Fantastic team transparency

Pros

Using it has been really easy and it integrates well with all the tools I rely on every day. As a nonprofit we use it to keep our fundraising campaigns organized and it gives our entire team clear visibility into what's happening.

Cons

Overall I think the platform is simple to use but our Executive Director is vision impaired and has run into some challenges even though the site states it supports visually impaired users. That said the team has been actively working with her to help address the issue and has been very receptive and gracious about her feedback as they look to improve it.

Very flexible boards

Pros

Compared to tools like Jira, Monday and Airtable, this one seems much more user friendly and has a very short learning curve. New team members can get up to speed quickly without needing much training. It i also very flexible since you can build all kinds of project boards based on what your team actually needs. It doesn't lock you into one complicated way of working like Jira can, while still giving you plenty of options to organize and shape your project plan the way you want especially with Custom Fields which is a really great feature.

Cons

One thing I do not like is that the Portfolio feature sits behind the Business tier. On top of that you have to upgrade all team members to the Business plan instead of only the people who actually need it, such as line managers. Not everyone on the team needs access to those Business-tier features and tools so that pricing setup feels limiting.

Team coordination done right

Pros

Even in a very small company, this has been really useful for staying current on everyone's work. The comments, progress updates and task dependencies make it possible for us to operate like a true team, jumping in and out of projects when needed without losing momentum.

Cons

There's definitely a bit of a learning curve especially for people who naturally prefer pen-and-paper task lists so getting everyone fully onboard has been somewhat uneven. We've also run into limits with some built-in options like project statuses because they don't always reflect our exact situation. For example there's no way to mark something as On hold in progress reports.

Helpful, plus versatile

Pros

Its versatility is what really impressed me. It is user friendly and simple to use At first but the more you learn, the more power you realize it has. I also like the monthly software updates, the helpful learning modules in the Academy and I am genuinely excited about the Future of IT meeting coming up next month.

Cons

The reporting side is pretty limited which is frustrating. It feels like you have to rely on the API to really unlock the full value of the platform. The Gmail integration is also just okay right now and could definitely use some more polish.

Organized teams well

Pros

Its project setup keeps my teams organized and helps prevent things from slipping through the cracks. Creating tasks, sharing files and communicating all feel logical and easy. Bringing it into my business was also very simple and felt natural right away.

Cons

Compared with some competitors, it doesn't include as many features or integrations. That said this can actually work in its favor when I am collaborating with clients or teams who aren't very tech-savvy. They tend to learn it faster because there's less to figure out and less that might confuse them. That simplicity is really what makes it such a strong system.

Flexible setup

Pros

Asana is very user friendly and I really appreciate that it can be used in a very simple way or built out as deeply as needed. That's especially helpful for our executives since they don't need to understand every detail to still use it effectively. The training videos are also a huge plus when bringing on new employees who have never worked with the software before because they make onboarding much easier and save me from having to create training materials myself.

Cons

I am still hoping to see Forms available at the Team level instead of only at the project level. I'd also love stronger built-in automation options. At the moment, I have to rely on Google Forms and Zapier anytime I need if/then functionality.

Fantastic user engagement

Pros

It has been an amazing tool to use and it keeps improving all the time. One thing I really enjoy is how involved the team is with users like me since we get opportunities to connect directly with people inside the company. They stay very proactive as well, with regular webinars, communication through Slack and helpful email updates.

Cons

I really haven't run into any major issues so far. If I had to point out one thing, it would be that it could maybe offer better visualization in the List view.

Real-time teamwork win

Pros

Working together in it has been really easy for us. We rely on it for every client project and our clients genuinely enjoy using it too. A few of our bigger clients have even started using it internally for their own project management which says a lot. The platform is simple to navigate, easy to use and includes everything needed to keep our team, our clients and all the moving pieces on schedule. One feature I especially appreciate is the real time updating across the screen. If someone changes a task on a shared board, I can see it immediately without needing to refresh my browser. That saves a lot of time and keeps everyone aligned especially now that so much of our work is remote. Thanks for that

Cons

One thing I'd like to see improved is the ability to import an email directly into an individual task instead of only into the project. If that option already exists, it definitely isn't very easy to locate because I haven't been able to find it. Thanks

Powerful features for growing teams

Pros

Asana has kept improving at a fast pace over the years and continues to meet and often exceed, what our team needs. The business-tier features have been especially transformative for us. We've made major progress with work intake through forms and rules and automations have helped us become much more efficient.

