CentralReach is an AI-powered EMR and practice management platform designed for autism and IDD care organizations. It is well-regarded for centralizing clinical and operational work. However, some users mention that it can be tedious to add and remove appointments. Recent updates to NoteDraftAI improve its ability to produce draft notes for multiple sessions accurately and cut down time on manual edits.
Our Verdict
CentralReach is suitable for therapy and ABA organizations that need a single system to manage both clinical and administrative work at scale. For small providers, the cost can be a hurdle, whereas large practices often view it as a worthwhile investment because it supports long-term expansion. We recommend CentralReach for mid-sized and large organizations with increasingly complex operational demands.

What Is CentralReach?
CentralReach is an AI-powered Electronic Medical Record (EMR) and practice management platform built specifically for autism and Intellectual and Developmental Disabilities (IDD) care providers. It combines scheduling, billing, documentation, assessments, reporting, and caregiver tools within a single connected platform. Bringing these workflows together reduces context switching between separate systems and keeps clinical and operational data aligned.
What Is CentralReach Best For?
CentralReach stands out for its CR ScheduleAI, which builds schedules using factors like clinician availability, client needs, authorizations, travel time, and credentialing. As organizations grow, these factors compete with one another, making it difficult to manage manual scheduling. By evaluating them simultaneously, the platform helps teams produce schedules that better utilize clinician time while meeting client service requirements.
How Much Does CentralReach Cost?
CentralReach pricing starts at $59/user/month. The final cost is customized to an organization’s needs. Aside from the base cost, organizations should also consider the following estimated additional expenses:
- Implementation/Setup Fees: $500–$5,000+
- Custom Training Programs: $200–$2,000+
- On-Site Training: $1,000–$5,000+
- Premium Support Services: $500–$3,000+/year
- Custom Reporting And Configuration: $100–$500+/request
- Electronic Claims Clearinghouse Fees: Varies by clearinghouse

- Custom Third-Party Integrations: $500–$5,000+
- Data Migration / Import Services: $200+ minimum (hourly billed, 2-hour minimum)
- Custom Development: $500–$10,000+
Users find that pricing can feel expensive for smaller providers, especially those with limited budgets. However, larger practices often consider it a valuable investment, as it supports customization and steady long-term growth.

CentralReach Use Cases
According to our analysis of CentralReach’s current capabilities and user feedback, we have identified various scenarios where the software works well:
Growing Organizations Looking To Improve Clinical Documentation Efficiency
As caseloads increase, growing mental health clinics face more documentation work. Over time, keeping up with charts can become a hassle. CentralReach helps alleviate this burden by offering charting tools and AI-assisted documentation. These tools help reduce the time spent on paperwork, enabling clinicians to focus more on client care.
Organizations Prioritizing Measurable Clinical Outcomes
Financial growth is harder to manage when revenue data is scattered across spreadsheets and disconnected systems. CentralReach is well suited for organizations that need timely financial insights to support budgeting, claims management, and revenue cycle decisions. By adopting CR Insights, organizations can monitor key financial metrics in real time. This helps identify collection trends, track denials, and make informed operational decisions.
Providers Investing In Workforce Development
CentralReach is ideal for providers who are looking to lead staff learning from a central point. With its end-to-end learning management system, it helps organizations to push out learning materials, track courses finished, monitor learners' progress, and facilitate ongoing professional learning.
Providers Looking To Consolidate Clinical And Administrative Workflows
Organizations using separate systems for documentation, scheduling, billing, and reporting often spend additional time switching between platforms and reconciling data. CentralReach brings these workflows into a connected ecosystem. This can make it a practical choice for providers seeking greater operational consistency across departments.
Is CentralReach Right For You?
If your organization prioritizes data security and regulatory compliance, CentralReach is worth considering. The platform aligns with recognized security frameworks, including HIPAA, SOC 2 Type II, PCI DSS, GDPR, and FERPA. It also uses encryption, systematic backups, penetration testing programs, and role-based access controls to help protect sensitive clinical and operational data. “simplifies our workflow”
Pros
Having scheduling, session notes, data collection, billing and client information all in one system keeps everything organized and much more convenient to manage.
Cons
At times the platform runs slowly, gets glitchy or logs users out without warning. It also takes a while to learn especially for someone new to the system.

“random logouts are frustrating”
Pros
Being able to write session notes in this was one of the better parts for me and the scheduling layout was also easy to pull up and check.
Cons
Our biggest problem was with data collection especially since my company only used the website instead of the app. As an RBT, having the server reliably save tracked data is extremely important but the app would randomly log me out and wipe out the data I had entered up to that point if I had not manually hit save after every single data point.

“Good fit for our work”
Pros
It feels very comprehensive for ABA work. Users can upload reports and there's also a dedicated training section which is helpful. My ABA coworkers had no trouble collecting data with it and scheduling was fairly simple too.
Cons
That said, it feels a slow for ST and OT and isn't nearly as user friendly in those areas. The notes sections were editable which did help somewhat but it still always seemed to take longer to finish and submit OT/ST notes. The training process for learning CR was also very time consuming. On top of that, finding things and customizing the site just wasn't very friendly for people who aren't tech savvy.
