about everything. If I had to point out one thing, I'd love to see more work being done around social media but overall I'm very pleased with the software.

“Our clients love it”

Pros

Our customers have no trouble using it which has been a big plus. The webpage they created for us turned out fantastic and feels very user-friendly.

Cons

The appointment calendar doesn't extend far enough into the future which can be limiting. It would also help to have more control on our end so we can make changes ourselves.

“They pay attention to our needs”

Pros

Whenever something comes up, they work through it with us and really pay attention to what we need. They're willing to find a solution and make things happen, even creating a custom recording to replace the hold music on our phone system. I also appreciate that Patient Pop is always ready to help with updates or additions to our website and the work is consistently done professionally.

Cons

The portal logs every call and is set up for users to assign each one to a category. We don't really use that feature because, in a dental office, we already track calls in our practice management software. There's also a fairly long recording at the start of each call that comes in through Patient Pop.

“Long waiting time for replies”

Pros

One helpful part is being able to fix rejections directly from the rejection screen. It's fairly simple to use and it works quickly. Beyond that though, there really aren't many positives I can point to right now, especially since I constantly have cases open that take months to get resolved.

Cons

Customer service has been the biggest frustration. There always seems to be some kind of issue and I end up with support cases that stay open for months. It's really difficult to rely on a product when it feels like it's constantly not fully operational.

“EHR and billing in one system”

Pros

Having the EHR and billing built into one system has been a big plus and the platform is very user-friendly. Learning how to use it's EHR and billing tools didn't take much time at all and the web app makes it really convenient to work from home.

Cons

Once I sign a chart note, it automatically closes. That means I have to open it again if I want to e-fax it.

“Too many issues”

Pros

At first, the fact that the EHR was free made it easier to overlook a lot of its shortcomings. Early on, I also valued the technical support because the staff seemed to genuinely care about the product and the service they were providing. Unfortunately, when questions came up, the most common response from I.T. was basically an apology that they couldn't deliver the features customers needed most.

Cons

Using this system to create progress notes was incredibly frustrating. You have to save a note before switching screens or everything you entered is lost because there is no auto-save. Even then, you cannot just save and continue, you have to save and close the document, then go through multiple steps to open it again which is consistently inefficient. Doctorbase worked more like an answering device for providers by only giving the caller's phone number. The problem with new callers was that no name showed up and no message was recorded so by the end of the day I would have 10 to 15 "unknown" calls and about half to three-quarters of them were just salespeople or bankers trying to offer loans. When I switched companies, there was no way to transfer data in bulk. I had to move every patient one by one and the same would have applied to all 15,000 emails, while other companies I looked at offered bulk transfer. The system also had limited and unsophisticated tools for building progress notes in a way that would reduce keystrokes. Requests for upgrades were infrequent, rarely useful and never handled quickly or responsively, even when the requested change was minor. The original support staff I had contact with disappeared and after that I was left to figure things out through trial and error. That is saying a lot because I had already spent 10 years working with much more sophisticated programs before dealing with this mess. These are only some of the issues I dealt with before leaving. To make matters worse, six months after I had already moved on, Kareo called to ask how they could improve my experience and upgrade the system which showed they apparently did not even realize I was no longer a customer. Working with pharmacies was never smooth either. There were plenty of other issues too, unfortunately, more than I even care to revisit.

“Well organized interface”

Pros

The system feels very simple to use and everything is laid out in a organized way. Pricing is in line with other software options and the interface looks polished and clean. It's also simple to move through the different sections without feeling lost.

Cons

Our biggest issue is the lack of full customization to make the software match our specific needs. Aside from that, we really haven't run into any other problems.

“Quick rollout and setup”

Pros

Right from the initial contact through full implementation, the whole process wrapped up in just two weeks and barely required much time or effort from me.

Cons

After the system was up and running, I was told there would be weekly follow-up calls. Three have been scheduled so far but only the first one actually took place.

“Disappointing experience”

Pros

When our two-provider practice first signed on with Kareo about four years ago for both the EHR and practice management system, things actually got off to a fairly good start. The onboarding went reasonably well and I felt the trainer handled the setup and training process effectively. Unfortunately, that was about the high point.

Cons

As our office grew and we added three more providers, the gaps became much harder to ignore. The functionality they had promised on the practice management side never seemed to get the attention, support or long-term direction needed to make it truly useful for us. On the EHR side, there were only small updates yet they were presented as major breakthroughs even though they still failed to deliver meaningful improvements. When they decided to start charging separately for the EHR, communication with our office completely broke down. It took two months just to reach an agreement that felt even somewhat fair and we had to drive that entire process ourselves. Their proposed solution was to give us only 30 days to move to another platform which made no sense considering their own implementation takes around three months. On top of that, getting access to our data in any usable business or clinical format became an exhausting battle. We ended up spending well over 100 hours trying to pull information out through workarounds. Overall, it was an extremely frustrating and deeply disappointing experience.

“Waste of time”

Pros

Nothing stood out positively for me.

Cons

Everything about this was disappointing. They seemed completely unsure of what they were doing and they even launched the website without making the changes I had specifically requested. It honestly feels like a waste of time to even try. On top of that, the price they quote is not the same as what they end up charging which came across like a way to get me to sign up first.

“Convenient patient documentation”

Pros

Sending prescriptions doesn't feel tedious at all. Patient documentation is simple to work with and the layout for looking up patients is very user-friendly.

Cons

There isn't a standalone e-prescribing option or a part-time option. I also felt the initial setup for controlled substances could have gone more smoothly.

“Constant issues”

Pros

The note templates do offer enough flexibility to organize documentation and include narrative details when needed.

Cons

Getting clear answers to questions has been nearly impossible. The startup coach keeps saying he'll check with a colleague and follow up but that follow-up never happens. This has honestly been the worst customer service I've ever dealt with. Trying to speak with a supervisor goes nowhere and no one responds. The chat team also closes problem tickets before the issue is actually fixed. On top of that, there are problems in almost every area, saved notes disappear for no clear reason, e-prescribing feels complex and doesn't fit the workflow of a typical office practice and there's no training module or instructions for using the e-fax service through Updox. There's also no glossary for error messages and transmission for sending and receiving is unreliable.
