What Is LeaseBase?

LeaseBase is a property management platform built for self-managing landlords. It covers rent collection, lease generation and e-sign, maintenance and vendor coordination, compliance tracking, reporting and analytics, and AI agents in one connected platform. Rent caps, deposit limits, notice periods, and required disclosures — including 22 mandatory California disclosures — are tracked by jurisdiction automatically, with alerts sent before deadlines hit.

What Is LeaseBase Best For?

LeaseBase is best known for its Compliance Engine, which tracks rent caps, deposit limits, notice periods, and required disclosures by city and jurisdiction, thereby alerting landlords before deadlines pass rather than after penalties apply. It is particularly suited to self-managing landlords operating under state and local rent control rules, mandatory disclosure requirements, and notice period obligations, where missing a single deadline can result in financial penalties or legal exposure.

How Much Does LeaseBase Cost?

LeaseBase pricing starts at $19/month with a flat-rate structure for the Starter plan. Every new account starts with a 14-day trial of Growth features, with no credit card required. Other pricing tiers are as follows:

  • Platform — $19/month
  • Assistant — $49/month
  • Operator— $99/month

Organizations should also account for the following potential additional costs:

  • Implementation And Onboarding - $0 for standard migrations. LeaseBase includes a White Glove Switch service at no stated cost. Custom enterprise migrations or integrations may range from $1,000–$5,000+ based on industry benchmarks
  • Payment Processing Fees - Standard Stripe processing fees apply to card-based rent payments. Low-cost bank transfers are included across all plans

How Does LeaseBase Work?

Log in to LeaseBase and manage your full rental portfolio — rent, leases, maintenance, and compliance — from one dashboard through these steps:

  • Create an account and add your properties
  • Import existing tenants via CSV or spreadsheet. LeaseBase sends portal invitations automatically with follow-up reminders
  • Set up rent collection by connecting your bank account. Tenants pay online via bank transfer or card, automatic receipts are sent, and late fees apply on your configured schedule
  • Generate leases from templates for each unit by sending for e-signature directly from the platform, with every signed document stored and attached to the right unit record
  • Tenants submit maintenance requests with photos through their portal. You can review, assign vendors, approve quotes, and track every repair from submission through resolution
  • The Compliance Engine monitors rent caps, deposit limits, notice periods, and required disclosures for your jurisdiction automatically, so alerts surface before deadlines hit
  • Review your portfolio from the dashboard. This includes monthly revenue, occupancy rate, outstanding rent, active leases, and an operational checklist in one view
  • Export tax-ready reports (Schedule E, 1099) at year-end

  • Self-managing residential landlords

  • Affordable housing operators

LeaseBase Use Cases

Based on our analysis of LeaseBase's current capabilities, we identified several scenarios where the platform is a strong fit:

1. Landlords Managing Under Local Rent Control And State Rent Cap Rules

Landlords subject to statewide rent caps and city-specific rent control ordinances need to track maximum allowable rent increases, required notice periods, and just cause eviction rules by jurisdiction. LeaseBase's Compliance Engine tracks these rules by city and alerts landlords before deadlines, with jurisdiction-specific compliance tools available directly within the platform.

2. Landlords Replacing A Property Manager To Reclaim Management Fees

Property managers typically charge a percentage of monthly rent. LeaseBase replaces that percentage-based cost with a flat monthly fee. The platform handles the workflows that property managers typically cover — rent collection, lease management, maintenance coordination, and compliance tracking — keeping the landlord in charge of every approval decision rather than delegating management authority.

3. Landlords Currently Managing Across Disconnected Tools

Self-managing landlords piecing together spreadsheets, separate payment apps, email chains for maintenance, and filing cabinets for leases face version control problems, missed deadlines, and incomplete financial records. LeaseBase replaces all of those tools with one connected platform where rent, leases, tenants, maintenance, and compliance share the same data. This way, a signed lease updates the tenant record, and a received payment updates the financial picture automatically.

4. Small Portfolio Landlords Needing Tax-Ready Records At Year-End

Self-managing landlords often lack a structured accounting system, which makes tax preparation time-consuming and error-prone. LeaseBase's Scale plan includes bank sync, auto-categorization of expenses, and tax-ready reports generated directly from the platform's financial records without requiring a separate accounting tool.

Is LeaseBase Right For You?

If you self-manage residential rental properties and currently track rent, leases, maintenance, and compliance across separate tools — or pay a property manager a percentage of monthly rent to do it for you — LeaseBase is an idea fit. LeaseBase covers jurisdiction-specific compliance across 5 states — California, Washington, New York, Oregon, and Illinois — with city-level tracking of rent caps, notice periods, deposit limits, and required disclosures. All data is encrypted in transit and at rest, with a tenant-isolated database architecture.

All-in-one rental management platform

Pros

Having rent collection, accounting, maintenance tracking, lease management and tenant communication all in one place has made a big difference for me. LeaseBase keeps everything organized inside a single platform so I'm not bouncing between tools all day. The AI assistant has been genuinely helpful too because it understands the context of my portfolio and lets me pull up information fast, summarize maintenance problems and get answers without digging through old records. It's saved me a lot of time, cut down on admin work and made property management feel far less stressful.

Cons

Since it's still a newer platform, there are a few things I'd love to see built out more. More third-party integrations and extra report customization would make it even more adaptable. There's also a bit of a learning curve at the beginning simply because the system does so much but after the initial setup, the overall workflow feels clear and efficient.
