Real-time teamwork that keeps us aligned

Pros

Across a busy workday this software does a really good job of helping a team stay on track and move projects toward clearly defined deadlines. The concept of digital collaboration with real time visibility is something I have always considered genuinely useful. Everyone works at a different speed and not every teammate can match the same pace or rhythm all the time. With this tool, you can stay focused on your own assigned work while still keeping an eye on what the rest of the team is doing which helps everyone stay aligned around the same goal.

Cons

It starts to fall short when it comes to actual execution in practice. Setting up goals and timelines is simple enough but there's not much built in when it comes to accountability or keeping things coordinated if someone on the team starts slipping behind. Reassigning or redistributing workloads was awkward and harder than it should have been. A few features also feel overly basic and that can make you question whether the more advanced-looking ones will really handle the kind of complexity you need.

Color coded task visibility

Pros

Having a clear view of the tasks assigned to me and everyone else makes it much easier to keep track of what needs to get done each day. The color-coding is also a big plus and helps everything stay organized at a glance.

Cons

It took a little time to get used to how the product works at first. A few parts felt difficult in the beginning but that seemed more related to our lack of experience with it. After trying it a couple of times, it didn't feel too difficult to understand.

Clean interface

Pros

A clean interface is one of the best parts of it especially for the core project management basics. The UI and UX are simple so new users can quickly understand how the software is useful. Bringing new team members onboard is also pretty easy since the features are self explanatory, labels and functions are easy to find and projects are organized nicely. The access level settings are also a valuable addition.

Cons

One issue I have noticed is that tasks can end up being assigned twice, leading to duplicate task assignments.

Helpful workflows

Pros

It's a useful platform for keeping work organized and staying on top of tasks. The integrations add a lot of extra value and make the product more capable overall.

Cons

One frustrating part is how it pushes you into very expensive seats. If you want to assign even a simple task to a team member who may not need full access but just wants some visibility into the task, you still end up paying for a full seat as if they were a heavy user or team lead.

Clean task navigation

Pros

Navigating it is really easy and browsing organizing and sorting daily and weekly tasks is very simple.

Cons

There really aren't many downsides especially since the team rolls out monthly updates. At times it's possible to lose track of where you are among the different project tabs but overall it's still easy to find your way back.

Team coordination that clicks

Pros

It gives us a good set of project management tools that make planning organizing and handling team work much more manageable. It also comes with several collaboration features that help people stay coordinated and communicate with one another so everyone has a clear sense of what others are working on. That visibility makes it easier to understand the full picture of the team's progress. real time updates on tasks, reports and overall project movement are especially useful.

Cons

A few parts still need work especially the task views which could be better. The mobile app feels limited compared with the desktop version and the export options are not very dependable or useful. There are also times when tagged items do not fully show up which can be frustrating. On top of that it does not support creating custom icons and completed projects are not automatically cleared out.

Fantastic multi-team visibility

Pros

Managing several teams across different projects would be much harder without this software. It gives each project its own clear view and I can keep track of the status of every team member's tasks without confusion.

Cons

Quite a few of the features you may want are locked behind the paid plans and the cost can get expensive with larger teams. That said the free version is still usable and works well enough for basic team and task management.

Collaboration that just clicks

Pros

Working with a team is much simpler with it. It's quick to pick up and even the free version includes a great range of useful features.

Cons

One thing it seems to be missing is a stronger team calendar or really much of a team calendar at all especially if you want to add events that aren't connected to specific tasks.

Useful task tracking workflow

Pros

Asana lets us create tasks and keep different projects organized in one place. Each task can be assigned to a specific person, given a deadline, followed by other teammates and updated with comments or attached files. Because of that, it's very clear to see what everyone is supposed to be working on each week.

Cons

There are still a few things that could be improved which is why I didn't give it 5 stars. It would help if sorting were more user friendly and if the added attributes could remain visible in the full task list even when a task is open. That said overall it works really well.

Recurring tasks done right

Pros

Being able to handle recurring tasks while managing ongoing projects at the same time is something I really appreciate. It brings a level of convenience and simplicity that I haven't gotten from other tools.

Cons

It doesn't function as a full project management board in the same way some competitors do but it's still much easier to use.

