CheckProof Features

Checklists And Inspections

CheckProof allows users to build digital checklists and templates for mobile reporting using a drag-and-drop interface. The platform supports a variety of control points including signatures, numerical values, and mandatory pictures. Smart features guide frontline workers, while the flexible and scalable design grows with business needs and operational complexity.

Deviations

The software enables quick and easy reporting of deviations and faults directly from mobile devices. Users can create a deviation from the app’s start view for instant access or log issues during a checklist. This ensures that irregularities are captured in real time, improving accuracy and reducing delays in corrective actions.

See How It Works
Incident And Case Reporting

CheckProof simplifies reporting of critical issues or suggestions for improvement. Once an incident is logged, the platform triggers a predefined workflow of required steps that must be followed before closure. This ensures accountability, improves transparency, and encourages proactive management of safety, quality, and operational concerns across teams.

Communication

The platform centralizes communication to ensure information reaches the right person at the right time. Instant notifications, mentions, and task assignments keep workflows smooth across frontline and office teams. CheckProof bridges departmental gaps, enabling efficient collaboration, faster response times, and improved operational coordination for quality, safety, and maintenance tasks.

flexible inspections that scale

Pros

Getting this up and running was very easy and using it day to day has been just as simple. It has replaced our old paper based inspections and helped us consolidate several different inspection apps and processes into CheckProof. The system also feels flexible and scalable, which has been a big advantage for our operations.

Cons

Reporting could be worked on and improved. It would be a huge improvement if we could create more tailored customer reports because the current limitations make it frustrating when we need audit evidence or want to share key metrics with operational managers.

strong compliance and consistency

Pros

It fits really well with a governance led inspection approach. The overall setup of sites, users, templates, scheduling, execution and review lines up naturally with the way we're trying to standardise processes. The hierarchy makes sense and the audit trail is a big strength because it clearly shows who completed inspections when they were done and what was flagged. That level of visibility helps a lot with compliance and keeping consistency across multiple sites without having to create a system from the ground up. It has also helped cut down the variation between locations. In our setup different sites often develop their own working habits so having a shared set of templates, frequencies and outputs makes a real difference. It reduces the drift you usually see with paper-based or loosely controlled systems. Usability is another plus. The interface is easy to use, works well on mobile and you dont need technical knowledge to run it, which matters a lot in a quarry environment. In reality, that means inspections are more likely to be completed properly instead of just being marked as done. Where it delivers best for us is as a data capture tool. Its workflow for capture, defect identification and review handles the inspection process effectively and if you want it can also feed into a broader systems landscape.

Cons

It can be very inflexible. Changing the structure, whether that's site setup, templates or naming conventions, is much harder than I expected. Once everything is in place, adapting it isn't easy and that becomes an issue when you want to refine or improve the system over time. This has been especially difficult while merging data from two companies. There isnt a simple way to map or restructure data during a system merge so bringing information together from different sources ends up being a manual task instead of something the platform can handle directly. Limited access to our data inside CheckProof is another drawback. We can export some information but not all of it, which puts limits on how we can use that data outside the platform. I've also seen a few problems with admin controls. Selector buttons used to enable or disable features or permissions don't always behave the way they should. For instance, a setting may appear to be turned on but not actually become active. At times this seems to be because something still needs to be enabled on the CheckProof side, which can be confusing. It's not a major problem and support usually helps sort it out but it's still worth mentioning.

a very user friendly app

Pros

Building checklists, setting up units and organizing rounds is easy to do. The phone app is simple for operators to use and there are plenty of different options available.

Cons

A downside is that the app doesn't work without a connection. I would have preferred having a simpler way to save everything on the device first and sync it later.
