Overview

proRM connects sales and project execution inside Dynamics 365. Its four built-in tools - planning, time tracking, approvals, and invoicing - manage CRM data. While the tool requires an active Dynamics 365 license to run, overall, it suits SMBs that need sales and project delivery working from the same data.

What Is proRM?

proRM is a project and resource management add-on for Microsoft Dynamics 365. It sits inside the CRM teams already use, so a closed deal moves straight into project execution. Four features handle the work:

  • Project Gantt for planning
  • Tracking for time and expense entries
  • Approval Manager helps with sign-off
  • Invoicing Manager for billing

proRM was built by proMX for companies – especially SMBs that already use Dynamics 365 and have existing CRM data.

What Is proRM Best For?

Project Gantt is the most notable feature. As a visual planning tool, it helps build project structures and assign resources. At the same time, users can see every ongoing and upcoming project inside Dynamics 365. This is quite beneficial, especially when SMBs (that run Dynamics 365) need to move from a confirmed sale into a structured project. It negates the gap between CRM and project execution that typically results in manual re-entry and disconnected records.

How Much Does proRM Cost?

Investment in proRM starts at €18/month. The vendor also offers a 30-day free trial, so users can test the tool. Beyond the base price, additional costs – based on industry benchmarks may also be included:

  • Dynamics 365 license: proRM extends Dynamics 365, and Microsoft lists Dynamics 365 Project Operations at $135/user/month billed annually
  • Implementation: SMBs should budget around $4,000–$15,000, while $15,000–$50,000+ should be budgeted for more complex workflows
  • Data Migration: Can cost around $2,500–$10,000+, but the figure depends on both the volume and complexity of data
  • Training: Organizations should budget $1,000–$5,000 for admins and project managers beyond basic setup

proRM Use Cases

Based on our analysis of proRM Fast Start's current capabilities, these are the scenarios where it's a strong fit:

SMBs That Use Dynamics 365 And Need To Connect Sales And Project Delivery In One System

Professional services and consulting firms that close deals in Dynamics 365 Sales but manage delivery in a separate project tool run into several problems. They have to manually re-enter the details – such as projects, client information, and resource data – or transfer them between systems. proRM works from the Dynamics 365 data that's already there, so project structures build directly from CRM records with nothing re-keyed.

Project Managers That Waste Too Much Time On Repetitive Tasks

PMs are often busy with tasks that involve information from numerous systems. For instance, they might be assembling invoices out of records that are stored within multiple systems. This is where proRM can help. With its Approval Manager, they can view submitted bookings in one filtered view. In addition, it helps them handle corrections, rejections, and approvals in line.

Accountants And Finance Teams That Have To Produce Invoices From Approved Project Time

When approved time entries arrive by email or spreadsheet, someone has to rebuild them into an invoice manually. This reconstruction step is where errors and delays come in at every billing cycle. Invoicing Manager skips it: approved bookings load directly; drag-and-drop turns them into a draft invoice, all while the result can be viewed in Dynamics 365 and exported to Word.

Management Teams That Need A 360° View From Sales To Invoice

Leadership at most SMBs needs a holistic view of sales. This includes pipeline, active delivery, resource utilization, and financial performance. proRM compiles it automatically, accessible in-app or through Power BI, with a direct line to whoever owns a given number if something needs addressing in real time.

Is proRM Right For You?

If you're already on Dynamics 365 and the gap between sales and project management is costing you manual work, this is what proRM is built to close. Named clients include Staufen AG and SKC. proMX AG has also been recognized as a member of the Microsoft Inner Circle for AI Business Solutions for 2025/2026. On the compliance side, developer proMX AG holds ISO 27001, ISO 9001, Cyber Essentials Plus (UK, 2025), and SOC certification. In January 2026, proMX also received the Kununu Top Company 2026 award for the fifth time.

proRM Features

Project Gantt

Users can assign resources and visually design project structures right within Dynamics 365. Project Gantt provides a complete overview of project lifecycles, along with displaying dependencies, durations, and assignments. In turn, users can plan better and prevent any risks of resource conflicts within ongoing and upcoming projects.

See How It Works
Tracking

Team members can keep track of their work efforts - including time and expenses - directly within Dynamics 365. Specific project tasks, brief descriptions, and billable status are all included in each entry. Additionally, it helps keep a clean record of leaves - ranging from public holidays and vacations – and makes proper cost allocation easier.

See How It Works
Approval Manager

Project managers review every submitted time and expense entry here. Small errors get fixed with in-line editing while major issues go back to whoever submitted it. After the final correction, managers can approve it before moving it to invoicing. Filters surface what needs attention first. Entries can also be ‘unapproved’ and sent back even after initial sign-off and require a second check before anything reaches billing.

See How It Works
Invoicing Manager

Approved time and expense entries are transferred to the Invoicing Manager, where drag-and-drop adds them to a bill. Invoices get reviewed inside Dynamics 365 and exported to Word. By the time entries reach this stage, they've already been checked twice, so invoicing doesn't turn into its own reconciliation project.

Effective for Project Tracking

Pros

I can track my team's efforts much more effectively with this system. Would definitely recommend it over Jira since that platform is missing alot of the features you get here.

Cons

The pricing is pretty steep which makes it difficult for smaller startups like ours to afford.

Fast and Efficient Project Management Tool

Pros

I can see all my current and future projects in one place which makes tracking everything so much easier.

Cons

I find the approval workflow pretty basic, there's no built in option for a secondary or M2 approval step which makes it less flexible for teams with layered approval processes.
