love the shared workflow

Pros

Getting started with Asana feels very natural and it's convenient that everyone can use it from a phone or any computer. I really appreciate the checklist option for marking tasks complete, the calendar-style layout and how simple the group messaging is to use. I've also seen other companies rely on it to share project updates and files which says a lot. Absolutely love it.

Cons

This is hardly a real complaint but there are so many strong features packed into it that it can feel a little overwhelming in the beginning. It's been a long time since I first started using it though I still think a full walkthrough explaining everything the platform can do would be really helpful.

perfect for planning design days

Pros

Asana makes planning my designers' days really simple. I can quickly see a clear snapshot of what everyone has on their schedule and it helps a lot when I need to shift work around if someone gets too busy.

Cons

A recent update changed the task layout and one part of it feels less convenient now. We tag every task and before, that could be done without opening the task. Now I have to click into each one first which adds extra steps.

versatile workspaces and fun touches

Pros

Managing several projects across different workspaces is very doable with it. The layout is easy to move around in and it's simple to organize tasks based on what each team needs. The onboarding tool they provide is also really useful when bringing a team into the platform. Another feature I like is being able to create custom project templates which makes setting up new projects in the team workspace much faster. I even enjoy the background options as I set mine to show falling snow and that little detail makes the workday more pleasant.

Cons

There is a slight learning curve especially for employees who are not very comfortable with technology. The IT integration template helps a lot in addressing that issue.

recurring tasks keep projects on track

Pros

Recurring tasks were the feature that won me over and the calendar view is excellent too. On top of that it has plenty of tools to keep multiple projects organized and running on schedule.

Cons

One thing that can be a bit tricky is tracking a task's history when it repeats since the comments disappear with each new recurrence. I worked around that by adding notes to the task description instead so they stay there.

reliable project tracking

Pros

Our team has been using this web-based project management platform for the past few years and it has been really helpful. It gives us a good way to build project plans, monitor timelines and stay on top of progress across the team.

Cons

Getting comfortable with all of its different features took some time. A built-in step-by-step guide or tutorial would make the learning curve a lot easier to handle.

remote teamwork done right

Pros

Working with a remote team is much better with this tool. It's excellent for collaboration and I also appreciate that the pricing works well for teams and businesses of all sizes.

Cons

I honestly don't have anything negative to mention about this software. It's genuinely one of my favorite tools for helping my team stay connected and work together remotely.

color coded planning that finally clicked

Pros

Running a blog means juggling a lot and this is the first app that has actually kept me organized. I set up one main project and then added all the smaller pieces of my work under it, like YouTube, Instagram and newsletters. Having everything in one place lets me sort things by color, see what I've already finished and quickly know what still needs to be done in a given month. It's honestly the only system and app that has really worked for me.

Cons

Getting comfortable with it wasn't immediate. It probably took me about a week to really understand how to use it well and only with regular practice did it start to feel natural. The learning curve is a little steep and even with the tutorials, I still think it can be somewhat complicated to pick up at first.

stays on track every time

Pros

Asana keeps our team aligned and on top of project work. The due date reminders help everyone stay on schedule and being able to pull up past projects makes planning future work much more manageable. It's also helpful for communicating with each other and sharing updates across different tasks.

Cons

One thing I'd still like improved is finding older tasks more quickly. Sometimes I spend extra time searching for something because I can't remember the title it was saved under. Other than that I really don't have any complaints about it.

helpful reminders and team tracking

Pros

It is very easy to use. It sends email reminders for upcoming and overdue tasks which helps a lot with staying on top of work. It's really useful for teams that need to track progress and keep everything organized. There's also a mobile app available so you can still check and manage tasks even when you don't have access to the web version.

Cons

I haven't come across any real drawbacks with this tool. The only possible concern that comes to mind is that the pricing could be reconsidered a bit for smaller teams.

fantastic for task tracking

Pros

Using it has not been a hassle especially for working with clients and keeping an eye on outstanding tasks. The subtask feature is excellent for splitting one larger task into smaller, manageable pieces. They've also clearly put effort into helping new users get up to speed quickly with decent starter templates and practical examples of how to use the platform.

Cons

One limitation is that a task can't be assigned to multiple people at once. That's a bit inconvenient for a development team although it can be worked around by mentioning the other person in the comments.

Pros

Keeping the whole team organized with Asana takes very little effort and the recent updates have made the platform even better.

Cons

too limited for complex work

Pros

Its biggest strength is how simple it is and that's also where the problem starts. I appreciated that it isn't overly technical and was very easy to explain to the marketing team but it does feel limited.

Cons

In the end it was just too basic for the type of work we need to manage so we decided to move to a more technical solution.

Works well for us

Pros

Putting together spreadsheet style lists in it is really enjoyable especially when I can turn them into practical checklists. The interface was also easy to understand from the very first time I used it. On top of that it works well as a management tool because it integrates with other apps making data sharing easier to organize, control and access.

Cons

When using it for group assignments, it becomes a challenge if you expect it to handle communication too since it does not currently provide built in online communication features.

collaborative planning that integrates well

Pros

It feels like a more advanced to-do list but with strong collaboration features that let teams work together effectively. The calendar sync, document integration and connection with Google Drive are really valuable and the pipeline setup for new teams is also a big plus.

Cons

One thing missing is a proper security option for admins especially tier-based access controls and IP restrictions for downloading sensitive information. If it included that it would be an all in one solution for us but unfortunately that capability is not available even on the paid plans.

Easy to access

Pros

Using it is very easy and it integrates really well with other applications which makes sharing data between tools simple. Also it gives convenient remote access from anywhere.

Cons

The thing that would make it even better is having a communication option during active online calls so I could send messages while on the call.

color coded task tracking win

Pros

Asana works really well for the way I manage projects. The interface makes it simple to review my tasks, set priorities, update the team on what's finished or still in progress and share notes or feedback along the way. Years ago I used Trello with a smaller team and it wasn't nearly as effective. Asana was a much better fit for our five-person Communications team handling a large number of projects. I also respond really well to visual organization so the color coding is a big plus for me. We can use colors for collaborators, project categories and other details which makes everything much easier to scan. The Due Date feature is another favorite because I really like having deadlines clearly laid out.

Cons

The biggest challenge is that it's still a tool I have to remind some people to use regularly. My executive director, for example, doesn't really work in it and prefers a more analog or stripped-down way of managing tasks. For some people especially older users, all the extra features and visual elements can take a little time to adjust to. That said my collaborators were still able to communicate those tasks to him even before he was using it directly.

Reliable task tracking for teams

Pros

As a task management tool for our team, it did a decent job. The software was really focused on handling individual tasks. We could assign tasks to specific employees or to groups and from there those people were responsible for managing each item. In that sense, it performed about as expected.

Cons

That said the platform's list-based layout made managing tasks feel barely more dynamic than working out of Google Keep. The sharing features were pretty limited and it often seemed less like people were collaborating and more like they were getting in each other's way. The product felt more like a blank sketchbook than a structured system. It also didn't provide enough built-in accountability and the file-sharing setup was complex enough that we had no interest in storing anything there.

Pros

Keeping processes organized is much simpler with Asana and it helps everyone stay current on tasks, deadlines and progress across multiple teams.

Cons

helpful task scheduling and reminders

Pros

One thing I appreciated most was how simple it is to plan different tasks and projects in Asana especially with reminders for the most important ones.

Cons

I'd really like it to work offline too so it can still be used out in the field when internet access is limited.
