Key Takeaways

Generated from the text of customer reviews

Trainual is a training and knowledge management platform primarily used by HR teams that want to simplify onboarding processes and internal documentation. Users mostly praise its ease of use and centralized knowledge management. At the same time, reviews suggest improvement to data portability and quiz functionality. In 2026, Trainual added an API, MCP server, and new integrations including Google Drive, Notion, Confluence, and more.

Our Verdict

Trainual fits growing small and mid-sized businesses that want to simplify employee training across departments without investing in an enterprise learning platform. Its pricing is fair for SMBs seeking long-term operational consistency, though small teams may find the cost harder to justify. We recommend it for companies prioritizing structured onboarding over ad hoc process documentation.

What Is Trainual?

Trainual is a training and knowledge management system designed to help companies document processes and train new hires. It also helps track completion of training content across teams. The platform works for both people building content and people learning from it. On the admin side, users get tools for organizing subjects into steps and grading quizzes. Employees, on the other hand, can move through assigned training material at their ease.

Besides that, the software is built to address a specific set of pain points: scattered documentation, repeated one-on-one training, inconsistent onboarding, and no clear record of who's completed what. It supports process documentation and role-based training, which is why helps businesses deliver a consistent onboarding experience for different teams based on different locations.

What Is Trainual Best For?

Among different Trainual features, it stands out for ‘Knowledge Search’. This feature lets teams bring information into one place that previously resided across documents, manuals, or individual employees into one place. They can then use AI-powered search to find answers on the web or mobile. It also keeps content organized into different categories. This way, it helps growing teams preserve company knowledge while making it easier to retrieve.

How Much Does Trainual Cost

Trainual pricing starts at approximately $249/month. The platform offers two product lines: Training Suite and Operations Suite, both available with custom pricing options

Training Suite:

  • Core
  • Pro
  • Premium
  • Enterprise

Operations Suite: Custom pricing

Other than the base fee, businesses should also account for the following additional costs:

  • Implementation: $1,000 one-time
  • Expert-Built Courses Add-On: $100–$500/month
  • Custom Consulting/Training Services: $1,500–$5,000/project or $150–$300/hour
  • Upgraded/Premium Support: $100–$500/month
  • Custom Integrations/API Services: $1,000–$5,000/project

User reviews highlight Trainual's pricing can be moderate to high, particularly for smaller teams. However, mid-to-large scale organizations consider the investment reasonable given what the platform offers for training and documentation.

How Does Trainual Work?

Trainual Use Cases

Based on what we found across Trainual features and user reviews, these are the scenarios where the platform can be a good option:

  1. HR Teams Organizing Company Policies And Information

For teams handling training materials, company information, policies, and internal documentation across different locations, Trainual is a suitable choice. It brings everything together in a searchable knowledge base, so employees can find information on their own and revisit training whenever they need to. That means company knowledge stays accessible well beyond the initial onboarding process.

  1. Organizations Tracking Employee Training

Trainual helps organizations to confirm whether employees have completed required training by tracking progress and quiz results across teams and roles. This makes the platform a practical fit for businesses that need clear visibility into training completion and employee understanding.

  1. Growing Companies Simplifying New-Hire Onboarding

Companies who want to deliver consistent onboarding experience regardless of their role, location, or manager find Trainual a good option. It lets teams configure role-specific training paths and track how new hires progress through assigned material. This is particularly useful for businesses looking to replace scattered documents with structured and repeatable onboarding process.

  1. Companies With Different Training Requirements Across Roles

Trainual is a good option for those businesses whose employees need specific role-based training programs. Organizations can separate training according to job duties, departments, or staff groups rather than sending every course to the entire company. Reviewer mentioned that role-based access and individual training paths as useful when responsibilities vary across employees.

Is Trainual Right For You?

Trainual is a good option for organizations looking to centralize their training materials and company information within one platform. It supports repeatable training across employees and locations with its reusable onboarding structures and role-based training paths. In April 2026, Trainual also expanded manager access, so they can assign content, create training paths, and monitor direct reports without relying on an account administrator.

From a security perspective, the software is SOC 2 Type II compliant, with SOC 2 documentation available to Enterprise customers on request. That said, the platform explicitly states that it is not HIPAA compliant, so healthcare organizations should not store protected health information (PHI) in the platform.

Moreover, Trainual has also broadened its scope beyond employee training. In May 2026, the company introduced its Operations Suite, which adds meetings, goals, scorecards, and team updates alongside the existing Training Suite.

scalable training that delivers!

Pros

It has really helped us organize and simplify training in a way that supports growth as our small business scales. The platform makes it easy to upload documents for employees to review and it's useful being able to confirm they've gone through our policies and processes. Customer support has also been excellent whenever questions come up and they're always quick to help.

Cons

One limitation is that videos cannot be uploaded directly and need to be added through an iframe link instead. I'd also love to see a feature that tracks how many hours each employee has spent in it.

clean layout and stellar support

Pros

Trainual took very little effort to start using it and the interface is clean enough that people usually understand it without much hand-holding. We still haven't completed a full rollout but even using it in a limited way has already helped by keeping our processes in one central place instead of having them scattered all over. Their support team has also been outstanding as they are fast to respond, genuinely helpful and very easy to work with.

Cons

This tool comes with a lot of features which is definitely a plus but when you're still trying to define your structure, it can also feel like more than you need at first. Since we haven't fully implemented it yet, usage has dropped off a bit while we work on making it a more central part of our system. A few parts could also be a bit more user friendly especially during the initial setup.

Centralized training that delivers

Pros

One of the biggest benefits of Trainual for us has been bringing team communication and legal processes into one central place. It's been really useful to test team members and monitor their training progress as they go. Before using it, documents were scattered in different places but now everything we need lives in one system and everyone is working from the same information. Being able to see who is actually engaging with the content is also a huge plus. We've also made good use of presentations and YouTube videos though getting that set up was a little challenging at first but it ended up being very worthwhile. The platform gave us a way to refresh our training library with pre-recorded YouTube content too which made resources much more accessible. Overall, our training sessions have been very productive, the setup process went well and the added organization and centralization have made a real difference for our team.

Cons

Honestly there's very little to complain about. We're very satisfied with this tool and the solutions it provides for our company and it's especially helpful that all of our training is being tracked.
