“Competent support staff”
Pros
Its easy to use and the support team has been outstanding. They're always available to answer questions and point me in the right direction whenever needed and they never make you feel like any question is a silly one. The clearinghouse has also been a big help. One thing I really appreciate is that the system stays current without charging extra to keep the billing side updated. We never ended up using the EHR but I honestly wish we had because it sounds incredible. Another huge plus is that it's web-based which means I can work from wherever I am. We've been traveling in an RV for the past three years and I've handled billing from all across the country sometimes even parked by a lake with an amazing view.
Cons
There are no drawbacks at all.

“Their team is pleasant to deal with”
Pros
Working with their team has been a really positive experience because everyone is friendly, supportive and pleasant to deal with. The value this program provides definitely outweighs the cost which feels very reasonable for the kind of software and service you get. I also appreciate that there are no hidden charges or extra add-on fees. Aside from a few minor exceptions, the system is simple to move around in and there is plenty of support available whenever needed.
Cons
I'd like to see some refinement in the terminology so certain parts feel clearer at first. That said, once you understand the wording, the program is very effortless to navigate.

“Valuable Provider Performance Reports”
Pros
One of the best parts of using it is the To Do List because it helps me stay on top of priorities throughout the day. The Unpaid Claims Report is also really useful since it includes the information needed when following up with payers on overdue claims or those with no response. I also appreciate that the statement process lets us add personal notes for patients. On top of that, the Provider Performance Reports are especially valuable because they automatically email clients their daily, weekly or monthly key metrics and keep them informed.
Cons
A frustrating part of the system is the way the EHR and PMS interface handles encounter information. When appointments are scheduled in the PMS, the prior authorization number and referring provider fields that were entered there do not carry over correctly and end up missing from the encounter details. Because of that, the billing team has to manually enter the prior authorization number and referring provider again for every managed care encounter which adds a lot of extra work.

“works well with most insurance companies”
Pros
Whenever questions or issues come up, the vendor is consistently quick to respond and very efficient. Our representative was professional, helpful and made sure our training was completed thoroughly and on time. The product also works well with most insurance companies. Another big plus is that Kareo catches billing errors before claims are sent out which helps avoid denials and leads to faster payments.
Cons
Sometimes the connection with Web PT drops when adding new providers. I also feel the service can be a little expensive for smaller clinics since pricing is per provider and that is not always worthwhile for part-time providers. On top of that, our state Medicaid system still has to be billed separately because it cannot be processed through this platform.

“Poor integration”
Pros
It does have a few useful parts, especially the note-taking, favorite medications, dashboard and scheduling features.
Cons
There are a lot of problems overall. The integration between the PM and EHR is poor and diagnosis codes entered in the EHR do not flow into the PM. Reporting is one of the worst parts. The missing encounter reports are very misleading and contain errors. Support is also weak. It often takes several phone calls and repeated follow-up just to get one issue addressed. The Success Coach does not seem invested in actually helping and you have to keep checking in yourself to see whether anything is being resolved. Even when a problem remains open, I expect some communication about what is being done and that usually does not happen. We also handle UB billing and it requires around 10 separate manual edits before a draft encounter can move forward to billing. On top of that, many superbills get stuck somewhere in the system and never show up in the PM. These issues already happen with both the EHR and PM from Kareo so it is hard not to imagine how much worse it could be if the EHR came from a different vendor. Using this product creates a lot of stress. Document management is another weak area. Imported files such as imaging reports and consultant notes can be scanned in but there is no way to route them to providers for review. That leaves constant concern that documents may simply be filed into the record without ever being properly reviewed.

“User-friendly setup”
Pros
Found it easy to operate and the setup process didn't take much effort. The reporting provides the stats I need and the EHR interface performs well.
Cons
The biggest downside is the product support and customer service. Their staff has been very poor to deal with.

“Superb service”
Pros
The software is very user-friendly and the customer service has been superb.
Cons
I'm genuinely happy with their services overall, the only thing that could use a bit more improvement is the reporting.

“Approachable staff”
Pros
Using it feels very simple and whenever help is needed, support is there to assist.
Cons
We run two separate practices within the same program and it can be hard to tell which one you're currently working in. Having the option to change the window colors would make that much clearer.

“Accessible vendor”
Pros
Whenever questions come up, the vendor is very accessible and responsive. The product was also quick to learn and simple to use day to day.
Cons
I'd like to see a stronger connection between the EHR side and the Practice Management side. Specifically, it would help if the EHR automatically pulled in previous diagnosis information.