Instant updates

Pros

Keeping task statuses current is really convenient and any changes made by others show up right away through notifications. Collaborating with teammates is simple through the online web app and the mobile app also delivers instant updates which helps a lot when working on the go.

Cons

One thing that's missing is the option to upload folders. A lot of projects require sharing requirement documents or larger files so right now we have to use WeTransfer first and then paste the link here instead.

Flexible for many workflows

Pros

Asana opens up a lot of possibilities and is flexible enough to handle many different functions across all kinds of organizations.

Cons

At the same time that flexibility can make things feel messy and harder to organize especially when it's difficult to keep processes consistent and under control.

Easy task updates

Pros

Updating tasks is the part I enjoy most about it. The interface is very simple and user friendly so handling everything feels natural. From the home screen, I can quickly update tasks, create new ones, add notes and keep things moving without any hassle.

Cons

Since I have been using the free version, I don't have access to every feature. I'd like the option to create multiple projects but I believe that's included in the paid plan. Aside from that, for what I am currently using the program for, I really don't have any complaints.

Very free plan that delivers

Pros

I genuinely love using Asana. I have relied on the free version for a long time and it has handled almost all of my project management needs. It's been a huge help for keeping work organized in a small business and I am honestly very grateful for how much it has allowed me to do.

Cons

That said my needs have changed a bit lately as I have been documenting processes to make the business more repeatable and predictable. Unfortunately, it isn't really designed for that type of setup. It works very well when every project is different or more one-off but once you start scaling with recurring tasks, the limitations show up. There isn't a simpl eway to properly template projects, assignees and due dates. There are workarounds but the platform doesn't seem built from the ground up for this kind of workflow so eventually you end up adjusting your process to fit the tool instead of the tool fitting your business.

Better accountability

Pros

Across our teams we started using Asana to improve accountability and boost productivity and it has worked really well for that. It gives us a clear way to follow every stage of a project's life cycle and it's always obvious who completed what task and when.

Cons

One thing to watch out for is the notifications. If you connect them to your email, your inbox can get overwhelmed pretty quickly. It can also become confusing when you're added as a follower on a large number of tasks since it's harder to keep track of everything.

Fantastic for planning goals

Pros

Putting together a clear, trackable plan with tasks and deadlines was really easy. Also it makes it simple to set goals, define objectives and keep all the documentation in one place.

Cons

I'd still love to see more ways to display tasks, such as Gantt charts, along with an easier way to work with text and images.

Free teamwork

Pros

Being free is a big plus and the app is simple to use. It also comes with group chat, customizable tools and lets you add your location without much hassle.

Cons

Powerful planning

Pros

After trying the free version it only took us about a week to realize this was the tool we had been looking for. One of the biggest advantages is how often it gets updated with new features without charging us extra. Our team can set larger goals, break them down into smaller tasks, assign them to different members and keep track of progress clearly based on deadlines. We can also monitor workloads and portfolios from one dashboard in just a few clicks which makes the platform very user friendly. When we introduced it to the team, there was no need for special training because it's very simple to use. We've also automated routine tasks inside the system which saves time and helps reduce mistakes. On top of that I really like the forms feature for submitting work requests since they're simple and quick to complete.

Cons

One limitation is that while it lets you protect documents and data from being edited by using the comment-only option, it still doesn't prevent people from viewing that information. It would be much better if there were a way to choose exactly which team members are allowed to see certain data.

Pricing hike

Pros

There's hardly anything positive I can say at this point. Over the last 6 months, the platform was completely rebuilt and since then everything has gone downhill.

Cons

where do I even begin? First, they quietly changed pricing for customers without any notice at all. In my case, the cost more than doubled and there was no alert, no email, no message but just a hidden price increase. Then there's the redesigned UX which is awful. Tasks that used to take one click now take two or three just to get anywhere. Accessibility seems to have been completely ignored and now it feels like you cannot do much properly without using a keyboard. The whole look and feel is bad now and the usability has fallen apart to the point where it's barely workable. This used to be excellent software 6 months ago but something clearly changed and at this point I'd tell others to stay away because it's become terrible.

Team tasks

Pros

I moved to Asana because it works really well for team collaboration. Being able to assign tasks and set deadlines is something I really appreciate.

Cons

One thing that bothers me is that finding a project can be difficult at times. There are moments when my projects seem to disappear because not all of them are visible.
