Collaboration that delivers

Pros

Using it every day has really shown me how strong its collaboration features are. It's a tool I genuinely enjoy working with and I only wish I had discovered it much earlier.

Cons

There honestly isn't much to complain about. It's been very convenient in a lot of ways and the free version is still more than enough for what I need right now.

Client projects finally organized

Pros

Running client projects through Asana has made a huge difference for me. I honestly can't believe I spent so many years earlier in my business trying to manage everything through email. Keeping all the details in one dedicated place helps me stay on top of every project and it also gives my clients more confidence because they can clearly see where things stand at any point. The tasks and boards are especially helpful for collecting feedback and files from clients, while also letting me assign deadlines and keep work moving. At this point I really can't imagine going back to working without Asana.

Cons

Yes the free version covers the basics but it does feel a bit limited. One thing I really wish it included is the option to duplicate a project along with all its deadlines and automatically shift those dates based on the project start. Right now, I have to enter every due date one by one and on a project that runs 2 to 3 months with two deadlines each week, setting up those boards can take a lot of time.

Powerful automation

Pros

Compared with other project management platforms I've worked with, Asana has been the strongest by far. It's incredibly versatile and the option to build custom rules for boards like auto assigning tasks or automatically adding collaborators based on certain conditions has made my daily workflow much more efficient.

Cons

The thing I'd still want is a timeline view with more Gantt focused functionality. Instagantt integrates very well and covers that gap but it would be even better if those Instagantt features were built directly into it so there wasn't a need to switch back and forth between both tools.

Fantastic for project tracking

Pros

After more than two years of using Asana, it's become a tool I genuinely rely on. Since I collaborate with several teams across my company, it does an excellent job of helping me plan projects, lay out timelines and stay on top of all the moving parts.

Cons

One thing I'm still not happy about is that subtasks can't be set to depend on other tasks, with dates updating automatically based on those dependencies like they do in Microsoft Project.

Powerful project planning hub

Pros

Handling projects with lots of people involved, plus multiple tasks and subtasks is where it really shines. It gives you everything you need in one place from timeline views to unlimited file sharing and it honestly works very well as a replacement for those endless email chains. Everything stays centered on the specific part of the project it belongs to which makes collaboration much clearer. Being able to organize work into sections, tasks and subtasks makes it simple to split a project into phases, areas or modules, assign an owner to each one and still let every person plan their own work in detail. At the same time you don't lose the ability to connect things through dependencies across sections and areas so it gives you a lot of freedom to plan from the top level all the way down. On top of that you can mention people, tasks and other items and if any of those names change later, the references update automatically. It's incredibly flexible too like if you complete a task by mistake, you can undo it. In fact you can undo practically anything which means one accidental click won't ruin the whole project.

Cons

The only real drawback I've run into is the lack of private messaging. There is a Conversations area but those discussions are visible to everyone which becomes a problem when sensitive information needs to be shared or discussed. I'm not sure whether that's intentional because transparency seems to be a core part of how it works but it's definitely a feature many people will start looking for pretty quickly. That said if your team already uses it alongside another internal chat tool, that gap is less of an issue. The other minor downside is that it is so broad and capable that it can take some time to learn all the basics and hidden tricks. Still, it's probably the best-documented application I've used so with a little patience and a quick search, it's not hard to figure things out. Even now, our team still exchanges tips about features they've discovered and overall it has been a really positive experience.

Versatile planning for every workflow

Pros

Creating projects and tasks in it is easy and assigning owners and deadlines takes no effort. I've used it to organize social media content, map out my marketing calendar, manage client workflows and keep longer term projects on track.

Cons

One part I'm not a big fan of is how recurring tasks only appear on the calendar after the current one has been completed. It would be much better to have an option to display all recurring tasks on the calendar in advance.

Flexible boards for task tracking

Pros

Its board style layout really helps me manage tasks quickly and the amount of detail I can add to each card makes it a very efficient tool for the way I work.

Cons

An area that could be better is the keyboard shortcuts and multi-select options. Some shortcuts feel a little awkward since they are not the usual defaults found in most software and while mass editing cards is possible, the range of changes you can make is fairly limited. It can be a bit frustrating At times but it is definitely not a deal-breaker.

