Who Is Checkwriters For?

Checkwriters software caters to different industries and sectors, such as:

  • Schools
  • Non-profit organizations
  • Small to medium-sized businesses

Checkwriters Use Cases

Based on our evaluation of Checkwriters features and market positioning, here is how we believe schools, non-profit organizations, and small to medium-sized businesses utilize the platform for payroll accuracy, compliance assistance, and labor management.

Schools Struggling To Manage Payroll Around Staggered Staff Schedules

Because teachers, substitutes, bus drivers, and administrative personnel don't necessarily work the same hours or calendar year, school districts frequently contend with a mix of salary schedules. Manually handling this increases the possibility of payroll errors and missing compliance deadlines, particularly at the beginning and end of the school year. In order to address this, Checkwriters integrates payroll with time and attendance tracking, allowing hours to flow straight into pay runs without the need for additional human labor. Payroll errors are decreased as a result, freeing up school administrators to concentrate on employees rather than spreadsheets.

Non-Profit Organizations Working With Small Teams And Limited Budgets

Non-profits are typically run tight, with a tiny team handling HR and payroll on top of their primary responsibilities. Without dedicated in-house payroll knowledge, it is easy to fall behind on tax filings or miss important regulatory changes for the firm. Checkwriters supports these teams by providing direct access to real people at its Massachusetts-based support staff, rather than channeling all inquiries thru a call center. As a result, non-profits receive expert counsel without having to pay more staff, allowing them to devote more of their cash to their goal rather than overhead.

Small To Medium-Sized Businesses Switching From National Payroll Providers

Growing businesses that outgrow spreadsheets or leave larger national payroll providers often struggle with impersonal service and a bumpy transition process. Losing a personal point of contact during a switch can lead to payroll errors right when a business needs stability the most. Checkwriters solves this with a concierge-level onboarding team that manages data imports, scheduling, and training during the transition. This lowers the risk of disruption during the switch and gives growing businesses a payroll partner that scales with them as their headcount increases.

Is Checkwriters Right For You?

Checkwriters is suitable for firms that need precise payroll and HR help without having to develop an own compliance staff from scratch. It is especially useful for schools, non-profits, and small to medium-sized businesses that require consistent payroll runs but lack the resources to research tax law changes or manage multi-state files on their own.

Checkwriters helps organizations stay compliant and reduce payroll errors by combining its software with a full-service Tax Department that files in all 50 states and monitors legislative changes as they happen. It also takes data protection seriously, holding SOC 1 Type II and SOC 2 Type II certifications that are independently audited annually. Financial data is encrypted at rest using AES-256 standards, with all data encrypted in transit as well, and access controlled through role-based permissions.

As the payroll industry shifts toward AI-driven automation that decreases manual data entry and errors in tasks such as wage calculations and time tracking, Checkwriters supports this shift with built-in time and attendance tools that sync directly with payroll to eliminate manual hour entry, as well as automated tax calculations that keep filings accurate as pay runs occur.

Personalized New Hire Experience

Checkwriters enables companies to submit welcome videos and leader profiles as part of the onboarding process, giving new employes a more personal introduction to the corporate culture and the people they'll be working with. Instead of being greeted with a stack of generic papers, new personnel feel more connected to the business from the outset.

Paperless Document Tracking

All employment documentation, including e-signatures, are saved and monitored online, eliminating the need for physical paperwork. This makes compliance easier to handle because every signed acknowledgment is recorded in one location, and documents can be retrieved quickly when needed.

Employee Self-Service App

Employes receive their own mobile app that allows them to verify pay data, complete onboarding stages, access papers, and submit time-off requests directly from their phone. This reduces the amount of back-and-forth between staff and HR for typical requests, as employes can find the majority of what they need themselves.

Electronic Timesheets

Checkwriters has computerized timesheets that are fed directly into payroll. This lowers the inaccuracies associated with manual entry and makes payroll runs more efficient because hours worked are already accurate and ready to process.

Average HRIS, could be improved

Pros

The customer service team is quick to respond, and I find the system relatively easy to use.

Cons

We used to have a dedicated contact/account manager, but now we only have a general customer support line and email for any questions. The password reset feature is problematic for many employees. The system also needs improvements for payroll approvals and document signing.

Implementation Made Easy, Excellent Service, HR Modules equals Automation

Pros

Our company used to rely on another well-known but outdated payroll provider for years, and we encountered many service issues with them. Transitioning was a tough decision because of the work involved. Our HR team spent hours talking with sales reps and watching demos to explore various options, updated technology, and additional features. Among all the demos, CheckWriters impressed us the most. We met Chris Landy, the Account Executive, at the 2023 SHRM Conference, and he has been following up regularly to ensure CheckWriters meets all our needs. Their dedicated implementation and training team, including Tracy Fleming and Kayla Goller, were key to our success with this new platform. The service from CheckWriters is far superior to the industry giants. With several new HR modules, we have automated processes and saved time. The Payroll Module is simple and makes payroll runs a hassle free task. The Recruit Module efficiently attracts candidates by pushing job postings to 100 job boards with just one click. The templates streamline the screening and hiring processes, saving us a significant amount of time. Although changing providers is a lengthy and demanding process, moving to CheckWriters has been worth every bit of the effort. They work closely with you from the start to ensure success and are always available via email or phone. We are thrilled with our decision to switch to CheckWriters and highly recommend it to any business seeking automation, improved service, and cost savings!

Cons

There are features we are not using at the moment, but we plan to explore them in the future. Honestly, there is not much I dislike about CheckWriters. The reporting is quite different from what we are used to, and it is taken some time to figure out how to create report templates. However, change always brings challenges and learning opportunities!