“Nonexistent learning curve”
Pros
Comes with a minimal learning curve and the preloaded templates are a big help. On top of that, you can customize them or build your own personalized templates so they match exactly what you need.
Cons
It feels overpriced and I really think it should be more affordable for NPs.

“Support stands out”
Pros
The support team has been the best part of using the platform for me. At first, I relied on the Kareo Help Center whenever I needed to figure something out. But any time I ran into a task that was a little outside the usual, I would get stuck. I'd try to sort it out on my own in the Help Center and while that sometimes worked, other times I wasted a lot of time and ended up frustrated without getting anywhere. When I finally called Customer Support, it usually turned out to be something simple I had missed. Every representative I spoke with was friendly, reassuring and genuinely helpful. They were consistently patient while walking me through each step and answering all of my questions. They also always asked if there was anything else they could help with and reminded me that I could call anytime. At this point, if I can't solve something fairly quickly, I just pick up the phone.
Cons
At the moment, we still can't fully use the automation for posting remittances electronically with most payers, including Medicare. This issue is not entirely caused by it though. The bigger complication is that our TIN and NPI are shared with a Skilled Nursing Facility because both are owned by the same parent company. We are currently working on getting our own NPI number so we can hopefully resolve that problem.

“detailed features”
Pros
Compared with many of the options I looked into, this one offers the widest set of features and it sounds like even more are on the way. It also appears to support billing for a very broad variety of companies.
Cons
The level of attention I got during the sales process dropped off once that stage was over. At the moment, the patient portal is quite weak.

“24/7 support is a plus”
Pros
It gets updated often which gives me confidence that I'm always working with the latest version. Having access to it 24/7 is a big plus. The ERAs are especially useful because they make payment posting much simpler and the homepage dashboard gives me a clear snapshot of the practice right away. Support has also been solid, when they don't have an answer immediately, they actually look into it and follow up. I also appreciate how simple it is to send statements without dealing with printing and stuffing envelopes. After using Kareo for more than two years, I haven't felt the need to switch and I'm still very happy with the decision.
Cons
At times it can be a bit finicky and even small inaccuracies can lead to rejections so I need to stay on top of those details.

“They take feedback into account”
Pros
It has been very user-friendly for us, with all the core billing tools built right into the system. It works especially well for a billing company like ours or even a smaller group practice. I also appreciate being able to document everything at the claim-line level. Sending electronic claims is very simple and having full Excel access to the data makes reporting incredibly flexible since you can build just about any report you need.
Cons
They've also been very responsive when it comes to adding our suggestions into the product so honestly I don't have any real complaints.

“Love the simplicity”
Pros
Using it feels very simple and that simplicity is the part I appreciate most.
Cons
The part I don't enjoy is the EDI/ERA enrollment, along with having to go through the integration process with at least two other EHR partners.

“glad with the service”
Pros
Ever since I was about a year into private practice, I've been using it and have been very happy with the service. The software is user-friendly, reliable and reasonably priced. On the few occasions I've needed assistance, customer support has been responsive and has resolved our issues quickly.
Cons
there are very few downsides to using this software. One feature my previous Practice Management system had that's missing here was a screen that popped up at patient check-in, letting staff enter the copay payment immediately. My front desk team misses that option since they now have to remember to pass that information along to the billing department.

“Strong EHR”
Pros
What really stands out is how responsive the customer service team is whenever we urgently need help. On the EHR side, I appreciate being able to see patient check-ins, health history and notes all in one place. It's also very helpful that when I'm working in one note, I don't have to exit out just to view information from another note. Another feature I value is how the EHR clearly shows when a patient is late, how late they are and even changes color to make it obvious. Scanning documents into the EHR has also become much more convenient than it used to be.
Cons
This program is split into two separate sides, PMR and EHR. It would make much more sense if scheduling, viewing all patient appointments, account history for services provided, billing and health history and notes could all be handled directly within the EHR. Having to keep switching back and forth between both systems feels unnecessary, especially since providers spend most of their time in the EHR. They should have the same visibility into the PMR side that the front desk has. I also really dislike that PMR does not let you split appointments by provider and time.

“Can adjust the system”
Pros
The billing side has been a really positive part of using it. It's simple to work with and I can adjust the system pretty easily to make it say what I need and do what I want.
Cons
Since this is my first time working with the EHR, it honestly hasn't impressed me much. We've run into one issue after another, especially when trying to enter notes for certain patients or print them out when they're needed for medical records.
