What Is PayTrace?
PayTrace is a Business-to-Business (B2B) Payment platform that helps businesses accept payments online, in person, or on the go. It offers payment gateway services, merchant accounts, and accounts receivable automation. Businesses can either manage payments through PayTrace or connect it with the systems they already use. The platform supports Level II and Level III processing to help eligible merchants access lower interchange rates and offers surcharging to offset some credit card costs.
What Is PayTrace Best For?
Built with B2B finance and accounting teams in mind, “Trace AR” is the feature that stands out among PayTrace's offerings. It lets businesses connect their accounting or ERP system, send branded e-invoices and payment links, set reminders, manage recurring payments, and reconcile payments. They can do most of this with minimal manual work. This feature also provides real-time visibility into the payments process.
How Much Does PayTrace Cost?
PayTrace price is estimated to range between $15 – $75/month for gateway subscription. It may vary depending on the selected plan or reseller.
Besides the base subscription fee, users also should take into account the following potential additional expenses:
- Corporate/Purchasing Card Rate (Level 2/3 Qualified) - ~1.75% + $0.10, achieved via automated Level 2/3 data submission (PO number, tax amount, line items)
- ACH Rejection Fee – $25/rejected/returned ACH debit
- Late Payment Penalty – 1.5%/month on overdue balances
The software’s price has received mixed feedback. While the platform offers useful payment processing capabilities, some feel the costs are high, particularly when additional transaction fees or value-added service charges are involved. Moreover, changes to the fee structure have also raised concerns for some customers.

PayTrace Use Cases
Based on our analysis of PayTrace features, we’ve identified the following business scenarios where it is a good fit:
1. Finance Teams Managing Invoice Payments
Finance and accounting teams can use PayTrace to move more of the invoice-to-payment process online. They can send digital invoices with payment links and track what happens afterward. This reduces the need to handle invoicing and payment follow-ups separately. This makes it a practical fit for B2B businesses that end up spending a lot of time managing outstanding invoices and matching payments.
2. Businesses Accepting Payments Across Multiple Channels
PayTrace unifies all payment channels for businesses that take payments through physical and remote channels, such as accounting or ERP systems. Users can add a card reader to a device. It also allows businesses to accept their payments directly inside the ERP without switching tools. This is a good fit for businesses that want to prevent unnecessary steps to collect payments across locations and methods.
3. B2B Businesses Moving Online Payment Collection
B2B businesses that are still handling payments manually or across disconnected systems can use PayTrace to move more of their payment collection online. Using the platform, customers can pay through emailed payment links, hosted checkout pages, or Pay Now buttons. They can also do it directly within supported ERP systems. This is a good fit for businesses that want customers to have more ways to pay while keeping payment records connected to their existing systems.
4. Professional Offices Accepting In-Person Payments
PayTrace can be used by professional offices that collect payments at a physical location. The platform helps accept card payments directly from a laptop, tablet, or smartphone. A card reader can be added to the device, while the virtual terminal provides another way to process payments in a PCI-compliant environment.
Is PayTrace Right For You?
If your business handles a steady volume of B2B transactions and needs payment processing to fit around existing financial workflows, PayTrace may be the right fit. It combines payment acceptance with accounts receivable automation.
The platform suits teams that want control over how customers pay and need their payment activity to connect with accounting, ERP, or other business system. It is PCI DSS compliant and encrypts sensitive payment information during transactions. This can help businesses manage payment security and compliance requirements.

PayTrace Features
Surcharging
The platform enables merchants to add a surcharge of up to 3% to eligible credit card transactions to help offset card processing costs. It automatically applies the surcharge during payment, while debit, ACH, and prepaid card transactions are excluded. This gives businesses a way to recover some of their credit card processing expenses while continuing to accept credit card payments.
Trace ACH
This feature lets B2B businesses accept electronic payments directly from customers’ bank accounts. They don’t have to rely on one credit cards, checks, or wire transfers. Instead, users can enter ACH payments through the virtual terminal. They can also use stored customer information in the customer vaults, send e-invoices with ACH payment links, or offer ACH through Pay Now buttons and custom API integration.
Virtual Terminal
PayTrace can turn a laptop, tablet, or mobile device into a web-based payment terminal for processing credit and debit cards, as well as ACH payments. Businesses can use it to take one-time, recurring, or subscription payments over the phone or in person. They can also use a user card reader for in-person transactions. Moreover, the platform supports Level II and Level III interchange optimization for eligible B2B and B2G transactions.
Payment Link
PayTrace gives businesses a customizable online checkout form for accepting credit card and ACH payments. B2B teams can add a payment link to emailed invoices. “Handy option for quick card payments”
Pros
Having this tool gives our company a convenient backup way to take card payments especially for items that need to be processed fast.
Cons
Card processing fees are pretty common almost everywhere but it's still a downside here. Using it for non-standard items and then needing to pass along an extra fee on top of that isn't ideal.
