Quaderno Use Cases
Based on our analysis of Quaderno's capabilities, we have identified key scenarios where this software is a strong fit for cross-border sellers, subscription businesses, and growing digital companies:
Automating Cross-Border Invoicing For A Growing SaaS Business
A growing SaaS business may find manual invoicing increasingly difficult as international transactions increase, and tax requirements vary by customer location. Quaderno’s API can integrate with existing systems to automatically generate invoices with applicable taxes for each customer’s country. This allows the business to process thousands of monthly transactions while reducing manual invoicing and related administrative work.
Replacing Manual Spreadsheet Invoicing As A Digital Platform Grows
Managing invoices through spreadsheets can become time-consuming and error-prone as a digital platform grows, and transaction volumes increase. Quaderno’s automated invoicing integrates with existing systems to handle invoice creation and support applicable legal requirements. This reduces manual invoice processing while allowing the same invoicing workflow to support the business as its operations expand.
Centralizing Tax Compliance During International SaaS Expansion
Expanding into multiple countries and US states can leave a SaaS finance team managing different registration requirements, filing deadlines, and local tax rules. Quaderno centralizes tax compliance across jurisdictions and provides guidance during registration and filing processes. This reduces the need to coordinate multiple local advisors while giving finance teams a single point for managing international tax obligations.
Automating Invoicing For A Growing Digital Creator Business
As a digital creator’s audience and transaction volume grow, manually preparing invoices and applying international taxes can become repetitive and error-prone. Quaderno integrates with payment platforms such as Stripe and PayPal to automatically generate invoices with the required taxes. Accountants can also access the necessary information directly, reducing paperwork and simplifying collaboration during tax and audit processes.

Quaderno Features
Monitor Tax Thresholds
Quaderno Monitor tracks sales against US economic nexus, VAT, GST, and EU OSS thresholds across connected sales channels. It consolidates revenue by jurisdiction and sends proactive alerts as thresholds approach, helping businesses identify emerging tax obligations and complete registrations before tax collection becomes mandatory.
E-Invoicing
The software generates structured digital invoices in formats required by European mandates and transmits transaction data to supported tax authority portals. It supports Peppol and EU ViDA requirements while automating invoice generation, credit notes, and secure archiving, helping businesses manage evolving e-invoicing requirements without maintaining separate country-specific invoicing systems.
Automated Tax Filing
This feature turns transaction data into jurisdiction-specific, return-ready reports for sales tax, VAT, and GST obligations. Businesses can review and export reports for in-house filing or let Quaderno submit returns directly to tax authorities, helping teams manage different filing requirements and deadlines across the US, EU, and other supported jurisdictions.
Connect Tax Compliance
Quaderno Connect enables platforms and marketplaces to embed tax compliance capabilities under their own brand through a REST API. Sellers can access tax calculations, threshold monitoring, compliant invoicing, and filing reports directly within the platform, helping providers offer integrated tax management without developing and maintaining their own tax compliance infrastructure.

“Saves you a lot of time”
Pros
Handling taxes by country used to take up a huge amount of my time so I'm very satisfied with how it takes care of those calculations now. It also automates the creation of invoices both for tax filing and for sending to clients which has finally made that whole process much simpler. As a freelancer, it has basically become my own private admin assistant, managing taxes, invoices and everything else in one place.
Cons
I only started using it a couple of months ago. Maybe the annual subscription could be a bit more affordable for independent professionals who are just getting started. That said, considering everything it helps with, the pricing is understandable. If your business is already moving a decent sales volume early on, I'd definitely recommend getting this tool because it can save you a lot of time and headaches.

“Broad range of payment integrations”
Pros
Getting it connected to our project was pretty simple and it supports a wide range of payment integrations which was a big plus for us. The technical support team was consistently helpful anytime I reached out. One of the strongest parts is the invoicing feature since we can customize invoices based on our needs while still keeping all the required data in place. The Quaderno Sandbox is also very useful for testing and development work.
Cons
The biggest downside is the limited documentation and overall lack of awareness among developers. That becomes especially noticeable when you need to integrate more than one payment option because clearer guidance would make the process much more helpful.
