Collaboration hub that delivers

Pros

This program felt comfortable to work with. I also liked the support we received whenever issues came up. It's simple to use, practical for everyday work and it made it easy to see what everyone else was working on and collaborate as a team. One of the best parts is having a single place where different project streams and task timelines are clearly laid out for all users, keeping everyone connected and coordinated in one shared space.

Cons

The wide range of features and options is impressive but it can also make the system feel too complex and overly sophisticated for day to day use. With so many functions available, it can be overwhelming to set up the right project scope for your team.

Easy features for daily work

Pros

Even on the free plan, this tool comes with great features and is very user friendly for day to day use, with very few technical issues getting in the way.

Cons

One thing it's missing is a built-in chat space and without Google Hangouts support, communication between people involved in a project can be delayed a bit.

Color coded tasks

Pros

The software is user friendly and easy to work with. The color coded tasks make everything much clearer and assigning work to team members is very simple. Having reports and a timeline built in also makes it easy to monitor assigned tasks and the reporting tools are very user friendly. On top of that the interface has a modern, professional look especially in the paid version I used.

Cons

The biggest frustration was the limit of only 15 members on a board. That made things difficult for our team so we ended up leaving out subordinates and assigning tasks only to managers instead which was pretty frustrating.

Clear project oversight

Pros

Compared with a lot of other tools, this one seems easier to use. Setting up projects is simple and when everything is organized properly, it gives you a very decent overview of the work.

Cons

At the beginning especially for someone using it for the first time, the amount of buttons can feel a bit overwhelming. Once you spend some time with it though, you get familiar with the features and all the different things it can do.

Detailed tracking that keeps teams aligned

Pros

Our projects can be mapped out in detail and we're able to assign and monitor different parts with a lot of accuracy. The notifications also help everyone stay updated on what the rest of the team is doing as it relates to their part of the project. That's been incredibly valuable for us.

Cons

In the beginning the number of notification emails it sent was a bit overwhelming and I got tired of how often they came through until I figured out how to adjust the notification settings.

Powerful free plan

Pros

Overall I am a big fan of it. A lot really depends on how well your organization has learned to use it. Without clear processes in place, things can get messy fast. The platform's free plan is surprisingly capable which makes it a great option for small teams working with a coffee-budget setup. There are also plenty of add-ons and integrations available, including Salesforce.

Cons

Because it's such a powerful tool, projects can also become very complex. At times tasks feel limiting since they only allow assignment to at least one person. It can also get pretty confusing when things aren't organized in a easy manner. Every now and then, I find myself getting lost inside projects and tasks.

Keyboard shortcuts boost productivity

Pros

One of the best parts for me is the wide range of keyboard shortcuts available for almost every action. Once you learn them, using the platform becomes really efficient and much more convenient.

Cons

The trade-off with having so many keyboard shortcuts is that it takes some time to memorize them all. That said like most tools, there's a bit of a learning curve at the beginning.

Handy access, frustrating calendar

Pros

Getting started with Asana was quick and I appreciate being able to use it on my laptop, desktop and phone. The free trial was also a nice bonus and made it simple to give the platform a try.

Cons

The calendar really doesn't work well for me. Once I assign tasks to a date, they become hard to track down and when I return to the app later, it feels like those tasks have just disappeared.

Pros

Asana comes with a wide range of features and can work as a one-stop solution for different business needs. With everything it offers, it can be incredibly useful for managing multiple types of work in one place.

Crowded but feature-packed

Pros

Between assignments, comments, groups, chats and goals all living in the same place, the platform can feel pretty crowded to use.

Cons

If you're not careful about the audience settings in your group, everything you do could end up being visible. Because of that, I'd rather stick with email and the Outlook calendar which feels much better.

Collaboration that keeps content on track

Pros

Running a small business, this has become our go-to tool for collaboration and keeping deadlines clear. We use it as the main way to manage our marketing content calendar and it gives us a clean organized view of everything that needs to happen. Being able to create separate tasks and categories while still seeing them under one master content area has been extremely helpful for tracking progress and reviewing action items. Sharing projects and assigning content or media work has also been incredibly valuable especially since we only have one dedicated marketing and sales person who depends on input and materials from other departments.

Cons

One limitation in the free version is that task statuses cannot be customized. At the moment, we can only mark tasks as complete. Since we are using the platform for a slightly more specific purpose, this may not matter to everyone but it would be really useful to set task-level statuses the same way you can for projects especially to flag when something is at risk of missing its deadline.

Flexible integrations

Pros

It works well with a wide range of web apps and the API is amazing. I also like that it stays free for a single user.

Cons

The thing that could be better is the mobile app remembering my preferred view and sorting settings. The default screen when I open it isn't very helpful for how I work so I end up changing it to sort by due date every single time.

Project setup helps teamwork

Pros

Assigning tasks across the team has become much more manageable with this tool and it cuts down a lot on unnecessary emails and the back-and-forth confusion that comes with long email threads. We organize work into projects and then break those down with subheadings which fits really well with how our business is structured.

Cons

On the downside tasks that are not linked to a project can be very difficult to track down. Finding project titles is also frustrating because there is no dropdown list so you have to begin typing the name manually. When you have a large number of projects set up, that process can take quite a bit of time.

Smooth team coordination

Pros

Being able to communicate just as easily through email as inside the app is one of the strongest parts of this platform. Our team stays aligned on project boards with easy organized communication and the software is accessible and simple to navigate.

Cons

There is a bit of a learning curve at first. Because the app allows for such a high level of organization some items can end up buried under multiple layers of categorization although clear labeling helps reduce that issue. With continued use and better familiarity with the interface, it becomes much easier to manage.

Versatile views for team planning

Pros

The interface is modern and packed with useful features. Being able to switch between lists, Kanban boards and Gantt charts is something I really appreciate. It works excellently for project management and for coordinating multiple workflows across a team.

Cons

I am still trying to work out the best way to balance switching between projects and my daily to-do lists. I tend to fall back on making a simple to-do list instead of assigning everything within projects so it feels like I am probably not taking full advantage of all the features.

Pros

Pros

It does a really good job of helping keep track of work projects and making sure the right people are focused on the right tasks at the right time.

Cons

A few parts of it feel a little complex and I wish it had built-in time tracking even though there is an integration available for that.

Fast features, awkward design

Pros

One thing that really stands out is how fast the web app runs. It feels very responsive, works smoothly and also comes packed with a lot of features.

Cons

The biggest downside for me is the overall design. When I need to create or edit a project or invite people, it is often difficult to find where things are. I end up searching Google just to figure it out and the UX just does not feel comfortable to use.

Very easy task tracking

Pros

The interface is very user friendly. Nesting subtasks and connecting projects together is easy and assigning work or checking what's been assigned to you happens without any friction. I also made good use of the Gmail integration to turn work emails into tasks which helped a lot. Since the platform is so widely used, it's also simple to find other apps that connect with it. Another plus is being able to switch between different task views like lists, kanban and more depending on what works best.

Cons

The free version covers the basics but the more advanced tools like custom fields and roadmaps are locked behind a premium subscription.

Versatile planning powerhouse

Pros

Asana seems like a to-do list taken to a whole new level. It gives me plenty of room to organize everything exactly the way I want which has been incredibly helpful. One thing I really enjoy is being able to switch between different views, whether that's a calendar, a timeline or just a basic list, depending on what I need at the moment.

Cons

I haven't run into any problems with this software. The only suggestion I'd make is to use the downloaded app instead of relying on the web version.