Reliable daily project backbone

Pros

After more than three years of using it every day, it has become something I genuinely can't imagine working without. It's not just my team either but pretty much all of my clients use it too from tiny setups with one person and one contractor to larger teams of 27 people plus plenty of contractors. No matter the size, it consistently performs really well and has been dependable the whole time.

Cons

One habit I've had to build is always tagging people in comments since they might miss the message otherwise even when they're already part of the task or conversation. Also, recurring subtasks still don't function as well as they should. I've come up with my own workaround but I still wish that part worked better.

Simple project organization win

Pros

Creating teams, projects, tasks and subtasks in it is really easy and assigning an owner and deadline to each task is just as simple. It makes organizing projects feel much more manageable.

Cons

Well the thing that seems less user friendly is tracking task status compared with Trello especially when trying to move tasks through stages like to do, in progress and done.

Flexible task planning win

Pros

One thing that really worked well with it was how simple it was to prioritize tasks inside a project and rearrange them anytime our company's workload or requirements changed. Assigning tasks, attaching files and keeping teammates updated during handoffs was also very easy which made collaboration much better.

Cons

I honestly had to think pretty hard about any downsides to this product and I still couldn't come up with any. It has delivered everything I expected from it and even more.

Task tracking that delivers variant 6

Pros

Being able to assign tasks and monitor completion is really useful especially when keeping projects organized and making sure work is getting done.

Cons

It just wasn't the right fit for how our organization operates. The platform felt like it added too many extra steps and it became overwhelming enough that people weren't really using it or following the process well enough to get the full value from it. I can still see it being a strong option for other teams though.

Kanban wins for our team

Pros

Our analyst team brought this in to manage current work and upcoming projects behind the scenes and it has been a fantastic fit. The Kanban-style layout makes it really clear to see where every project stands at a glance. It also helps a lot with collaboration since you can tag a teammate on a task and they immediately get an email when there's a question or comment. On top of that the fun celebration animations at the end of the week when a card gets completed like unicorns or narwhals flying across the screen just add a surprisingly enjoyable touch for the team.

Cons

I don't have any complaints right now. It has been such a strong tool for our team that I really can't picture us moving to anything else.

user friendly setup

Pros

This service was pretty easy to use and it covers what we need well. Rolling it out across the company was simple too and most people were able to learn it without much training or confusion.

Cons

On our team, it works better for short-term project tracking than for managing long-term departmental planning. It tends to fall short when it comes to bigger-picture project oversight and setting goals far ahead. Customer support is also only average as I've definitely seen better but I've also dealt with worse.

Versatile task management tool

Pros

Whether I'm handling small day to day tasks or coordinating larger projects with lots of moving pieces, Asana has been really enjoyable to use. It works well across both simple and more complex workflows and it has been a very valuable tool overall.

Cons

One thing I'd still like to see is more built-in features around customization and functionality. Having additional input fields would make it even more flexible.

Reliable task tracking for years

Pros

I've been using this product for years, first in law school and now at work and it has consistently been a really effective way to keep tasks, due dates, recurring items and long-term projects organized.

Cons

At times the mobile app seems a bit complex though not to the point where it becomes a serious problem. I'm still a big fan and think it's a really strong app overall.

Fantastic for cross-team tracking

Pros

Asana makes time management much more manageable because it lets me and my teammates clearly see the specific tasks that need to get done as part of a larger project. I rely on it most for bigger cross-functional work especially when I need a quick view of which stage of the project everyone is currently handling.

Cons

One frustration is that it can be a little tricky to navigate when I'm trying to get back to a specific project after leaving it. A better search option or a recently viewed section would probably make that a lot more convenient.

It has become part of our routine every day, every week and every month for setting goals and keeping projects on track in our business and we even use it in our personal lives as well.

Flexible boards for team coordination

Pros

One thing that worked really well for me was being able to set up multiple boards and projects at the same time. It handles collaboration with a lot of people nicely even when everyone is working on completely separate projects. It also makes communication between team members and managers fairly easy and setting deadlines is simple and hassle-free.

Cons

The downside is that the platform seems a bit too basic from a design standpoint and the layout is not the most user friendly. I ended up wasting time trying to locate my tasks. Keeping track of what was completed versus still pending also felt less convenient than on other platforms. And even though communication is possible within the tool, the interface is not very friendly for it so the whole experience can feel a little different.
