BGV process adds more friction

Pros

It works for BGV verification and that is really the only use we are getting out of it at the moment.

Cons

The biggest ongoing problem has been integration issues and duplicate check errors. At random, checks triggered from the HRMS get marked as duplicates even when they are being raised for the first time which immediately creates panic around "BGV initiation failed." Even after reporting this several times with a very simple explanation, we keep having to restate the same issue as the support team often does not seem to fully grasp it. A lot of the replies feel more focused on closing tickets than actually fixing the root cause. Another recurring issue is checks being marked insufficient even after approvals have already been shared. Despite providing the so-called blanket approval, checks still get closed as insufficient without any clear or consistent reasoning. That has created a lot of unnecessary back-and-forth and a broken closure loop. There is far too much effort needed from our side to keep explaining the same problems. Employees assume that once they have submitted the documents, the matter is closed but the checks still end up being graded insufficient. When HR reaches out, employees say they had already closed the matter with the SV team which leaves us dealing with confusion, repeated follow-ups and extra rework. Also, collecting documents again takes a lot of time and restarting checks adds extra cost for problems that are not even caused by us. Managing this day after day has become mentally exhausting for the person handling BGV and there is now clear hesitation within the team to take ownership of it. Even the escalation process has been disappointing. When we contact the CSM or use the escalation matrix, the responses often come across as defensive, with comments like they are doing the same for other clients and accommodating all our requests. That does not help identify the actual gap or move the issue toward resolution. What makes it more frustrating is that the right stakeholders are usually not brought in proactively. Most of the time, they only become aware of the issue when we manually add them into the thread ourselves. That lack of visibility slows resolution further and adds even more friction. At this point, the platform is creating more complexity than solving the BGV verification process which was the main reason we signed up in the first place.
