feature packed team coordination

Pros

It brings together a decent project portal with a shared team calendar, task assignments, comments on tasks, file sharing, subtasks, templates and notifications which makes staying organized much easier.

Cons

The thing that could be better is the option to sort projects alphabetically. Right now, projects are automatically ordered by how recently they were opened which can be a little limiting.

Pros

Even the free version of Asana comes with a lot of useful functionality already.

Cons

That said I needed more flexibility in the way certain tools could be used. It just didn't really fit how my ADHD brain works, at least not in my case. I know plenty of people genuinely like it though and that's totally fair.

Quick to learn

Pros

It is very easy to use. The interface is friendly and clear and it does not take long to figure out how everything works.

Cons

The collaboration side could be better especially features related to task dependencies and similar teamwork tools.

Workflow control i rely on

Pros

Keeping up with multiple projects is much more manageable with Asana and it does a really good job of organizing day to day workflow. The interface is simple to navigate and the option to customize views makes it a must-have for the way I work. At this point I honestly wouldn't want to work without Asana.

Cons

One challenge is that some people can be a little slow to adapt to an online task and project management system. That really isn't an issue with the tool itself but more about user adoption. A few more engaging tutorials and webinars would probably help with that.

Helpful free plan

Pros

The free version gives us a good sense of how the platform works before committing to it. Getting started is pretty easy and it doesn't take long to build a monthly checklist for either home tasks or work projects. Email notifications are convenient and collaborating with teammates is simple and useful.

Cons

There are quite a few ways to organize teams and once people are connected, removing them can be frustrating. We ran into an issue where former employees who no longer used the software still remained listed and on the free plan it was hard to remove them.

excellent collaboration

Pros

One of the things I like most is its project management tools and calendar features. It makes working with team members really convenient and it's simple to monitor progress and see any changes made to a project. With everything going on during COVID, this software has been especially valuable.

Cons

I do wish the overall layout were a little more easy to navigate.

Top clean design

Pros

It takes almost no time to learn. The layout is easy to navigate, everything seems user friendly within minutes and the visual design is nice too.

Cons

I don't have any real complaints. I'm happy with just about everything though having a few more color options for tagging items would be a nice addition.

Shared task visibility

Pros

Rather than updating a company project spreadsheet once a month, this lets teams share tasks and responsibilities across departments and coworkers in real time. Everyone can follow progress, adjust tasks and update planning so there's always a current overview available.

Cons

The pricing funnel is pretty tricky. At first the free version seems like it could be enough but after spending days or even weeks setting everything up, you realize you need the paid plan. Then after some more time, another limitation shows up and when you finally need the next tier, the jump isn't minor at all as the price goes up by about 2.5 times.

Smart scheduling

Pros

It works really well with the Google platform which makes collaboration much more convenient. Setting up templates for standardized processes is easy and the task scheduling with due dates is simple and well thought out. The mobile app is also a big plus and helps keep everything accessible on the go.

Cons

One thing I'd still love to see is better collaboration with Microsoft especially an app that would let it connect directly with Microsoft Teams.

Powerful project tracking

Pros

Once a team gets Asana set up and working properly, it's a really effective tool for staying on top of one another's projects and making sure tasks are managed well across the company.

Cons

Getting started with it can take a while and the learning curve feels pretty steep especially for a small business or startup. Since it comes with so many features, a simpler option like Microsoft To-Do might make more sense if you're not going to use the more advanced project management tools.

Helpful daily task reminders

Pros

With so many project management platforms available, this one feels especially simple to work with. It gives a quick view of the most important tasks for the day and also sends email reminders for anything important that still needs to be completed.

Cons

Every now and then, it takes a little longer than expected to load all of its features and functions.

Powerful collaboration across projects

Pros

Working with multiple stakeholders across several projects has been one of the best parts of using Asana. Being able to share tasks between different projects is a real game changer and makes coordination much more effective.

Cons

Reporting still falls short and the dashboards and portfolio features feel quite limited. It would help to have an executive-level portfolio view without needing to add users to every single project because that really defeats the purpose. A lessons-learned add-on would also be valuable, along with the option to link projects within other projects for tracking issues, assumptions or risk logs as data.

Flexible project tracking powerhouse

Pros

It adapts really well to the needs of different organizations and does an excellent job handling complex projects with lots of milestones and resources to manage. One feature I especially appreciate is being able to quickly move priority tasks to the top of a project, along with the detailed custom fields available for every task across a team or project.

Cons

Our development team works in Jira for ticketing and it doesn't offer a native Jira integration. I was able to set up an automation through Zapier so a new Asana task is created whenever a Jira ticket is opened but the limitation is that I still can't push updates back to the Jira ticket from it.

Perfect for marketing workflows

Pros

Running a marketing team with lots of moving projects, Asana has been perfect for keeping timelines organized and project workflows on track.

Cons

Fantastic choice for task automation

Pros

After trying Monday.com, Smartsheet and this one side by side, the choice was very clear. It stood out as the best option for us. We have been using it for several years now and it has been very easy to work with from the very beginning. It was quick to pick up, the layout made more sense than the other tools I tested and overall it just felt like the obvious choice. We are on the Business plan and I would definitely recommend that tier. The automation rules are simple to set up for task assignments, status updates and many other workflows.

Cons

I don't really have anything negative to say about this software.

Responsive task syncing

Pros

One thing that really stands out is how simple it feels to use, along with how incredibly responsive it is. I have Asana installed on my phone and when I opened the web version on my PC while also using the mobile app, I started editing task names and descriptions and saw the updates appear instantly. There's no save button or anything like that and seeing changes sync in real time is honestly amazing.

Cons

At times it can still feel a bit complicated especially when you're new to a team. You need to understand which projects you're allowed to access or comment on before everything starts making sense.

Excellent user friendly

Pros

It is easy to use because the interface is very user friendly. Also it lets me import data from a file and I can create my own columns so I can collect and enter exactly the information I need.

Cons

The one feature I really wish it had is the ability to copy subtasks to other tasks. That would be extremely helpful and would save some time.

Exactly what my office needed

Pros

Within about half an hour of trying this product, I was already sold and the more I use it, the more I like it. I already use client management software and other project management tools for the day to day side of running the business but Asana fills a completely different role. It helps me manage the working on the business side instead of just working in it things like new revenue ideas, writing projects, office planning and improvements that are still just in the early concept stage. One of the biggest benefits is how simple it is to shift deadlines without losing sight of tasks or feeling bad about moving something back. At this point I'm honestly wondering how I managed before having it. The mobile app also deserves credit because it strikes an ideal balance between useful features and a clean design.

Cons

I genuinely don't have any complaints or suggestions. For the way I'm currently using it in my office, it does exactly what I need and works the way I want it to.

Flexible task sorting

Pros

One thing we really appreciated was being able to rearrange the sort order in the Today view with drag and drop. It was also useful to set up separate projects and lists which gave us a better way to organize work.

Cons

At the same time the available views felt somewhat restrictive even though the platform still allows some flexibility in how you work. The interface also made it harder than expected to see everything clearly in a single place. For example, when using a project list, it didn't feel very simple to get a full overview of all projects at once. On top of that the pricing seemed higher than comparable tools especially since it requires purchasing at least two licenses to get started.