Cons

Workload still doesn't do a very good job of spotting who is overloaded or showing availability clearly and it's quite hard to set up and maintain especially for larger teams. That part of the platform still needs more development.

Easy timeline for projects

Pros

Using it is not a hassle and the timeline has been especially useful for keeping projects organized and on track.

Cons

There are a few small quirks, like blank tasks being created automatically. It's also among the most expensive options on the market.

Perfect for listing workflows

Pros

Running a real estate team meant I needed a project management system that could handle both listings and buyers and this one fit that need really well. The usability was a big plus especially since I handle all the training for my team. I could simply send the training videos over for them to watch and then step in only if they had extra questions. Setting up separate projects for each property was easy and even turning my 300+ line item Excel sheet into a project was simple. One feature I really loved was being able to copy a project as I built one template and then reused it for every property which saved a lot of time.

Cons

My only real complaint is with email handling. Forwarding emails into the system and then locating them later is not very convenient and that matters a lot for us because important details are often buried in those email threads. Because of that limitation I usually end up copying and pasting the email conversation into the project conversations section instead. I really wish there were a better, more user friendly way to manage this.

Better team accountability

Pros

Asana gives team members a clear way to own and stay accountable for their individual tasks without needing a dedicated project manager to keep everything moving.

Cons

The email notifications could be more helpful if they explained the reason behind the alert more clearly, like whether it's about your own task or because someone else on the project is falling behind.

Helpful feature rich tool

Pros

Keeping projects on track has been much easier thanks to the frequent feature updates and the way it integrates with all our other systems. Those integrations have honestly been a lifesaver for our workflow.

Cons

One area that still needs work is the Forms feature. Right now it feels pretty basic and isn't as accessible or as useful across different projects as it could be. That said the team is clearly open to user feedback and keeps improving the product based on suggestions which makes the software even more user friendly over time.

Top tool for sure

Pros

Asana gives our team a clear way to map out objectives, break them into the tasks needed to reach them, assign ownership and set deadlines for completion. Having everything organized in one place helps projects move along really well, as long as everyone on the team knows how to use the platform properly.

Cons

The downside is that billing starts at 5 users instead of charging per individual user. So if only a small number of people on the team actually need the premium features, you still end up paying the full price for all 5 seats.

Highly clean interface

Pros

The interface looks modern and is simple to move around in, it connected well with several of the tools we were already using and having a mobile app available was a big plus.

Cons

Getting the features we actually needed came with a fairly expensive price tag. They also roll out updates often but some of the newer additions are not things we would use and I wish they would focus more on feature requests that people have already mentioned in the community forum.

Flexible workflows that fit us

Pros

One of the best parts is how customizable it is for our team's specific needs and workflow. Our previous project management tool felt very limiting in terms of what users could actually do and how we could structure information, assignments and tasks. Since our team setup and process are a bit unconventional, this platform makes it much easier to keep everything organized and connected.

Cons

The only feature I really wish it included is a built-in way to collect creative requests or briefs and turn them directly into tasks. Right now we rely on another tool for people to submit briefs, then manually copy and paste those requests into a task. Having that function inside the platform would be really helpful although it's not a major issue.

Very flexible workflows that fit us

Pros

The part I like most is the level of customization which lets me create work management processes that match my organization's specific workflows.

Cons

Although the recent redesign helped quite a bit, it's still not always obvious why a notification shows up in the inbox. I have gotten used to how it works but some of my coworkers still have a hard time figuring it out when they're new to the platform.

helpful and feature-rich

Pros

After trying plenty of other platforms, I still end up coming back to this one. It has such a strong set of features while still being very user friendly. At this point I have stopped wasting time chasing other shiny tools and decided to focus on getting the most out of this platform instead.

Cons

The only thing I'd really change is the cost of upgrading.

Workflow transformed

Pros

It started out as a way for us to keep internal and external communication separate but once we got past the initial setup, it turned into much more than that. We began using it to track projects as well and as new updates came out, we adopted the added features and gradually built our everyday workflow around them.

Cons

I'd still like to see stronger reporting capabilities. There used to be a Google Spreadsheets integration and I would have preferred to see that improved instead of discontinued.
