Expensify is an expense management tool that handles receipt capture, expense approvals, and reimbursements in one platform. Finance teams, freelancers, and travel-heavy teams use it most, with legal and accounting firms fitting best. Users like its faster expense entry and less manual work. But most complaints involve OCR delays and duplicate uploads. Its recent update includes the launch of the Vis corporate card in 13 European countries.

Our Verdict

Expensify suits finance teams and travel-heavy organizations looking to scale expense management without overhauling their accounting stack. Its starting price is fair for small businesses, and the Control tier’s audit-ready security justifies the added cost for larger teams. We recommend it for growing companies with existing accounting systems and frequent travel needs.

What Is Expensify?

As an expense management platform, Expensify's core job is to cut the time between an employee spending money and the business having a clean record of it. Users can snap a photo of a receipt, and Expensify's OCR engine will read the vendor, date, and amount automatically, no manual entry required. That data then moves through configurable approval rules, routing each expense to the right manager before receipts pile up.

Corporate card transactions, mileage, and travel bookings all land in the same system, which gives finance real-time visibility into spend. Once approved, everything syncs directly into accounting platforms like QuickBooks, NetSuite, and Sage Intacct, so reconciliation happens without re-entering a single line.

What Is Expensify Best For?

Expensify stands out with Concierge AI, which is its built-in AI expense assistant. It lets users manage expenses through natural-language instructions. Instead of navigating multiple forms and menus, employees can ask Concierge to create or edit an expense, submit a report, or explain why an expense was categorized a certain way. It can also automatically categorize expenses based on workspace rules and past user behavior, then add them to the appropriate report.

How Much Does Expensify Cost?

Expensify's price starts at $5/member/month for its base plan, called Collect. This plan works well for small businesses and includes receipt scanning, reimbursements, and corporate card management, among other features. The vendor also offers the Control plan at custom pricing, which starts as low as $9/active member/month.

Beyond the base price, users can expect the following costs:

  • Additional Control Users: $36/month/active member exceeding the annual subscription limit
  • Travel Bookings: $15/self-service trip or $25 with travel-agent assistance
  • Bill Payments: 2.9% fee for card payments; Venmo payments may incur a 3% sender fee

Several reviewers describe Expensify as cost-effective. It is believed to offer good value for its functionality. However, some smaller businesses felt the cost-benefit was less favorable. Others didn’t like its billing practices and found competing platforms more affordable.

Expensify Use Cases

Based on our analysis of user reviews and Expensify features, we have identified key scenarios where this software is a good fit:

Independent Contractors And Freelancers Tracking Expenses Across Multiple Clients

Solo consultants and freelancers billing multiple clients often lose track of which receipt belongs to which project. Expensify's individual tier lets them photograph receipts, log mileage, and tag expenses to a specific client, then pull that data into an invoice. For anyone managing several client relationships without a finance team behind them, that link between expense and invoice removes a manual step.

Growing Businesses Managing Expenses, Bills, And Invoicing In One System

Expensify combines expense tracking, corporate card management, bill pay, and invoicing inside one login instead of separate tools for each function. A growing business that once used different apps for receipts and vendor payments can bring both under one system. That’s because transactions from each area feed into the same approval and reporting structure.

Distributed Teams Managing Expenses For Frequent Business Travel

Staff who travel regularly for client visits or fieldwork rack up expenses across multiple currencies and locations that are hard to track centrally. Expensify folds travel booking and multiple currency support into the same system used for approvals, so bookings do not sit in a separate tool.

Finance Teams Connecting Expense Management With Existing Accounting Systems

Businesses already running QuickBooks, NetSuite, or Sage Intacct can connect Expensify directly to those systems. This way, approved expenses sync into the ledger without being entered twice. This fits finance teams that have outgrown spreadsheets but are not yet large enough for a full accounting system overhaul.

Is Expensify Right For You?

Expensify is a strong fit for businesses that want to scale expense management without replacing their existing accounting stack. Its security posture supports larger deployments, with SOC 1 Type 2 and SOC 2 Type 2 audits, PCI-DSS compliance, annual penetration testing, TLS encryption, and GDPR-related controls. It also provides role-based access controls and audit trails, which can help finance teams maintain oversight as spending volume grows.

One development worth noting is the IRS raising the 2026 standard business mileage rate to 76 cents per mile in July, marking an unusual mid-year adjustment. Expensify can apply different mileage rates based on the date of a trip. However, its documentation states that workspace administrators must manually update the mileage rate when the IRS changes it.

Once updated, Expensify applies the appropriate rate to trips based on their dates. Businesses that rely heavily on mileage reimbursements should therefore monitor IRS rate changes and update their Expensify workspace accordingly.

Expensify has won the 2026 TravelTech Breakthrough Award for Expense Management Platform of the Year.

Expensify Features

Travel Booking

Expensify supports booking flights and hotels within the same platform used for expense tracking. The company's travel policies and approval limits are applied automatically at the point of booking. That keeps a trip's cost within policy before it happens.

Global Reimbursements

This feature lets a business pay employees back directly through Expensify regardless of where those employees are located. A business connects a bank account in one of several supported currencies, and Expensify converts and routes the payment. It covers reimbursements in more than 150 currencies without a separate international payment tool.

See How It Works
Receipt Scanning

This feature runs through SmartScan, Expensify's optical character recognition tool. A photographed or forwarded receipt gets read automatically, pulling the vendor, date, and amount, so an expense line fills itself in without manual entry.

Virtual Cards

These are card numbers issued instantly through the Expensify Visa Commercial Card program, built for online or recurring purchases. Admins can issue as many as needed, set a fixed or monthly limit on each one, and assign it to a specific employee, vendor, or subscription. This way, spending stays contained to what it was issued for.

Good Tool. Gone Woke

Pros

We adored this tool. It performed exceptionally well for our nonprofit, seamlessly integrating with credit cards and payment systems.

Cons

Two things bothered me about Expensify. First, they started integrating DEI into their marketing, prominently featuring BLM materials on their site. I prefer they focus solely on processing receipts rather than pushing progressive ideals. Second, I couldn't connect with my primary banks anymore.
